Section One: Programme Commentary, RAG and Resources Update

Commentary

During September, one new project, MVM112 Technology to support simulation teaching started, taking the current number of active projects in the MVMLAT programme to 11.

Good progress is being made in the Online Assessment projects with the data migration and deployment of Practique successfully proceeding with student trials.

The RAG status for one project, MVM122 Biomedical Sciences submission word count facility, remains RED. Concerns have been raised regarding the business benefits of doing this project. This was discussed during the last monthly programme meeting. Portfolio manager and the sponsor will reconsider whether this work should be done. Four projects are GREEN and another four are AMBER.

The overall status of the MVMLAT programme is RED.

Achievements this period

Issues

  • Students are still experiencing issues with eduroam access in NHS Lothian.  College IS staff have been pushing NHS Lothian to replace their failing proxy server as soon as possible, however staff resourcing in the NHS IT department is an issue at present.  As a short term solution, 12 ACT funded USB mobile broadband dongles have been given to St John's hospital and anther 10 have been purchased through College IT L&T funds (at £7.70 per month per USB dongle for 5GB of download).

Next Steps

  • The PCs in St John's hospital are being reconfigured to provide a quicker log in time to improve the student experience.  This configuration will be different to the University open-access computer labs, however students are noticing up to 10 minute log in times currently.

Achievements this period

  • We will be looking to close this project in October, as a new project will be created for the rooms to be refurbished/upgraded during 2017-18.

Issues

  • There are currently a few remaining issues with a number of the rooms:
    • Chancellor's Lecture Theatre A - The AV contractor will be back in on the 17th October to check cabling/connections and to move some of the equipment to resolve the 4K projection issue.  They will also resolve the issue of the lecture recording camera not working.
    • Chancellor's Undergraduate Medical Teaching Room - The second projector has stopped responding to power commands sent from the desk.  A replacement projector will be installed whilst the original one is checked and if necessary replaced under warranty.  The temporary chairs have been replaced with new ones which have easily removable tablets which can be stored in a stand/cabinet (to be delivered in due course).
    • PG Viva room in HRB - Due to office space requirements, the PG Viva space has had to be moved from G32 into G37 - this has been agreed with Janet Philp.  When not being used for PG Vivas, the room will be usable as a standard meeting room.  This room needs the walls painted and the video conference codec needs replaced with one which has come out of the Chancellor's Building.

  • This project will be closed in October, as the Medical School will be one of the pilot use cases in project DTI020.  DTI020 will be linked as an interested project on the MVMLAT programme page, so that people can find it easily.
  • A meeting was held on the 3rd October with the DTI020 project team, Lydia Crow, Nicola Crowley and Alan Gilchrist to outline where things currently stand and what the next stages will be.

Achievements this period

  • Change approved for scope increase (accommodating project support for all MBChB semester 1 formative and summative exams) , budget increase and major milestone
  • Two pilot exams executed using brand new content and with 25 students sitting

Issues

  • Small delay of historical content via MVM119 being imported - the supplier and project team have met and agreed a plan forward, the supplier need to execute it
  • Two MBChB year coordinators are moving jobs this month - they are critical in MBChB having the right level of knowledge to process exams this year

  • small delay with Fry-IT importing OSCA and OSCA+ content - this has been escalated with the supplier and a mitigation plan approved, they now need to execute that in a timely fashion

  • Complete OSCA and OSCA+ import
  • Support MBChB coordinators approving the questions and resources
