Programme Manager's Commentary

This was an unusual reporting month in that we obviously had the festive break taking up most of the first week of the month, a period of settlement as we all got used to the implications of the latest lockdown, and the reporting period being brought forward by one week. So, some work has not advanced as much as we might have liked, but there are definite signs of movement across the board, despite the majority of current projects listed as amber. One of these is COM055 which has now moved from being red last month, due to the good work by the MI team and the project team. Two other new projects are reported as amber because of issues in their planning but these problems are now being resolved. Of the remaining two projects one is still amber and the other green. These should also see more movement in the next reporting period.

  • The IDM DB migration project has not fully restarted yet because of the trepidation around using IDM-TEST in the wake of People & Money still possibly needing access. However, this has now been clarified and the upgrade project has the required access. COM045 has therefore updated the remaining milestones and these are still to be fully assessed and approved.
  • The O365 Security Hardening project needs to be adjusted dates-wise because of the delays around the comms related to auto-forwarding and a date to implement these changes. This needs to be resolved with the Project Sponsor soon so that we finally conclude this project.
  • The Staffmail migration work is now reported as Amber. The MI team and Project Manager are resolved the issue that was reported in December and the latter will be getting things back on track soon. This will encompass a new schedule of work and revised milestones. These are expected to be ready soon.
  • The Wiki Crowd Implementation project has continued with the drafting of the project brief and this was recently issued for review by the project team. Resourcing is still an issue and the planning stage is now expected to be ready in early February. The project is amber because of the concerns around obtaining the time-limited licence, but the last update on this was positive.
  • The VRS Rewrite project is still in planning with the project brief almost complete and a full set of estimates having been prepared. This latter output was distributed just at the time of reporting and so this led to the amber status because of the disparity between the full 3-point estimate and the original one on the project proposal. This has been widely discussed and it is understood that there is now a plan to green-light the required budget.

In summary, there is a lot of good work under way once again, but we have to make sure that we keep on top of the 'smaller' pieces of work that can get forgotten about so that these do not drift, and we are able to conclude these projects within a reasonable timeframe and according to the plans that are made for them.

  • Little to report - still waiting for outstanding tasks to be completed (see below)

Issues

  • Issues to be resolved by sponsor are:
    • There has been feedback from the warning banner deployment which means some significant changes. Service management colleagues have been asked to supply an estimate for these changes and to agree if they are to be completed as part of this project  (which means reviewing the budget) or as BAU.
    • Comms plan and comms test still to be agreed by sponsor so we have switched the auto-forwarding to ‘allow’ meantime until we can get the comms out. It will then be switched back to ‘automatic’
  • Outstanding milestones to be reviewed

Next Steps

Achievements this month

  • In this reporting period the MI has continued with all but 1 account now fixed. The MI was closed on Friday 22.01.2021.
  • Fixed means that all mail items previous to 30.11.2021 have been removed from the destination mailbox. 
  • A process for completing the migration of historical mail from the accounts effected has been agreed.

Issues

  • With the conclusion of the MI and agreement on the process moving forward, there are no issues at the moment.

Next Steps

  • Agree dates for historical data with colleagues impacted by the previous migration issue.
  • Agree dates for remaining migrations with Informatics and Physics.
  • Revise remaining milestones
  • Confirm resources for remaining work with Quest, Service Management, ITI and USD.
  • Confirm comms with Relationship Management.

 

RAG Commentary 

AMBER: The project has been moved from RED to AMBER as the MI has been completed, however, the project needs to replan the remaining migrations. When dates have been agreed for the remaining accounts, the project RAG will return to GREEN.

Achievements this period

  • Quote from Atlassian received on the purchase of Crowd Server
  • Agreement to purchase Crowd from Senior Management, this has now been passed to Business Admin for payment

Issues

  • Atlassian have brought forward the purchase deadline date for Crowd Server from 25/02/2021 to 02/02/2021. This has been passed for payment, however the 3 day international payment timescale still poses a risk that we will miss the deadline. If the deadline is missed, the project will not go ahead.
  • The current Covid lockdown has reduced the resource capacity of Dev Tech, resulting in the resource for COM057 being removed to cover higher priority projects. This is likely to continue until the schools return and Dev Tech will be back to full resource capacity. This has impacted the start of the project and will need a planning meeting to resolve this. The planning meeting will be scheduled after the confirmation of the Crowd Server purchase.
