Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for July 2024 is RED with progress still required to address continued lack of development resource capacity for the remainder of the calendar year, impacting the Student Placements project (MVM158), which is now suspended, and Not Started projects into 24/25.  In addition, the programme level risk for ITI CIS continues to be an issue for the Upgrading of Teaching Spaces project (MVM159) and causing this project to be RED.

The EPPSAT and Simulated Patient Databases (MVM163) project started in July.

There are seven open programme risks in July:

  • MVM157: GREEN - Additional patients added to the system in preparation for its use in Year 4 medicine classes beginning in early-August

  • MVM159: RED - Lack of resourcing in the Network team and delays in work with estates, has meant significant underspend in 23/24

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • Additional patients added to the system in preparation for its use in Year 4 medicine classes beginning in early-August.

  • Provide information on prescription functionality to the developer.
  • Continue developing the next phase of the system.

MVM158 Student Placements RAG Status: SUSPENDED until 23 August 2024

MVM159 Upgrading of teaching spaces 23/24 RAG Status: RED

Achievements this period

  • Vet School lecture theatres have been completed in preparation for Vet School teaching to recommence in early-August.
  • Vet School rooms G.03 and G.03A are almost complete, with just some programming and faulty equipment to be replaced.  Due to some severe water leaks into these rooms, they are currently closed for use, which is allowing some additional time for the AV upgrades to complete.
  • Minor equipment upgrades in Anatomy Lecture Theatre have been completed.
  • Temporary wireless solution for linking Chancellor's Building lecture theatres together has been installed.
  • Estates and network work for Small Anatomy Lab has been scheduled for early-August.
  • Purchase order raised for Biomedical Sciences East and West labs.
  • Received around a third of the supply only equipment that was ordered.

Issues

  • The lack of staff resourcing in other teams to allow for the completion of network and estates work for Lauriston learning hub, Dermatology clinic, Small Anatomy Lab and Biomedical Sciences East and West Labs projects has meant they could not be completed by the end of the financial year. 
  • The NHS/PFI estates team at the Royal Infirmary continue to have issues getting a suitable contractor to supply and build the required scaffolding for the installation of the direct links between the Chancellor's Building lecture theatres, therefore this could not be completed before the end of the financial year.
  • Requesting access for network contractor to get back in to the Lauriston Building has been extremely difficult, so additional delays have been experienced with this work.

Next Steps

  • Schedule AV contractors for Lauriston learning hub, Dermatology Clinic and Biomedical Sciences East and West labs once estates and network work is complete.
  • Schedule installation of direct links between lecture theatres in Chancellor's Building once NHS/PFI estates team can secure the services of a scaffolding company.
  • Receive remainder of supply only equipment.

MVM160 Upgrading of student computer labs, teaching and meeting room PCs 23/24 RAG Status: GREEN

  • Received the last of the PCs that were ordered for this year.
  • Student PCs in Chancellor's Building Microlabs, Greenfield Suite and Kennedy Tower have been replaced.
  • Vet School presenter PCs continue to be replaced.

Next Steps

  • PCs for 1 George Square, Dental Institute, Chancellor's Building library and Vet School library will be replaced during August, in line with requirements for the Windows 11 ISFM rollout.

MVM162 Anatomy Database RAG Status: GREEN

  • Dates from St Andrews to visit their facility and look at the system they use have been received.  Expectations are this will take place in mid to late-August.

  • Arrange meeting with Anatomy Lab manager to start analysing the existing data types and functionality of their existing files.

SAC095 Student Support Enhancements - RAG Status: CLOSED

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: AMBER

Achievements in Last Period

  • The changes to the Assessment and Progression Tools (APT) have been released for schools to start editing assessment structures for next year, this will help schools set up their assessment structures in time for the key term dates in September and will significantly reduce the time that they will need to update the extension periods.
  • ESC service has been upgraded to new Python version, removing project dependencies and improving service security 
  • Development while Student Extensions and Exceptional Circumstances have been moved to Testing, further refinements are still being built. Changes to the ESC dashboard for the ESC Team and Student Advisers are still being built, along with error handling and performance improvements. 
  • Function testing: After spending time on setting up students and assessment structures, testing new functionality has started. There are some caching issues in testing that required supporting 

  • User Sessions and Communications: presented the upcoming systems changes to two user sessions with over 110 schools staff.  and to the ESC Team. Preparing to test the student applications processes with Student Interns from IS Apps to ensure an improved student user experience. 

Issues 

  • (new) no contingency for go live in Sep, project team sickness, impact: fewer unit testing being done, outstanding build (ESC dashboard, error handling)

Next Steps​

  • Continue with refining build,  and function testing
  • Start user acceptance testing with ESC service, schools, Operations
  • Plan go live implementation task 

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: GREEN

Achievements this period:

  • Following review with the Programme Manager and Project Team, this project will now be suspended until further review in October 2024.

  • Project suspension request will be submitted for Apps Review on 1st August 2024.

Next steps:

  • The following tasks will be completed following the suspension period:
    • Confirm data items identified in both the initial and second iteration of stakeholder workshops can be populated and reported in Eduframe and/or Canvas.
    • Discuss potential reporting gaps with Drieam to determine the future state of the reporting solution.
    • Identify any new reporting requirements based on the new SCP solution/processes that will be adopted.
    • Determine what BI solution is required, and the support/operating model required.
    • Organise further technical consultancy sessions both within UOE and with the vendors, to confirm operational reporting readily available on-platform; ensure best practice is applied when designing the overall data strategy; and plan for any new Short Course Platform databases.

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:

  • Following review with the Programme Manager and Project Team, this project will now be suspended until further review in October 2024.

  • Project suspension request will be submitted for Apps Review on 1st August 2024.

Next steps:

  • The following tasks will be completed following the suspension period:
    • Plan out a full run of end-to-end payments testing, and align with the Implementation (SCP006) project timeline.
    • Although Finance have now confirmed that this will not be a blocker, review if any updates to PCI DSS compliance processes at the University.
    • Agree content and branding of payment process related assets (e.g. WPM-Education payment confirmation screen, footers, and email; Eduframe receipt and email etc.)

Risks/Issues:

  • t has recently been discovered that discounts are not working via Drieam's Eduframe to WPM-Education integration. This issue is under review with Drieam and the SCP's Business Analyst and Technical Lead

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: GREEN

Achievements this period:

  • IDM solution development continues for a Python app developed by ISG Apps Software Dev using the Eduframe API. LTW DLAM continue to test the solution with the developer. A couple of bugs have been discovered (403 error thrown when adding a super user; 500 error thrown when attempting to bulk upload users) and the team are currently working through these.
  • Project milestone change request will be submitted for Apps Review on 1st August 2024, to extend the project's Delivery and Closure dates in line with new programme timeline agreed at most recent SCP Board. (Project not reported as Amber for Time, seeing as overall programme timeline is shifting, and resource is not impacted.)

Next steps:

  • ISG Apps Software Dev to complete bug fixes for the IDM solution.
  • LTW DLAM to complete a final round of UAT before pushing the solution to the production environment.
