Commentary

Programme status: The overall status of the MVMLAT programme for November is AMBER due to:

  • Limited progress in open projects
  • Programme does not have development resource assigned to start new projects
  • The programme is subject to multiple RED risks

There are seven open programme risks in November:

  • MVM159: AMBER - The NHS/PFI estates team at the Royal Infirmary continue to have issues getting a suitable contractor to supply and build the required scaffolding
  • MVM162: GREEN - No progress due to annual leave and other priorities.
  • MVM163: GREEN - No progress due to annual leave and other priorities.

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

  • Provide information on prescription functionality to the developer.
  • Continue developing the next phase of the system.

MVM159 Upgrading of teaching spaces 23/24 RAG Status: AMBER

Achievements this period

  • Met with AV contractor on-site to discuss upgrades for the Lauriston Learning Hub and Dermatology Clinic.  Plans are to carry out the upgrade during mid-January if the NHS estates confirm they are happy with dates specified.
  • All remaining supply only equipment has been received.

Issues

  • The NHS/PFI estates team at the Royal Infirmary continue to have issues getting a suitable contractor to supply and build the required scaffolding for the installation of the direct links between the Chancellor's Building lecture theatres.

Next Steps

  • Confirm AV contractor start and end dates for Lauriston learning hub and Dermatology Clinic once we receive approval from NHS estates.
  • Schedule installation of direct links between lecture theatres in Chancellor's Building once NHS/PFI estates team can secure the services of a scaffolding company.

MVM163 EPPSAT and Simulated Patient Databases RAG Status: GREEN

  • Arrange meetings with EPPSAT and Simulated Patient co-ordinators to begin the analysis and requirements gathering processes.

MVM164 Upgrading of Teaching Spaces 24/25 RAG Status: AMBER

  • No progress due to annual leave and other priorities.

Issues

  • Continued pressure on budget and what upgrades will be possible this year.

Next Steps

  • Complete list of rooms requiring upgrades for the different campus locations and add to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding and communicate out to the relevant staff/groups.
  • Create AV designs and then tender documents for each of the new room upgrades.

 

Projects outwith the MVM Portfolio Update

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: GREEN

Achievements in Last Period

  • Two live releases done: 
    • updated EC outcomes to all staff and student-facing systems: update the outcomes in EUCLID (APT and Student Self Service) and the EC systems. Updated outcomes will also be visible in the Exceptional Circumstances BI reports for years 2024/25 on. Outcomes from the SC Policy will still be visible from previous years. 
    • improvements and bug fixes
      • providing students information around group extensions in emails following approved extensions, 
      • providing web links with updates to the policy in the system within context such as details around what is considered sufficient evidence, 
      • enabling students with schedules of adjustments to be able to directly access the ETA tool from the EC system, 
      • ensuring EC cases are being created for multiple courses instead of in different cases, and 
      • no errors are received when uploading evidence during the application process. 
  • Summarized the different solutions for providing extensions on resit coursework submissions , estimates required
  • Building the performance of the extensions application for the peak extensions period

Issues 

  • (ongoing) Revised milestones for

    1- agreeing a solution for reassessment and estimate it- Impact: will not be ready for Jan, as a result ESC service will continue managing EC for resit off systems. Aim for a systems solution ready for summer resits- No BA availability till January

    2-building the performance of the extensions application before the peak extensions period early Dec will not be ready- Next: continue work and monitor December peak period to inform scope of work 

    3-planning the BI infrastructure design and implement an infrastructure required for ESC reporting, to allow for Operations service to run reporting requirements  without performance issue

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: GREEN

Achievements this period
  • Database mapping exercise continues by SCP project team: SCP Data - Miro

  • Meeting held with Power BI Service Manager on 28/12/2024 to check in on status of service at the University.

  • Meeting scheduled with CAHSS BI team on 12/12/2024 to discuss COL SCP data.

  • Apps Project Service will proceed with recruitment for replacement PM to take over project from January 2025 onward.

    • Set-up of Reporting Jira Epic within the new Short Course Platform Jira space is now on hold until new PM takes over the project.

  • Current PM preparing handover before leaving.

Next steps

  • Progress plans for database creation:
    • Dev Tech will connect the database (MariaDB?) to Eduframe’s PowerBI service.
  • Progress plans for building the integration:
    • Connecting the APIs - how will this work? (Eduframe Power BI connectors).
    • Overnight or event driven? How up-to-date does the information need to be? Event driven preferred, but depends on their model.
  • Confirm who will build reports for the SCP service?
    • Only COL have access to BI services via CAHSS
    • Development Services have training planned in this area for future service provision.

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: GREEN

Achievements this period:

  • Release v1.0.0 of the new SCP Teacher Admin app deployed from the production branch to DEV and TEST on 03/12/2024.
    • Final deployment to LIVE scheduled on 09/12/2024 at 11am.
  • Apps Production Management have completed 96.08% of the Deployment Checklist.

Next steps:

  • Apps Production Management to complete 100% of the Deployment Checklist.
  • PM to complete project delivery and closure activities, and submit to the last Apps Review of the year on 12/12/2024.

Risks/Issues:

  • The risk related to AD/Visitor accounts outlined in last month's RAG report will be monitored as part of LIVE service support once the project is closed.
