Achievements in Last Period
  • LIVE Upgrade completed as planned and released to users on 6th November
  • LIVE Crons and Interfaces updated and minor issues resolved
  • APEX Report for Sickness Ansence Reporting deployed to LIVE
  • Revised MyEd channels deployed to LIVE
  • Acceptance sign off for TEST

 

Issues 
  • The interface with the Events Booking Channel had not been identified prior to the upgrade downtime. This was identified shortly after 11i was brought down. Unfortunately due to the risk that other interfaces had not been identified resulting in the possibility that data could be updated that would be be in R12 it was not an option to restart 11i. An alternative option was identified where the required data was extracted from 11i and held in temorary tables for the events booking application. This returned functionality but events booking was unavailable to staff for 1 day. Events Booking has been added to the interface documentation. 
Next Steps
  • Project to provide extended support for R12, particularly to cover the first payroll run
  • Investgate and Resolve any post upgrade issues
  • Complete any post upgrade tasks that were agreed during TEST as being lower priority
  • Build, Test and deploy the Transport Loans Application
  • Complete system documentation including Disaster Recovery and System description
  • Undertake Disaster Recovery testing

Achievements in Last Period
  • LIVE Launch of Back Office and Recruiter Portal
  • LIVE Launch of Applicant Portal
  • Over 2000 applications received since the launch and approx 75 vacancies advertised
  • Resolution of live issues
  • Delivery of minor updates following feedback from users (for example; links to MyEd, Links from advertisers "apply" option)
  • Collation of fedback from users and updates provided from team
Issues 
  • Following the launch of the applicant portal there were a high volume of issues. Some of these were critical and caused a major impact to the use of the system. Critical issues include;
  1. Security rules for the application resulting in some users being unable to complete or submit applications (initial issue removed, ongoing monitoring and discussions regarding resolution)
  2. PDF Generation was stalled at points and the fint size of the included text not suitable for reading or printing (Font size issue resolved and PDF request queue to be monitored)
  3. Recruiters unable to view applicant documents (resolved)
  4. Some users unable to complete Internal Applicant Registration due to incomplete records in Eddir or IDM (ongoing resolution on a case by case basis)

 

  • The high volume of live issues has impacted user opinion of the system. The project team have and are continuing to contact indiviuals to discuss feedback and to try to alleviate any concerns. An FAQ and issue/feedback status page is being drafted and will be published. 
  • As focus for the project team has been on supporting the live system it has not been possible to complete the outstanding tasks for the IDM/HR interface and the BOXI universe, this will be undertaken asap.

  • Replan IDM/HR Interface Testing
  • Deployment sign off 
  • Planning for Phase 2 project

 

AMBER status reflects the need to agree a revised Deployment sign off date. It was not possible to submit agree this until it was clear when the critical issues were likely to be closed out.

  • Started the Planning process based on HMRC Real Time Information (FIN082) ToR and becoming up to date on the expectations with the evolving Tax Year End and Real Time project.
