MVM IT Portfolio report and Project Updates – October 2017

 

Update on current projects / progress:

MVM101 - Connectivity - on-campus and off-campus http://www.projects.ed.ac.uk/project/mvm101

Project has been closed and a new one will be opened to focus on work to be carried out during the 2017-18 session.

USB Mobile broadband dongles have been received well by the students out at St John’s hospital, therefore we are continuing to use these as the short term solution for the on-going WiFi issues experienced over there.  A new configuration has also been developed for the PCs in the St John’s hospital library which has reduced log in times by removing a lot of software applications.  Notices are in place telling students what to do if they find software they usually use is missing.

 

MVM104 - Strategy for the upgrade of our computer labs (annual) http://www.projects.ed.ac.uk/project/mvm104

Project was closed on 30th August and a new one relating to the 2017-18 session will be started.

 

MVM105 - Strategy for the upgrade of our teaching spaces (annual) http://www.projects.ed.ac.uk/project/mvm105

Outstanding Issues:

Vet School - Presenter mode not working correctly in the lecture theatres and additional screen needs installed in G.01.

Chancellor's Building - Mediascape returned to investigate the 4K resolution issue in lecture theatre A.  The problem appears to relate to the Extron scaler/switcher which is supposed to be capable of supporting 4K on the 2 HDMI outputs.  Alan to investigate further with Extron (directly) and possibly exchange the unit for the latest released version which supports 4K on all outputs.

PG Viva room in HRB - Need to chase up estates regarding the painting of the walls and then reconfigure the AV equipment to match that in the PG Viva room in Chancellor's Building.

Project will remain open until these issues have been resolved.  A new project will be started which will relate to the upgrades planned for 2017-18.

 

MVM107 - Procurement of an online application to support assessment and feedback for MBChB http://www.projects.ed.ac.uk/project/mvm107

Project was closed on 29th August.

 

MVM111 - Technology to support short-notice communications to students http://www.projects.ed.ac.uk/project/mvm111

Project has been closed as MBChB are to be one of the pilot use cases within the project DTI020.

MVM118 - Deployment of an online application to support assessment and feedback for MBChB https://www.projects.ed.ac.uk/project/mvm118

Two Year 6 Formative exams have been held, the first covering the whole year approx. 220 students and the second covering approx. 50% of the Year.  The exams used brand new content and followed all the MBChB processes; approving the questions, creating and approving the exams, executing post exam reports.  Feedback from the students to receiving 'candidate feedback reports' has been very positive.

A trial exam has been created to test MBChB ability to support formative exams being held on student machines over a period of time.

The installation of the ‘Safe Exam Browser’ client created a problem with the Vet School exam software (Speedwell) which required their exams on the 19th October to be taken on paper.  The problem was due to ‘Safe Exam Browser’ conflicting with Speedwell’s client software (eSystem Secure) which turns out to be a rebranded version of ‘Safe Exam Browser’.  The problem was resolved on the evening of the 19th October, so that the client software is now only installed when a PC goes into a specific mode.

 

MVM119 - Data migration and data creation for the online assessment and feedback application for MBChB https://www.projects.ed.ac.uk/project/mvm119

All of the OCSA and OSCA+ content has been imported into Practique and is being reviewed by year coordinators/directors.  New content has been imported by the project manager and documentation will be provided on how to bulk upload content in the future.

 

MVM120 - Windows 10 rollout to computer labs http://www.projects.ed.ac.uk/project/mvm120

A new project manager has been appointed to progress all of the Windows 10 projects.  An outcome of this may be that this MVM project is closed and the requirements/work be bundled into a single University wide Windows 10 project.

 

MVM121 - Assessment and Feedback Reporting http://www.projects.ed.ac.uk/project/mvm121

Business analysis report has been circulated for approval by stakeholders.  Strategy for shaping of follow-on projects has been agreed with Student Systems Partnership.

Next steps

  • Gain final stakeholder approval of report & buy-in to recommendations
  • Gain stakeholder agreement to shaping of follow-on projects for (i) data storage and (ii) report production.
  • Start up follow-on projects.
  • Agree schedule for closure of this project

 

MVM122 - Biomedical Sciences submission word count facility http://www.projects.ed.ac.uk/project/mvm122

It is not currently possible to automate the transfer of documents to or from Turnitin using a functional account, which is what this project required.  Karen Harris has accepted that this is not currently possible, therefore the project has been closed.

  • Set up a meeting with IS MVM Campus leaders and David Graham ITI CIS
  • Discuss the creation of a virtual networking team covering CMVM
  • Get formalised agreement with ITI CIS on the membership, role descriptions and responsibilities of this virtual team

 

Key updates on interested projects out with the CMVM programme:

PO267 – EEMeC Migration - http://www.projects.ed.ac.uk/project/p0267

A number of issues related to content within the VLE have been identified post-migration. A report has been provided to the Programme Director, Head of School and College Registrar summarising the issues.

Given the GMC visit in early November, additional resource has been made available to the College. Staff from LTW are spending time based in Little France and are offering one-to-one sessions with academic colleagues to check links, tidy formatting and other changes as required. 16 sessions have been booked.

Discussions with Library and University Collections colleagues have agreed how best to manage Leganto Resources Lists for the MBChB. First content has been added to the Knowledge Hub site.

 

PO264 – EESurg VLE Migration - http://www.projects.ed.ac.uk/project/p0264

Knowledge base main pages now migrated and with academic team for checking. Knowledge base 140 'orphan' pages identified and ESSQ team have confirmed which pages to be migrated.

Course prototype reviewed by Project Board 28 Aug. Second prototype (Academic Surgery) populated. Reviewed and signed off at Programme Board on 06 November. Focus is now on gathering content to be migrated via Word documents. Content will be added to Learn as web content. Academic team raised the potential for additional support in their team required during this process. Will monitor and flag if it becomes an issue. Academic team to discuss with College Office process around issuing tutors with EASE credentials for access to the VLE.

 

DPT001 – Apps to users devices https://www.projects.ed.ac.uk/project/dtp001

A major impact has been that due to the deployment of Windows 10 being postponed from start of term (DTP008/13), key desktop colleague Mark Wiseman is now required to help with preparing Windows 7 for extended use in 2017/18, which will keep him off the project until end of 2017.

Meantime, the high level design for the new solution to replace Atlantis has been approved, and a workshop was held to kick off the low level design so that the VSAN build can be done before end of 2017.

 

MLE003 - Lecture recording – Media Hopper Replay https://www.projects.ed.ac.uk/project/mle003

The first phase launch of Media Hopper Replay is complete and the project will be moving to closure. 138 rooms were equipped for September 2017 and a number of CMVM rooms were prioritised during the rollout.  Use in Veterinary Medicine and Biomedical Sciences is increasing. The School of Medicine were not historic users of the previous service and the second phase of the project will be focussed on supported expanded use in such Schools. There are some particular challenges in the School related to confidential content and the level of access in Learn which will be the focus of the next phase in terms of support.

Successful start of term for UG using central timetabling and room booking, including personalised timetables. Lessons learned from Semester 1 to be discussed and planning for Semester 2 to begin.

 

MVM114 Edinburgh Medical School Review of Support for Timetabling and Room Booking - http://www.projects.ed.ac.uk/project/mvm114/

Review of initial stakeholder engagement carried out by Business Analyst. Updated draft report format prepared. Initial interviews to be completed along with requirements definition and gap analysis. Draft report to be prepared (Note: this is project is a separate agenda item at CULT for 9 November meeting).

Project funding allocations have been made and decisions are being communicated. A list should be available for future meetings.

Paper has been sent to Senate LTC 15 November meeting outlining the scope of the project. Project manager has been assigned and project brief will be available on Projects website shortly. This will be a multi-year project.
