Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for October is AMBER (was RED) due to:

  • AMBER status of MVM159 (which has made progress and moved from RED to AMBER)
  • AMBER status of MVM164 due to substantial reduction in budget for this year
  • Programme does not have development resource assigned to start new projects

There are six open programme risks in October:

Project highlights

  • MVM157: GREEN - No progress due to teaching and other project priorities.
  • MVM158: CLOSED in October
  • MVM159: AMBER - Network installation work has finally been completed in the Lauriston Learning Hub and Dermatology Clinic.
  • MVM162: GREEN - Meeting took place with anatomy lab manager to start the requirements gathering process
  • MVM163: GREEN - No major updates due to teaching and other project priorities.
  • MVM164: AMBER - Substantial reduction in funding for this 24/25 project due to delayed spend from 23/24

MVM159 Upgrading of teaching spaces 23/24 RAG Status: AMBER

Achievements this period

  • Network installation work has finally been completed in the Lauriston Learning Hub and Dermatology Clinic.  AV contractor is gathering all equipment required together for the installation and we will then be able to schedule the work in for completion.  Lead time for the AV furniture was estimated at 6-8 weeks, although manufacturer have stated that will prioritise our needs.
  • AV contractor for Biomedical Sciences East and West labs have been scheduled for early-December.
  • AV contractor for Small Anatomy Teaching lab has been scheduled for early-December.

Issues

  • The NHS/PFI estates team at the Royal Infirmary continue to have issues getting a suitable contractor to supply and build the required scaffolding for the installation of the direct links between the Chancellor's Building lecture theatres.

Next Steps

  • Schedule AV contractors for Lauriston learning hub and Dermatology Clinic once they have all equipment and furniture ready.
  • Schedule installation of direct links between lecture theatres in Chancellor's Building once NHS/PFI estates team can secure the services of a scaffolding company.
  • Receive remainder of supply only equipment.

MVM162 Anatomy Database RAG Status: GREEN

Achievements this period

  • Met with anatomy lab manager to start the requirements gathering process, based on the spreadsheets they currently use.  The new system will likely be built in MS Access, with a front-end application located on the staff computer and the back-end database being stored in an encrypted folder on the network.

Issues

  • None

Next Steps

  • Continue discussions with Anatomy Lab manager regarding the analysis of their existing files.
  • Rearrange visit to St Andrews to discuss their current system.

MVM163 EPPSAT and Simulated Patient Databases RAG Status: GREEN

  • Arrange meetings with EPPSAT and Simulated Patient co-ordinators to begin the analysis and requirements gathering processes.

MVM164 Upgrading of Teaching Spaces 24/25 RAG Status: AMBER

Achievements this period

  • Met with members of the Vet School to discuss their concerns relating to the timing of annual upgrades.  Agreed that once the budget for this year is known and room priority list is created, additional staff will be included in the communications.  If it's possible, a preference would be to carry out some of the Vet School upgrades during the Easter break.
  • Initial room requests from Vet School have been added to the project brief.

Issues

  • The proposed budget for this year is 22% less than last year and none of the funding requested to be carried over, due to the staff resourcing issues from last year, has been approved.  This means that after the already committed spend for the delayed rooms from last year, the proposed budget for this year is 75% less than last year.  Other funding streams will be investigated to see what's possible.

Next Steps

  • Complete list of rooms requiring upgrades for the different campus locations and add to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding and communicate out to the relevant staff/groups.
  • Create AV designs and then tender documents for each of the new room upgrades.

 

Projects outwith the MVM Portfolio Update

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: GREEN

Achievements in Last Period

  • Two post live fixes released
  • Supported the Mongo Db upgrade to address its end of life 
  • Summarized the different solutions for providing extensions on resit coursework submissions and discussed it with the key stakeholders
  • Building the  proof of concept for updating outcomes for Exceptional Circumstances
  • Improving the performance of the extensions application before the peak extensions period in early Dec
  • Improvements to the service whether usability, dashboard for staff, or more technical changes to manage errors, unit tests: being tested for deployment in Nov

Issues 

  • (resolved) - two issues reported in Live have been fixed
  • (ongoing) Revised milestones for
  • 1- agreeing a solution for reassessment- Impact: will not be ready for Jan, as a result ESC service will continue managing EC for resit off systems. Aim for a systems solution ready for summer resits
  • 2-planning the BI infrastructure design and implement an infrastructure required for ESC reporting, to allow for Operations service to run reporting requirements  without performance issue

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: GREEN

Achievements this period:
  • SCP project team has engaged with Enterprise Architecture lead via email between 01/10/2024 to 07/10/2024, providing project oversight and context for next steps.

  • Database mapping exercise initiated by SCP project team on 30/10/2024.

  • Follow-on meeting with SCP Online Marketing lead on 05/11/2024 to discuss marketing must haves for day 1 Reporting MVP (for Release 2), as well as how Dotdigital will work with the SCP.

Next steps:

  • PM to complete set-up of Reporting Jira Epic within the new Short Course Platform Jira space.
  • Progress plans for database creation:
    • Dev Tech will connect the database (MariaDB?) to Eduframe’s PowerBI service.
  • Progress plans for building the integration:
    • Connecting the APIs - how will this work? (Eduframe Power BI connectors).
    • Overnight or event driven? How up-to-date does the information need to be? Event driven preferred, but depends on their model.
  • Confirm who will build reports for the SCP service?
    • Only COL have access to BI services via CAHSS
    • Development Services have training planned in this area for future service provision.

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:
  • PM has transferred all Payments project related tasks over to the Short Courses Platform - University of Edinburgh Jira to track moving forward.

  • We successfully completed another round of Payments testing with Finance/Flywire following the Drieam discount code bug fix and invoice prefix change:

    • Oct 2024 - Payments with/without Discount Code and Refunds:

      • Round 1 (Dev8) re-test.

      • Inohub and P&M (Dev8) re-test.

Next steps:

  • Work to continue with Online Marketing and Accessibility teams to ensure payment screens and email notifications are updated accordingly for the new platform.

  • We need to complete a second round of re-testing following a change via (FIN143) the Lloyd's MAS project (Currently coordinating with Finance and Flywire):

    • Nov 2024 - Following FIN143 MAS project change:

      • Round 2 (De7) re-test.

      • Finance to progress early Nov or as soon as Dev 8 sign-off so no delay to Jan 2025 UAT.

Risks/Issues:

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: AMBER

Achievements this period:

  • Dev Tech have completed TAD/Abacus work.
  • Software Dev have completed final bug fixes following testing, and updated the SDD.

Next steps:

  • Apps Production Management to complete Deployment Checklist.
  • PM to complete project delivery and closure activities.

Risks/Issues:

  • AMBER Risk: Following a project check-in with Service Management, the project team learnt that AD (Active Directory) is not automatically enabled on all Visitor accounts. There is no date in place for when the change to VMS (Visitor Management System) will occur, that will enable AD on all Visitor accounts by default. Although this is planned due to MFA (Multi Factor Authentication) changes that will also allow Visitors to log into University services, there is a delay due to gaps in consultancy. IMPACT: The SCP Teacher Admin app checks account status in IDM, then creates an account in the SCP. (It does not check for AD). There is no impact to Staff accounts via the SCP Teacher Admin app, as AD is assigned by default. If a Visitor does not have AD assigned to their University account, their corresponding account created in the SCP will partially fail due to AD authentication not being available. This will result in the Visitor account not working via SSO (Single Sign On). NEXT STEPS: The Project needs to proceed as planned, as the SCP Teacher Admin app is required to support the next phase of Early Adopter onboarding in January 2025. The Visitor account/AD issue poses a low risk, as the Live app will remained locked down to the Project team only. Accordingly, the Project team will advise and provide guidance on how to create Visitor accounts until Service Management rectify the issue (outside of the Project Scope). For Early Adopters, if an SCP Admin reports that a Visitor account is not working via SSO, the Project team will delete the account and advise on how to add AD before starting the registration process again. The Project team will gain Apps Production Management sign-off of the above before proceeding.
