Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for January is RED due to:

  • Multiple project suspensions
  • Programme does not have development resource assigned to start new projects
  • The programme is subject to multiple RED risks

There are seven open programme risks in January:

Project highlights

  • MVM157: SUSPENDED - Project Manager conflicted on other work causing suspension to at least April
  • MVM159: GREEN - Lauriston learning hub and Dermatology clinic have been upgraded.
  • MVM161: GREEN - Project initiated
  • MVM162: SUSPENDED - Project Manager conflicted on other work causing suspension to at least May 2025
  • MVM163: SUSPENDED - Project was suspended in December. No further work or reporting expected until May 2025
  • MVM164: AMBER - Additional locations added to the brief. Anatomy Lecture Theatre timescale is to be extremely tight with an open day in June

MVM157 Medical Simulation - Electronic Systems RAG Status: SUSPENDED

Achievements this period

  • Project has had to be suspended due to limitation on project manager time.  Expectation is that the project will restart in April.

Issues

  • None

Next Steps

  • Provide information on prescription functionality to the developer.
  • Continue developing the next phase of the system.

MVM159 Upgrading of teaching spaces 23/24 RAG Status: GREEN

Achievements this period

  • Lauriston learning hub and Dermatology clinic have been upgraded.

Issues

  • The NHS/PFI estates team at the Royal Infirmary continue to have issues getting a suitable contractor to supply and build the required scaffolding for the installation of the direct links between the Chancellor's Building lecture theatres.

Next Steps

  • Installation of direct links between lecture theatres in Chancellor's Building will be shifted into the teaching spaces 24/25 upgrade project and this project will be closed.
  • Closure report to be written.

MVM161 Student Competency Tracking RAG Status: GREEN

MVM162 Anatomy Database RAG Status: SUSPENDED

  • Project has had to be suspended due to limitation on project manager time.  Expectation is that the project will restart in May.

Next Steps

  • Continue discussions with Anatomy Lab manager regarding the analysis of their existing files.
  • Rearrange visit to St Andrews to discuss their current system.

MVM163 EPPSAT and Simulated Patient Databases RAG Status: SUSPENDED

MVM164 Upgrading of Teaching Spaces 24/25 RAG Status: AMBER

Achievements this period

  • Received information that Kennedy Tower is being passed back to NHS at the end of May, so teaching facilities need to be decommissioned and equipment stored or reallocated elsewhere.  Location added to project brief.
  • Request to add Roslin Auditorium to the Easter Bush list of room upgrades.  This will be part funded by the School.
  • Chancellor's Building seminar room 6 to be converted from standard teaching space to a clinical skills teaching space.  Clinical skills store room to be converted into an immersive simulation space.  Both are to be funded through ACT (Additional Cost of Teaching) money.

Issues

  • Anatomy Lecture Theatre timescale is to be extremely tight, as there is an open day scheduled for 20th June.

Next Steps

  • Complete list of rooms requiring upgrades for the different campus locations and add to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding and communicate out to the relevant staff/groups.
  • Create AV designs and then tender documents for each of the new room upgrades.

 

Projects outwith the MVM Portfolio Update

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: GREEN

Achievements in Last Period

  • Scope change new baseline: agreed for review see issue below
  • Signed off next round of continuous improvements for release beg Feb including (1) quick searches to find EC cases that have recently been completed with evidence, (2) enabling the EC service to create EC cases with multiple assessments., (3) frontend change to prevent students from seeing any locked extensions
  • Resit extensions  : designing the webform that schools can use to provide extensions details for resits. These will be forms allowing better data and will be usable by the EC service for approving EC applications as well. These forms will replace the currently provided spreadsheets and will enable students to receive extensions on resits using the existing system.
  • Performance during peak application periods: analysing current database system and liaising with IS Production for enhancements

  • Mitigating vulnerabilities : updating the language for the older areas of the system including ETA and EC applications so that security vulnerabilities are mitigated. 

  • Engaged with IS BI team to review the challenge of the ESC BI reports during peak Board period

  • Documentation: set up the wiki for documentation is in progress

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: AMBER

Achievements this period
  • Several planning meetings held
  • Project Brief has been updated
  • Development Technology representative assigned
  • Business Analyst assigned 

Risks/Issues:

  • Issue: Project brief not signed off due to Senior Learning Technology Service Manager's availability
  • Risk: There is a risk that an interim solution will need to be provided to deliver the finance reconciliation reporting essential for confirming payments received in P&M match the SCP records. 

Next steps:

  • Confirm all planning documentation and signs off planning milestones
  • Start Business analysis to define reporting requirements.
  • Technical review of API documentation 
  • Confirm and on board Development resource 

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period

  • Eduframe configuration to the test environment completed. 

  • Payments email address confirmed as payments.shortcourses@ed.ac.uk. 

  • End-to-end payment configuration (Eduframe test and Worldpay PSP test account) in progress. 

  • User acceptance testing (UAT) on the payment integration in progress. 

  • Acquirer provider change from WPM to Lloyds completed. 

  • Overall payment integration on track to be delivered by end of February.

Risks/Issues

  • None

Next Steps

  • Get internal sign off on the payment email templates (e.g., payment success and refund). 

  • Liaise with Flywire to get the email address and email templates configured. 

  • Switch the gateway from test to production. 

  • Perform final round of user acceptance testing on the production environment. 

  • Set up ongoing test payment gateway. 

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: CLOSED
