Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme is AMBER due to continuing impact from three top risks and two continuing issues.

The programme is still being impacted by the issues raised in October:

Project highlights

  • MVM112: progress made on analysis of design/development approaches
  • MVM125: PC build configuration has been created
  • MVM132: Testing has resulted in a need to complete re-work and re-testing therefore this project's delivery is delayed
  • MVM134: Work following testing feedback means delivery now expected in mid-February.
  • MVM135: Progress made on rooms that require upgrading and what each room needs. (This project will be impacted by the programme issue noted above about substantial reduction in AV funding.)
  • MVM136: Successful completion of the MBChB Assessment days. 
  • MVM137: Project initiated and all computers have been identified across the campuses
  • MVM138: Vets EMS project was initiated, and framework structure is in place.
  • MVM139: Curriculum Map project started to do technical upgrade. Underlying framework and code updated to support PHP 7.3.
  • MVM516: BMS portal project being initiated on agreement of scope

Section Two: Projects Not Started 

The Not Started projects in the MVMLAT programme were discussed at the 22 October 2019 programme meeting and the table below reflects the programme's current position. Due to competing priorities and lack of capacity in MVM, there are a number of projects noted as not currently planned for inclusion in 19/20.

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • Simulated Patient Co-Ordinator has sent over details of another organisation's database to the project manager to see if it could fulfil our needs and be used within the University.
  • Started looking at whether MS PowerApps could be used to create the front end of the Simulated Patient database.

Next Steps

  • Evaluate the possibility of another organisation's database to see if it could be used within our context.
  • Continue development of Simulated Patient database, looking more into the MS PowerApps route.
  • Create an initial draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs and replacement cycles.

MVM125: Connectivity - Off-campus 2018/19 - RAG Status: GREEN

Achievements this period

  • A suitable PC build configuration for the PAEP library has been created and applied to one PC using a mobile broadband USB dongle.  This needs to be replicated to allow easier rebuilds in the future.

Next Steps

  • Create easy rebuild procedure for PAEP library, since it is not a fully supported desktop build.
  • Receive suggested options for restoring eduroam connectivity in NHS Lanarkshire.
MVM132 MBChB ranking reports in BI Suite  - RAG Status: GREEN

  • User testing in LIVE started
  • Delivery and Closure milestones revised to accommodate re-work and re-testing

Issues

  • As noted in change 6, an issue was found when testing started in LIVE. This Student Data and Survey team have met with the Business, identified the case and estimated re-work.

MVM134 MBChB Evaluation System - RAG Status: AMBER

Achievements this period

  • Added a progress bar so students can see a completion percentage when completing an evaluation
  • Obfuscate the URLs for a report that is shared with a guest user
  • Allow users to download reports in PDF format

Issues

  • Tutor evaluations had not been implemented correctly. Additional tasks added to fix tutor evaluation implementation.
  • Two features identified that were missing in original system. Group bulk upload and evaluation search. Tasks added to implement these features

MVM135 Upgrading of Teaching Spaces 2019/20 - RAG Status: GREEN

Achievements this period

  • Project initiated on website.
  • Rooms for the all areas have been identified, however these now need to fit in with the vastly reduced budget this year.
  • Local IT staff have been included in discussions regarding room upgrades.
  • Walk round of the Vet School room list with teaching representatives, LST and local IS staff has been completed to narrow down requirements.

  • Receive feedback from main users of the Greenfield Suite regarding a change to the room layout - deadline is 6th February.
  • Decide on final list of rooms to upgrade based on limited funding.
  • Create AV designs and then tender documents for each of the room upgrades.

MVM136 Practique Roll-out - RAG Status: GREEN

Achievements this period

  • Successful delivery of the MBChB Assessment days.
  • Review of anticipated benefits for MMChB Assessments with sponsor  indicate they have been realised or are on track to be realised. Very positive feedback has been received and the sponsor expects students to be made offers earlier than normal from University of Edinburgh
  • Detailed planning completed with Vets and BMTO 
  • Additional remote session agreed with supplier and Vets to ensure their pilot in March is achievable.
  • Transfer of project sponsorship from MBChB to Vets

MVM137 Upgrading of Student Computer Labs , Teaching and Meeting Room PC 19/20 - RAG Status: GREEN

MVM516 BMS - Honours Project Portal Future Support - RAG Status: AMBER

MVM138 Vets EMS Placement Management - RAG Status: AMBER

Achievements this period

  • Framework structure is in place. Laravel for the backend, and VueJS for the front end. The two systems can communicate with one another successfully
  • Added ability to view list veterinary practices types
  • Added ability to add veterinary practice types

Issues

  • We had planned for two developers to work on this project in conjunction, but only have one available at present due to MVM134 overrunning

  • Continue to build functionality to manage veterinary practices in the system
  • Add second developer to project workload

MVM139 Curriculum Mapping Tool (COMMAND) RAG Status: GREEN

  • Underlying framework & code updated to support PHP 7.3

Issues

  • Updating the Windows servers has been time consuming due to hidden configuration settings and lack of knowledge in team

Next Steps

  • Deploy PHP 7.3 version to live
  • Project on pause until later in the year after deployment

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

 

TEL056: Edinburgh Surgery Online Learn go-live - RAG Status: BLUE - Closed

DTP001: Apps to User Devices - RAG Status: GREEN

Summary of Achievements in last period:

  • Progress on actions 
    • Service ready to go live and date scheduled.
    • Technical error outside App Ed remit caused soft launch to be delayed
  • New Soft Launch date agreed with Helpline, Desktop Support and approved by Project Board Members
  • MVM - await sign-off for remaining applications
  • Communication Plan approved by Project Board Members

HSS022: CAHSS WAM Deployment  - RAG Status: BLUE - Closed

TEL057: Learn Foundations - RAG Status: GREEN

Achievements this period

  • Continued work on the Phase Two work streams.
  • Began the 2nd round of engagement sessions with the non-phase one Schools to gain commitment from the non-phase one Schools to join the Learn Foundations project within Phase Two.
  • UX recruitment and activity continued.
  • User Groups undertaken for both Staff and Students.
  • Phase Two review of the programme of training underway.

Issues

  • As with November, industrial action has impacted the progress of the project with various stakeholders being away from the office before moving into the Christmas and New Year period where no UX activity could be scheduled. 
  • New industrial action is being discussed currently and as such, there may be an impact to the project within February and March - this is currently under review.

Next Steps

  • Continue on the Phase Two work streams.
  • Continue with the 2nd round of engagement sessions with the non-phase one Schools.
  • Gain commitment from the non-phase one Schools to join the Learn Foundations project within Phase Two.
