Programme Commentary

This programme is currently compiled of 2 projects DLIB001 & DLIB002. Both projects are pieces of Business Analysis work.

 

DLIB001 - Digitised Library Workflows Options Appraisal

DLIB002 - Collections as Data

Work has been progressing with both of these projects. Milestones for DLIB001 will need to move to allow time for engagement with potential suppliers.

Additionally, work has commenced on detailing the work for the Website amendment's and Digital Scholarship Tools.

Programme activities regarding Stakeholder engagement, benefits identification and programme blueprint are continuing.

 

 

RAG Status

The programme status is currently GREEN. Both projects are progressing. Programme level activities also progressing.

Achievements in Last Period

  • Requirements completed 26 April - now have a list of requirements from subject matter experts outlining what they want from systems under the digitisation order processing process , from placing an order through to discovery
  • PIN (prior information notice) completed and we have had interested  parties show initial interest in the system
  • Timescales were revised to get a PIN completed and to take into account demos that we had not estimated for.

Issues

  • On asking Procurement for guidance on how we get suppliers to give us demos without going into the procurement process, Procurement advised us how to proceed and we are now in the market research, or market engagement, stage (sometimes known as Pre-Market Consultation). Advice documents can be found under Procurement advice on SharePoint

Next Steps

  • Business lead looking into contracts in case any clauses which would be detrimental to looking for replacement systems or  re-applying
  • Will then send out an email to interested parties attaching our requirements and emphasizing that this is market research only. Will then set up demos with suppliers still interested. We can also contact suppliers that we think would be a good match
  • PM to revisit timescale once we know how many parties are interested as our revised estimate did not take into account the whole PIN process
