Section One: Programme Commentary, RAG and Resources Update

Commentary

The new 2021/22 session starts with three ongoing projects.  However,  During August, MVM507 Risk, Business Continuity and Disaster Recovery remains suspended.

During August, a new project was started MVM531 CMVM Study Spaces - 2021 to enable the safe re-opening of CMVM Study Spaces through a managed process, in line with the latest University guidance to minimise the risk of transimission of Covid-19.

All projects are reporting an AMBER RAG status due to delays cause by staff unavailability, increased scope and short timeframe to deliver as students return to campus.

The overall status of the MVMBus programme is AMBER.

MVM507 Risk, Business Continuity and Disaster Recovery Agreement that MVM507 is to be delayed until next year (September 2021)  following mid year review at Programme Review Monthly Meeting - February 2021.

MVM529 Enabling CMVM Rooms for Hybrid Meetings - RAG Status: AMBER

Achievements in last period

  • 14 additional rooms identified as being able to be upgraded with cascade equipment, meaning 14 more rooms than the original 17 agreed can be improved within same budget.
  • Status of delivery of remaining equipment for SCRM clarified. SCRM Boardroom complete, SCRM Seminar Room installed with snagging to be resolved. Install date for First floor and Second floor meeting rooms confirmed w/c 13 Sep 21.
  • Work begun to provide in-room help for equipment use.

Issues

  • SCRM equipment only partially received and install date delayed to September because of supplier delay in providing key equipment (desk); funding now required from 21/22  budget (discussed with Finance team, other savings are sought to offset)
  • Request to HP to re-invoice with zero VAT has not been actioned, resulting in delay in payment.
  • Increase in number of rooms from 17 to 31 is pushing out timeline as these are across wider campus areas, delay acceptable for wider benefit.

Next Steps

  • Complete installations, including SCRM.
  • Provide summary list of rooms for College reference with information on the equipment available.
  • Complete in-room help for equipment use.

MVM530 Cataloguing CMVM IS Services - RAG Status: AMBER

Achievements in last period

  • Master list of CMVM IT services drafted.
  • Met with each CMVM IT campus lead(s) to talk through draft service list and their campus offerings.
  • Workshopped list with Sheila and campus leads to agree process, adjustments, descriptions, notes and where a mapping to IS Service Catalogue exists.  
  • Granted IT services list read/write access to CMVM IT campus leads and encouraged co-ownership.

Issues

  • Lack of resource availability within the ITIL team delaying decisions, direction and work on:
    • Submission/request process for new service entries into the IS Service Catalogue.
    • How CMVM IT Services will be differentiated and viewed/filtered in the IS Service Catalogue.
    • Drafting a couple of initial test CMVM IT services. 

Next Steps

  • Make agreed format changes to list structure.
  • Revise service list entries not yet covered by workshops. 
  • Run 2nd workshop (and possibly 3rd if required and diaries allow). 
  • Start to explore options/technology for hosting CMVM IT Service catalogue. 

MVM531 CMVM Study Spaces - 2021 - RAG Status: AMBER

Achievements in last period

  • MEC: Configured Dry Lab Non-Bookable room to be available with 10 study spaces with University PCs
  • MEC: Supported WGH Library team in configuring Quiet Study Space to be available with 7 University PCs and 3 NHS PCs (QR codes on all desks)
  • Lauriston Place: supported Dentistry team in understanding and preparing for changes needed

Issues

  • Lauriston Place: Dentistry team still require to maintain 2m distancing as they are within an NHS Lothian building, meaning no further study spaces can be opened up. The QR codes are yet to be replaced for check-in/out.
  • Chancellor's Building: rooms with study spaces (e.g. Seminar Rooms) are fully booked out for teaching: no study space will be available so the rooms do not require to be set up as dual-use rooms.
  • Kennedy Tower: will not open until Semester 2: no study space will be available so the room does not require to be set up currently.

Next Steps

  • MEC: enable room bookings for teaching in Computer Lab 1 (bookings can be made via the Timetabling team until this is enabled)
  • Lauriston Place: Complete QR code swap for Dentistry
  • Greenfield Suite & Henry Littlejohn rooms: risk assess and open if appropriate.
