Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for August is RED due to:

  • Upgrading of teaching spaces 23/24 project (MVM159) continuing to be impacted by infrastructure delays
  • Programme does not have development resource assigned to start new projects

There are seven open programme risks in August:

Project highlights

  • MVM157: GREEN - No updates this month due to other priorities and return of Medical and Veterinary students.
  • MVM158: SUSPENDED until 23 September 2024
  • MVM159: RED - Project remains at RED due to the continued delays with infrastructure work
  • MVM160: CLOSED in August
  • MVM162: GREEN - Planned visit to St Andrews is being rescheduled
  • MVM163: GREEN - No updates due to other priorities in getting ready for teaching.

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • No updates due to other priorities and return of Medical and Veterinary students.

Issues

  • None

  • Provide information on prescription functionality to the developer.
  • Continue developing the next phase of the system.

MVM158 Student Placements RAG Status: SUSPENDED until 23 September 2024

MVM159 Upgrading of teaching spaces 23/24 RAG Status: RED

Achievements this period

  • Estates work for the Small Anatomy Lab has been carried out.  Temporary cabling and some reprogramming of existing equipment has been carried out by project manager and LST development team, to tide the room over until AV contractor can replace all equipment - this is now likely to be around December due to room usage.
  • Estates work for Lauriston Learning Hub has been carried out.
  • Vet School rooms G.03 and G.03A have had further programming carried out and purchase order for replacement of faulty equipment had been raised.  Rooms are still currently closed due to water leaks.
  • Estates work for Biomedical Sciences East and West labs has been scheduled to start on 3rd September.

Issues

  • The lack of staff resourcing in other teams, as mentioned in previous months reports, means that several projects continue to be delayed and uncertainty surrounding the budget amount for the new financial year means we can't start to look at the 2024-25 room list.
  • The NHS/PFI estates team at the Royal Infirmary continue to have issues getting a suitable contractor to supply and build the required scaffolding for the installation of the direct links between the Chancellor's Building lecture theatres.
  • Requesting access for network contractor to get back in to the Lauriston Building has been extremely difficult, so continued delays have been experienced with this work.  Issue has been escalated through various NHS contacts.

Next Steps

  • Schedule AV contractors for Lauriston learning hub, Dermatology Clinic, Small Anatomy Teaching Lab and Biomedical Sciences East and West labs once estates and network work is complete.
  • Schedule installation of direct links between lecture theatres in Chancellor's Building once NHS/PFI estates team can secure the services of a scaffolding company.
  • Receive remainder of supply only equipment.

MVM162 Anatomy Database RAG Status: GREEN

  • No update due to other priorities.

Issues

  • Visit to St Andrews had to be postponed due to staff absences.  This will need to be rescheduled for when there is a break in teaching on both sides.

Next Steps

  • Arrange meeting with Anatomy Lab manager to start analysing the existing data types and functionality of their existing files.

MVM163 EPPSAT and Simulated Patient Databases RAG Status: GREEN

  • Arrange meetings with EPPSAT and Simulated Patient co-ordinators to begin the analysis and requirements gathering processes.

 

Projects outwith the MVM Portfolio Update

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: GREEN

Achievements in Last Period

  • All changes have been signed off in TEST and released to the TRN environment for user testing, with access set up
  • Improved the performance for page loads and made the application more robust
  • Completed the open sessions with schools. Over 315 school users were trained in 6 sessions over the past few weeks. 
  • Completed usability tests with five students. A banner has also been developed to communicate the upcoming changes to students, having learned about the need from the usability sessions with students.
  • Catching up with the outstanding unit test cases build

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: SUSPENDED

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: SUSPENDED

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: AMBER

Achievements this period:

  • ISG Apps Software Dev completed bug fixes for the IDM solution.
  • LTW DLAM completed UAT and Accessibility testing, which has resulted in further work to be completed by ISG Apps Software Dev.
  • Additional effort has been requested in ASTA for ISG Apps Software Dev to complete this work, as well as for ISG Apps Dev Tech to complete the work required to deliver and close the project.

Next steps:

  • ISG Apps Software Dev to implement changes that need to be made to the app following the Accessibility report.
  • ISG Apps Dev Tech to complete Live environment build.
  • ISG Apps Dev Tech to complete TAD/Abacus work.
  • ISG Apps Software Dev to complete handover checklist for ISG Apps Prod, as well as complete SDD.
  • PM to complete project delivery and closure activities.

Risks/Issues:

  • The ISG Apps Software Dev developer assigned to the project is no longer available to complete the remaining work required (changes that need to be made to the app following the Accessibility report; handover checklist for ISG Apps Prod, as well as SDD; and AOB required for Live environment build). We are waiting for the ISG Apps Software Dev team manager to assign a new resource in ASTA, then the project team and ISG Apps Dev Tech resource can liaise with them to complete project delivery and closure activities. The issue has been flagged and we hope for new resource to be assigned by WE 13/09/2024.
