Online Registration - Process Integration

Overview

The proposal is to build on the online registration process delivered in 13/14 and extend the level of integration with other process such as UKBA/Payment of Fees. 

The proposal also covers extending the process/or parts of the process to continuing students.

The scope of the project will need to be refined when it is initated. Functionality to be considered as potential scope.

1) Payment of Fees / Integration with Finance Channel within My-Ed)
2) Upload Passport Photograph integration with Card Services.
3) View Documents Upload as part of Admissions (Passport/VISA) and ability to replace with different documents.
4) Continuing Students to go through a registration process with the steps relevant to them.
5) Assessment of where the process sits alongside the ATR process which moves an Applicant to a Student to try and streamline the process.
6) Assessment of where the process sits alonside rollover/progression for continuing students to try and streamline the process.
7) Alert to complete the process integrated into the My-Ed Alerts Channel.

 

 

Why is it needed/What are the benefits?: 

This project is aligned to the 'Student Experience' area of the Student Systems Roadmap.

It is needed to allow the student to go through a single process which captures or allows them to check all the data which the university holds about or requires from them. From an administration perspective it allow data to be validated and collected upfront which staff can currently spend time chasing for.  

Curently the processes which a new student has to go though are very disjointed and confusing the aim of this project would be to pull these togther as an overarching process. This would improve the student experience at a crucial time when they arrive at the university/

The project will build on the work carried out in 13/14 to implement a process for New Students.

If this project proposal is taken forward, it will be delivered within the SSP ring fenced IS resource of 10 FTE and as the content of the project is currently unknown, it can not be estimated at this time.  The estimated IS Apps days is based on the priorities of the Student Systems Roadmap.  The intention is that deliverables will be contained by the amount of resource but as more detail is known over the coming months it is expected that amendments will be made, but keeping within the 10 FTE. 

The project may also need resource from Finance to support the implementation if the payment of fees is included in the scope of the project.  If included this may also include a requirement for the Tribal Payment Gateway is used then licences for additional components would be required.  This would be in the region of £22200 + VAT for licence costs and £4440 + VAT per annum for maintenance.

If alert for the process to be completed by a student is to embedded in My-Ed then STUTALK may be required for the integration. An assessment will be required to be carried out on whether the parts that are already licensed are what is required or whether additional licences are needed.
