Section One: Programme Commentary, RAG and Resources Update

Commentary

During September, good progress was made across all three ongoing projects. The re-opening of some of the study spaces, MVM531 CMVM Study Spaces - 2021, has been received positively by students.

One project, MVM530 Cataloguing CMVM IS Services, is reporting an AMBER RAG status due to delays cause by staff unavailability. Other projects are reporting a GREEN status.

The overall status of the MVMBus programme is GREEN.

MVM507 Risk, Business Continuity and Disaster Recovery Agreement that MVM507 is to be delayed until next year (September 2021)  following mid year review at Programme Review Monthly Meeting - February 2021.

MVM529 Enabling CMVM Rooms for Hybrid Meetings - RAG Status: GREEN

Achievements in last period

  • CMVM staff linked in with Hybrid Meeting team who are developing in-room guides, to work on consistent language and how to best make them available in ways that CMVM users are already familiar with
  • SCRM Boardroom complete, SCRM Seminar Room complete, First floor and Second floor meeting rooms ##. Funding confirmed as being taken from 21/22  budget.

Issues

  • Request to HP to re-invoice with zero VAT has still not been actioned, despite chasing of HP resulting in delay in payment.

Next Steps

  • Complete work in: QMRI (Auditorium, Mary Kinross, Peter Levine & Weiderlight) and Hugh Robson G6 (control panel shortage),
  • Update summary list of rooms for College reference with information on the equipment available.
  • Complete in-room help for equipment use in conjunction with the Hybrid Meetings project and make available.

MVM530 Cataloguing CMVM IS Services - RAG Status: AMBER

Achievements in last period

  • Structure of master list adjusted/tidied to be easier to use.
  • Further workshop session carried out with Sheila and campus leads (additional workshop session was cancelled due to sick leave). Progress is slow but steady as each service is defined and agreed across each campus team.
  • 3 further workshops scheduled.
  • Teaching & Learning services captured in separate stream for the moment.
  • Investigation into hosting technology for service catalogue is leaning towards SharePoint (due to capabilities, cost and CAHSS use for their T&L service catalogue).

Issues

  • Lack of resource availability within the ITIL team delaying decisions, direction and work on:
    • Submission/request process for new service entries into the IS Service Catalogue.
    • How CMVM IT Services will be differentiated and viewed/filtered in the IS Service Catalogue.

Next Steps

  • Run further workshops.
  • Merge T&L services into master catalogue. 
  • Investigate SharePoint further as CMVM IT Service catalogue hosting option. 

MVM531 CMVM Study Spaces - 2021 - RAG Status: GREEN

Achievements in last period

  • Greenfield Suite, and other smaller spaces, are now open. Positive feedback received from students.

Issues

  • Lauriston Place: Dentistry team still require to maintain 2m distancing as they are within an NHS Lothian building, meaning no further study spaces can be opened up. The QR codes are yet to be replaced for check-in/out.
  • Chancellor's Building: rooms with study spaces (e.g. Seminar Rooms) are fully booked out for teaching: no study space will be available so the rooms do not require to be set up as dual-use rooms.
  • Kennedy Tower: will not open until Semester 2: no study space will be available so the room does not require to be set up currently.

Next Steps

  • MEC: enable room bookings for teaching in Computer Lab 1 (bookings can be made via the Timetabling team until this is enabled)
  • Lauriston Place: Complete QR code swap for Dentistry
