MVM508 [CMVM Staff and Visitor print consolidation]

  • Concerns over the engagement of key implementation owners has caused this project to move from Green to Amber.  Further issues may be raised over the period March 2018 as not confirmed resolution will result in  a key element of the project, blanket coverage in the Chancellors will be jeopardised.

MVM509 [Implementation of Vet Practice Management System]

  • Ongoing changes and requirements continue to mark this project as Amber. Further reviews are to take place in March which will hopefully address the matter. 

MVM522 [MVM Business Process Review for SharePoint Delivery]

  • Continued progress. Meeting with Business Sponsor to discuss resourcing on next phase.

MVM523 [Pilot project for WHO's OFF online Staff Leave Management]

  • This project has been suspended as per agreement until such time as the sponsor can provide a report. See full report

Achieved

  • KT Network and electrical points requested and approved

Issues

  • Problem identified in Chancellors Building; involving  cloud authentication mechanism -suspected network issues as underlying cause.
  • Roll out now slowed down and indeed stopped at BioQuarter ,and hampering ability to close project

Next Steps

  • Senior management and service owners to come up with plans to move this forward
  • Waiting on delivery of KT Machines

 

[MVM509Implementation of Vet Practice Management System

Achievements

  • Post launch issues continue to be addressed with focus on resolving these by end March 2018.
  • Members of the Project Board inc Campus Operating Officer, Project Sponsor, Business Lead, Senior User, Senior Supplier and PM held a series of meetings at the end of Jan / start of Feb with Janne Huttunen (FNS) to resolve issues discussed at the January Project Board regarding timeline, quality issues, process, and clarification on invoice items and forward projection of costs; some robust but constructive discussion took place between the parties and the outcome was a better understanding of the information requirements of the Project Board.
  • The Project Sponsor proposed that the launch for Labs / HFSA functionality be split: the proposal is now to aim for launch of Labs functionality w/c 02/04/18 then allow time for FNS to complete work for completion of the MVP by end June 2018, allowing for more rigorous UAT during July with a launch dependent on acceptance. This proposal was supported by the Project Board at the February meeting.
  • FNS visited the Vet School w/c 26/02/18 to focus on helping resolve post farm/equine launch issues, and to clarify outstanding issues with Labs functionality development; the visit was successful however it was significantly disrupted by the adverse weather in Edinburgh 28/02-02/03.
  • New accessible theme has been deployed to Test (to be assessed by Viki).
  • PM and Senior User have met and are in discussion over GDPR requirements specifically relating to Provet Cloud.

Issues

  • An issue was presented to the project w/c 19/02/18 related to the continued provision of infrastructure for the storage of the file attachments for the current Tristan system; it was made apparent to the Senior Supplier and Project Manager that the current storage infrastructure will be unsupported at the end of April and must be migrated onto new hardware; this is a hard deadline. This work is being done as an operational activity within ITI and the MVM509 project had no visibility of this until 20/02/18; due to the PM being on leave 21/02 to 23/02, the Senior Supplier followed up with IS Apps Production Management and ITI, and escalated this issue to the IS Apps Director, and met personally with the Project Sponsor to outline the situation and explain some complications confirming a date to resolve this due to the change freeze as a result of the current industrial action. This issue is not specifically with the Provet implementation, but the Senior Supplier has taken ownership to deal with it to reduce the impact on current service given the delays to completing the Provet rollout and the extended reliance the R(D)SVS have on the current Tristan system. This issue has been escalated and requires no further action at present.

Next Steps

  • Update file attachments from Tristan filestore to Provet storage ahead of planned Labs launch.
  • Agreement with Project Board on approach on revised timeline and scope for HFSA launch.
  • Review project plan, timeline, estimates for next Project Board 14/03/18.
  • Review budget, resourcing, timeline and milestones.

 

[MVM522MVM Business Process Review for SharePoint Delivery

  • Working group met and approved their ToR, user story process flow and acknowledged the meeting planned with the business sponsor

  • Scheduled meeting with the Business Sponsor seeking agreement for the next phase of execution work

[MVM523]Pilot project for WHO's OFF online Staff Leave Management

  • All staff data has been imported and system configurations has been finalised in WhosOff
  • Web page covering WhosOff has been made live containing information, links and FAQ
  • Communication has been sent to users including their log in details
  • Support plan has been put in place and information distributed
  • Pilot went live on the 1st of March 2018

Issues

Project Sponsor on long term sick leave but will hopefully be able to provide Programme board with report in July 2018

Next steps

  • Catch up meeting with EDI to discuss experience of using WhosOff
  • EDI to document and finalise the new processes for staff leave
  • Project sponsor to provide full report to Programme board circa July 2018
  • Monthly reporting will be suspended until July 2018

  • Project Brief, estimate, Project schedule, plan and Risks almost complete and ready to issue across key stakeholders.

  • 23 responses to PIN have been received.  Planning has commenced to provide necessary documentation for evaluation.
