RAG Status

AMBER

Report by Ben Armstrong for May 2016

Achievements this period

  • Finalised sample data set for 50 student accounts
  • Commenced volume testing

Issues

  • Insufficient budget to deliver the project's scope; a request has been submitted to the Programme Manager for an addtional 16 days' budget.  As this increase is less than 20% the Budget RAG has been assigned as AMBER.
  • Volume testing was delayed by 1 week due to a key resource in Timetabling not being available; the delay was discussed and approved by the Project Sponsor and Head of Timetabling Services but a risk noted that further delays could conflict with the annual Timetabling rollover projects.  The result is that the Acceptance and Deploy View changes milestones have been missed.  As this produces a risk that the project's delivery date will slip more than a week the Time RAG has been assigned as AMBER.

Next Steps

  • Review results of volume testing
  • Re-work data set and views as required
  • Confirm acceptance against test criteria
  • Deploy view changes to Live environment
  • Document Operational Level Agreement (OLA)

Report by Sue Woodger for May 2016

Achievements

  • Deployed to Live on 11 May but not signed off right away due to issues – see below
  • Business Analyst appointed for Enhancements phase

Issues

  • Issues after deployment.
    • There was an issue with logging out which was not picked up in UAT as Service Management rarely log out of VRS. They will now add to their test plan. Developers moved the cgi-bin down a directory from htdocs and granted execute permissions on the .pl file as it had been discovered previously that this file has to be moved for applications – it is not shared – but the issue persisted. This is because it had to be done on both AT and KB servers. Once completed another issue arose where ITI had restricted access to CF Test and Dev servers on the IP tables due to an issue with a high number of connections not recycling but once the restriction was removed logging out worked on all environments (COM023-26). ITI Unix reported that Events Booking was affected by the same issue so fix was also applied to Events
    • The error messages in CF11 told the user nothing about the error. Service Management asked for them to be output in the same format as CF6 which gave useful error messages. This required the Unix team to enable the error grabber page again on the load balancer (COM023-25)

These 2 items were fixed and the deployment was signed off on 2 June with the proviso that the next 2 issues would be fixed under post-deployment support before the DSOR.

  • A timeout occurred while attempting to lock the Application scope: In TEST the very first time Adam loaded VRS after a while of not accessing the website a ColdFusion error was raised but it never used to appear (COM023-23)
  • Originally thought of as error messaging which required to be changed to CF6 format as in COM023-25 it became apparent that this issue was due to issues in the code and/or the database. This issue was not as a result of COM023 and most likely had been there from the start but the developers created a fix for it as it is important to Service Management that users have sensible error reporting (COM023-27)

Service Management have said that they cannot sign the project off until these two jiras are fixed as error messaging is a major usability heuristic.

Next steps

  • Outstanding jiras fixed
  • DSOR for CF Upgrade
  • Analysis for Enhancements
  • Closure report for CF Upgrade

Project is AMBER as there is a very high risk that we will not be able to get resource for the Design element of the Enhancements phase. PM has suggested  how to resolve but has to confirm with sponsor who is not back until 23 June

Report by Sue Woodger for May 2016

Achievements

  • Closure report was sent out for comment and has now been approved and submitted to WIS to approve closure

Issues

  • Issues in deployment:
    • Logging out error came to light after deployment due to the moving of cgi files having to happen for each CF application - files are not shared. Service Management will add testing ‘logging out’ to their test plans.
    • A further issue with logging out came to light from VRS testing and which the developers identified that it affected Events Booking as well. It was resolved when it was found that ITI restricted access to the CF Dev and Test servers on the IP tables on authorise-test due to an issue with a high number of connections not recycling. As soon as the restriction was removed Dev and Test started working again.

Next steps

  • Close project

RAG

AMBER

Report by Craig Middlemass for May 2016

Achievements in the last period

  • Work on the revised proof of concept has continued but has been disrupted by other higher priority work
  • Dev Tech have produced a detailed list of architecture questions that will help shape the strategy and blueprints for BI developments
  • All 3 colleges and 5 support groups have had a briefing presentation on the proposed architecture which has been well recieved

Issues

  • The priority of this project has meant that other priority one project has taken president in terms of demand for developer and dev tech time. The revised proof of concept requires around 11 days effort to complete there is a risk that this cannot be resourced in this year, in which case the scope of the project will have to be reduced and recommendations made including caveats

Next steps

  • Replan the remaining milestones based on progress and priority of objectives
  • Review and answer as many of the Dev Tech questions as possible in order to create a more robust recommendation
  • Prioritise the development work to complete the proof of concept
  • Develop the draft Service Level Agreement and support level options for an Enterprise Data Warehouse
  • Re-present outputs to colleagues in the colleges and support groups along with the roadmap
