Commentary

HRS073 - PDF Issue remains, although interim fix is in place to allow users to generate PDFs. The Board have agreed that if the new PDF screen to be released by Core is tested and signed off then this project can progress to closure. 

HRS072 - Awaiting confirmation from Payroll that HMRC have accepted the final report to be submitted for the September PAYE return. Project Closure documentation is ready for submission on confirmation. 

HRS071 - A number of last minute changes were needed before the data would pass the HESA Schema and Business rule checks. This work is complete but has impacted the estimate. There is a risk that HESA will request that a further change is made to accomodate for data not held for casual staff.

HRS075 - Project Brief has been drafted and will be sent to stakeholders for review once the September RTI PAYE submission is complete (HRS072).

Staff Development Procurement and Implementation - Proposal withdrawn for 13/14 to be resubmitted as part of the 14/15 planning round.

Achievements in last period:
  • Changes made to code to remove schema and business rule errors
  • Updates made to data, on request from HR, to minimise the manual updates needed
  • HR continued extensive data update exercise

 

Issues:

  • Last minute changes required to remove schema and business rule errors. This required staff in IS Apps to be removed from other project work to complete this higher priority work. The changes needed to be made direct to the XML output as HR were unable to re-run the live extract process, these changes will now need to be incorporated to the extract code.
    • Although many of the issues were data specific and required the full data set to be updated in Oracle HR (which was only completed mid September) there is a concern that many of these issues were missed through the testing period between May and September. This matter is to be discussed in more detail with the HR Systems Team manager to better understand the limitations and risks for testing and to identify if there are any steps that can be taken to reduce the risk of this reoccuring. 
  • HR are in discussions with HESA over the LOCLEAVE feild as this has not been gathered for all staff types and therefore cannot be included in the submission. Depending on HESA's response this may require further effort from IS Apps to ensure the XML is correct for submission. 

Next Steps:

IS team:

support HR to ensure that the HESA submission can be made as required

Review last minute changes made after the final extract and update the extract code to ensure that these are included in the live code for future years.

  • RTI Initial Balances were completed by Payroll
    • The RTI alignment submission report was sent to HMRC once all the data errors had been manually corrected.
  • HMRC FInal RTI Submission was completed by the business on 5th October.

Next Steps.

  • The final item for the business is to submit the Payment Summary  to HMRC in early October.
  • There is no further work for IS Apps.
  • The Project will be closed in early October.

Achievements in Last Period

 

  • Ongoing issue resolution of Core deliverables

  • BOXI Universe developments for Phase 1b updated in LIVE
  • LIVE environment cloned to replace DEV and TEST

 

Issues 

 

  • Source of the PDF generation issue has not been identified. With agreement from HR, Core have implemented a new PDF screen which successfully allows generation of PDFs while the user remains on that screen. This is not a suitable long term fix as PDFs can take up to an hour to generate and this stops users being able to complete other tasks in eRecruitment. The Project Board agreed that they would consider agreeing to project closure, if Core can deliver a new screen that allows the user to generate PDFs either through the standard functionality (where they don't need to remain on the same screen) and if this does not work select the option to generate the PDFs while remaining on the screen. This has been developed by Core and is awaiting sign off for the cloned DEV and TEST before implementing. 

  • It has been identified that users that have selected "none" as one of their parameters (eg. department = none) will not receive any job alerts. This was a concern to HR and after discussion it was agreed with Core and the Board that the scale of the problem should be identified. Core confirmed that there were less than 120 users with none as a setting and therefore agreed that these users will be contacted to highlight that they may want to change their alerts parameters.
