Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for December is AMBER due to:

  • Limited progress in open projects and suspension of one
  • Programme does not have development resource assigned to start new projects
  • The programme is subject to multiple RED risks

There are seven open programme risks in December:

Project highlights

  • MVM157: GREEN - No progress due to annual leave and other priorities.
  • MVM159: AMBER - Small Anatomy Lab, as well as Biomedical Sciences East/West lab upgrades have now been completed. The delay for scaffolding has continued.
  • MVM162: GREEN - No progress due to annual leave and other priorities.
  • MVM163: SUSPENDED - Project has had to be suspended due to department staff shortages.  Expectation is that the project will restart around May.
  • MVM164: AMBER - Project at AMBER due to uncertainty of budget and what rooms can be upgraded this year.

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

  • No progress due to annual leave and other priorities.

  • None

Next Steps

  • Provide information on prescription functionality to the developer.
  • Continue developing the next phase of the system.

MVM159 Upgrading of teaching spaces 23/24 RAG Status: AMBER

Achievements this period

  • Small Anatomy Lab, as well as Biomedical Sciences East/West lab upgrades have now been completed.

Issues

  • The NHS/PFI estates team at the Royal Infirmary continue to have issues getting a suitable contractor to supply and build the required scaffolding for the installation of the direct links between the Chancellor's Building lecture theatres.

Next Steps

  • Confirm AV contractor start and end dates for Lauriston learning hub and Dermatology Clinic once we receive approval from NHS estates.
  • Schedule installation of direct links between lecture theatres in Chancellor's Building once NHS/PFI estates team can secure the services of a scaffolding company.

MVM162 Anatomy Database RAG Status: GREEN

  • Rearrange visit to St Andrews to discuss their current system.

MVM163 EPPSAT and Simulated Patient Databases RAG Status: SUSPENDED

  • Project has had to be suspended due to department staff shortages.  Expectation is that the project will restart around May.

Next Steps

  • Arrange meetings with EPPSAT and Simulated Patient co-ordinators to begin the analysis and requirements gathering processes.

MVM164 Upgrading of Teaching Spaces 24/25 RAG Status: AMBER

  • No progress due to annual leave and other priorities

Issues

  • Continued pressure on budget and what upgrades will be possible this year.

Next Steps

  • Complete list of rooms requiring upgrades for the different campus locations and add to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding and communicate out to the relevant staff/groups.
  • Create AV designs and then tender documents for each of the new room upgrades.

 

Projects outwith the MVM Portfolio Update

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: GREEN

Achievements in Last Period

  • Support the EC peak period during the exam period went well. We researched how the system is managing over the current peak Dec period  No concern raised. There was 2,518 coursework extension cases submitted between 2nd -5th December. This compares with 5,238 CE cases for the whole of November and 3,244 in October. So almost half the total volume of all last month's CE cases  was processed in just over 3 days with no performance issues raised

  • Following the release done for the updated EC outcomes to all staff and student-facing systems: the new outcome decisions for courses (made by the Exceptional Circumstances Committees) and for progression and award (made by the Board of Examiners) have been updated ahead of January Boards. This has been published on EC website, and shared with Colleges as well as with Schools via the User Group

  • Released the display of the new banner to inform students of the Xmas university closure

  • Progress with technical documentation and unit testing

Issues 

  • (ongoing) Revised milestones for

    1- agreeing a solution for reassessment and estimate it- Impact: will not be ready for Jan, as a result ESC service will continue managing EC for resit off systems. Aim for a systems solution ready for summer resits- No BA availability till January

    2-planning the BI infrastructure design and implement an infrastructure required for ESC reporting, to allow for Operations service to run reporting requirements  without performance issue

Next Steps​

  • review  the different solutions for providing extensions on resit coursework submissions , estimates required
  • Review changes required  to the BI infrastructure: design and implement of an infrastructure required for ESC reporting- Engage with IS BI team
  • Address revised milestones for Reassessment,  and BI infrastructure

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: GREEN

Achievements this period
  • Database mapping exercise concluded by SCP project team: SCP Data - Miro

  • Meeting held with Apps development manager and the new Apps PM to discuss handover and next steps

Next steps

  • Reset the project deliverables and milestones along with required resource bookings
  • Progress plans for database creation:
    • Dev Tech will connect the database (MariaDB) to Eduframe’s PowerBI service.
  • Progress plans for building the integration:
    • Connecting the APIs - how will this work? (Eduframe Power BI connectors).
    • Overnight or event driven? How up-to-date does the information need to be? Event driven preferred, but depends on their model.
  • Confirm who will build reports for the SCP service?
    • Only COL have access to BI services via CAHSS
    • Development Services have training planned in this area for future service provision.

Risks/Issues

  • Risk: There is a risk that an interim solution will need to be provided to deliver the finance reconciliation reporting essential for confirming payments received in P&M match the SCP records. 

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:

  • Testing continued with no issues identified

  • approval for the payment integration to be deployed to DEV7 and changes to inohub confirmed

Next steps:

  • await the confirmation that the Lloyds change can progress and final testing of the integration can start
  • testing via Lloyds and the new SCP payment gateway
  • confirm to the SCP Implementation project that the payment integration is ready for the full end to end SCP testing including the learner enrolment forms

Risks/Issues: 

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: CLOSED

The project delivered and closed in December. The closure report is available.
