Summary - November 2017

MVM508 [CMVM Staff and Visitor print consolidation]

Following a raised concern level during Oct/Nov a resolution has been handled in relation to the delivery of agreed  accounting. The project is still on course for closure in the new year. 

MVM509 [Implementation of Vet Practice Management System]

The project is now on track and matters of concern have been dealt with. Continued improvement results in return to green - providing the programme with a  green status. 

MVM522 [MVM Business Process Review for SharePoint Delivery]

Meeting took place between Programme Manager and Project Manager in December to review the Committee Papers elements - Whist not entirely part of this project there i s enough cross over to permit involvement of resources from IS in it. 

MVM523 [Pilot project for WHO's OFF online Staff Leave Management]

Progress is being made - Programme Manager will seek information on procurement requirements

MVM501[Lease standardisation and tenant IT service entitlement]

Achievements
  • No direct achievements since Aug '17 report. Various updates (see below)
Updates
  • Project moving towards final stage of closure.
  • Project documentation (output) adjusted, based on stakeholder and tenant feedback. Re-drafted versions approved in principle by primary stakeholder (John MacKenzie).
  • Re-drafted versions of documentation provided to John MacKenzie and also to Dave Graham (current versions).
  • Expected vs actual outcome for UAT updated and lessons learned reported created.
  • Project closure reported drafted.
  • Various updates to tenant contact, location and IT provider details.
  • Meeting held between PM and John MacKenzie with regards to lessons learned and recommendations. This includes a recommendation to allocate a desk numbering system in the new building to ease a variety of operational practices for all parties (UoE IS teams, campus operations, tenants etc.).

  • Chancellors administrators now happy with reporting portal, and done first pass of Bill
  • KT Consultancy done - and agreement in principle to consolidate and roll out of cloud devices.

Achievements in Last Period

  • SSO Authentication on LIVE Provet Cloud environment activated w/c 20/11/17.
  • FNS delivered some of the critical functionality later than agreed in the revised timeline, as a result the time allocated for R(D)SVS staff UAT and signoff was compromised, however it was agreed that there were no showstoppers provided the final fixes agreed were completed.
  • Project Board met 22/11/17 and agreed that unless there were any actual showstoppers, the Provet Cloud launch for Farm & Equine would go ahead w/c 04/12/17.
  • Milestone UAT 1 Complete completed.
  • Milestone Critical Launch Acceptance Review (Go / No Go Decision) completed.
  • FNS staff onsite w/c 04/12/17 to support Farm & Equine launch.
  • Milestone Critical Delivery (Equine and Farm Go Live) completed.

Issues

  • No major issues at present. Farm & Equine launch has gone ahead successfully as planned and the next focus will be on R(D)SVS staff fully getting up to speed with Provet and on agreeing the finalised plan for the HFSA and lab launch for Feb 2018. RAG can now move to GREEN.

Next Steps

  • Review of Farm & Equine launch.
  • Agreement on timeline and scope for HFSA launch.
  • Continue to review contractual issues (PM and Business Lead, with Procurement)
  • Review outstanding issues due to revised MVP launch, and planning for Phase Two deliverables.
  • Review project plan, timeline, estimates for next Project Board 22/12/17.
  • Review budget, resourcing, timeline and milestones.

 

Project RAG status is now GREEN. Farm & Equine launch has gone ahead successfully as planned and the next focus will be on R(D)SVS staff fully getting up to speed with Provet and on agreeing the finalised plan for the HFSA and lab launch for Feb 2018.

  • We have made progress in several planning activities - scheduled a workshop with many proposed working group members from administration teams across MVM
  • Assisted College Office with issues around committee papers

  • Have discussed the usage/experience of Who’s Off throughout CAHSS with Fraser Muir
  • Have gathered further background information regarding training, support and details on the procedure for the procurement of Who’s Off

  • Discuss and decide on how Who’s Off will be implemented and used in PGDI
  • Discuss and decide on the proposed changes to the leave/absence procedure with PGDI and HR
  • Contact Who’s Off to start the process of purchasing/using the software and investigate the options of trialling the software.
