Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme is AMBER. There are four projects that have been impacted by Covid-19. The projects not impacted by Covid-19 are progressing well.

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.

Project highlights

  • MVM112: GREEN - No progress made this month due to prioritising response to Covid-19
  • MVM125: GREEN - No progress made this month due to prioritising response to Covid-19
  • MVM132: RED - Project impacted by Covid-19 exam and assessment changes
  • MVM134: CLOSED - This project has delivered and closed at the end of March.
  • MVM135: AMBER - These refurbishment projects will be suspended once they have reached the tender completion process, as a result of the COVID-19 outbreak.
  • MVM136: AMBER - Project impacted by Covid-19 exam and assessment changes
  • MVM137: SUSPENDED - 140 PCs ordered cannot be installed until Covid-19 restrictions are lifted. Further orders postponed.
  • MVM138: GREEN - Delivery on track
  • MVM139: SUSPENDED - in planned suspension status until MVM138 and MVM516 have delivered.
  • MVM516: GREEN - Delivery pushed out due to delay from industrial action. Delay is within tolerance.

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • No progress this month due to the project manager prioritising work to help create online teaching content and develop solutions for MVM students to take online exams on their own devices.  This has been in response to the COVID-19 outbreak.

Issues

  • None

Next Steps

  • Evaluate the possibility of another organisation's database to see if it could be used within our context.
  • Continue development of Simulated Patient database, looking more into the MS PowerApps route.
  • Complete second half of draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs and replacement cycles.

MVM125: Connectivity - Off-campus 2018/19 - RAG Status: GREEN

Achievements this period

Next Steps

  • Deliver two PCs to the PAEP library for student use.
  • Create easy rebuild procedure for PAEP library, since it is not a fully supported desktop build.
  • Receive suggested options for restoring eduroam connectivity in NHS Lanarkshire.
  • Request funding from the College to assist wireless connection issues experienced in Borders General Hospital (noted in the issues section of last months report).
MVM132 MBChB ranking reports in BI Suite  - RAG Status: RED

Achievements this period

  •  None

Issues

  • With the examination and assessment decisions as a result of Covid-19, there is expected to be an impact on how the ranking report will work. The Business Lead currently has no capacity (due to dealing with the Covid-19 changes) to assess the impact and therefore there is no assessment of the amount of re-work that may be required and therefore when delivery can be expected.

MVM135 Upgrading of Teaching Spaces 2019/20 - RAG Status: AMBER

Achievements this period

  • Estates have been working with the project manager to agree the new fabric/furniture designs for the the Greenfield Suite and Henry Littlejohn rooms..
  • AV design for Vet School room 1.21 Clinical Skills has been progressing.
  • Nureva have stated that whilst the ceiling height in the Greenfield Suite side rooms is below their minimum height recommendation, we should be OK to go with it.  AV designs for those rooms and the Henry Littlejohn rooms have therefore started to progress based on this.

Issues

  • Due to COVID-19 outbreak, the completion of all estates and central IS funded refurbishment projects has been postponed.  The design work and tendering processes will continue, but that is when the work will stop.

Next Steps

  • Further investigation regarding the equipment requirements for Vet School 1.21 Clinical Skills needs to be carried out.
  • Complete remaining AV designs and then tender documents for each of the room upgrades.

MVM136 Practique Roll-out - RAG Status: AMBER

Achievements this period

  • Vets pilot did not take place as planned but was completed so that the team could practise with the resulting data
  • BMTO have started to build the data for the written exam in Practique

Issues

  • Covid-19 has meant that the May 2020 OSCEs planned with the Vets have been postponed until January 2021 and the August 2020 resit written exam is not taking place.

Next Steps

  • Project to work through Covid-19 impact, including working at programme level on the procurement/contractual implications from the delays.
  • Vets to continue working with dummy data
  • BMTO to continue building exam in Practique and take time to consider how EMQs can be managed.

MVM137 Upgrading of Student Computer Labs , Teaching and Meeting Room PC 19/20 - RAG Status: SUSPENDED

Achievements this period

  • 140 PCs have been ordered for the Vet School (rooms G.02 and G.02A, G.03 and G.03A, Teaching Labs 1 and 2 and the additional exam PCs).  These are expected to be delivered in April and will be stored at the Easter Bush site.

Issues

  • Remaining PCs have not yet been ordered and could be problematic given the current COVID-19 situation.

Next Steps

  • Suspend project in the short term, so that focus can remain on the other priorities given the COVID-19 situation. 
  • Create orders for the remaining PCs once decisions regarding priority and delivery locations can be decided.

MVM516 BMS - Honours Project Portal Future Support - RAG Status: GREEN

Achievements this period

  • Upgraded the main BMS Portal application to CodeIgniter version 3.1.11 to make it PHP 7.3 compatible
  • Upgraded the admin application from CodeIgniter 2 to version 3.1.11 to make it PHP 7.3 compatible

Issues

  • Development time lost due to industrial action and paternity leave
  • Cannot upgrade to CodeIgniter 4 (latest version) as it is not backwards compatible with previous releases. It would require an almost complete rewrite of the system

Next Steps

  • Create a downloadable report listing project modifications and their associated programmes
  • Email this report from the application to programme leads for review

MVM138 Vets EMS Placement Management - RAG Status: GREEN

Achievements this period

  • Allow students to print out their placement letters of introduction
  • Allow students to add their insurance details to their placement proposal
  • Allow admins to approve or deny placement proposals from students
  • Implement email notifications for placement proposal progression points
  • Implement context switching, allowing users to move between animal husbandry and clinical in the same application

Issues

  • One team member has been affected by a family illness, meaning we have lost around 6 days of development. The team was making good progress so we don't believe this will affect our proposed timescales for delivery at this time.

Next Steps

  • Development focus will shift to Animal Husbandry as most of the student placement development has been for clinical to date

MVM139 Curriculum Mapping Tool (COMMAND) RAG Status: SUSPENDED (BLUE)

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

 

TEL056: Edinburgh Surgery Online Learn go-live - RAG Status: BLUE - Closed

DTP001: Apps to User Devices - RAG Status: GREEN

Summary of Achievements in last period:

  • Progress on actions 
  • MVM students moved from old service
  • Wider university has  been communicated with in relation to upcoming launch and communication ongoing
  • Project board set up to approve go live - end April 2020
  • Engagement with the Relationship Management Team to assist in Go Live awareness
  • Feedback being gathered from Soft Launch
  • Impact of Corona Virus activities has meant that Desktop Services are unable to support current project activities and project has been paused until we can progress these

Risks and Issues

  • Potential disruption from Corona Virus may impact on ability to deliver to the project timeline
  • Activities to support home working has impacted on Desktop Services availability to enable delivery in the planned timeline

HSS022: CAHSS WAM Deployment  - RAG Status: BLUE - Closed

TEL057: Learn Foundations - RAG Status: GREEN

Achievements this period

  • Continue on the Phase Two work streams.
  • Progressed with the 2nd round of engagement sessions with the non-phase one Schools – unable to complete due to the industrial action and the COVID-19 decision to move to remote teaching.
  • Phase Two review of the programme of training to be continued.

Issues

  • Industrial action across February and March continued to have impact on the project with all plans reviewed as a result.
  • The COVID-19 response had an impact on the project with the School focus shifting from Learn Foundations to Remote Teaching/Exams which has meant the programme of engagement has been delayed as a result. 
  • We have had 1 School pull out of the project as a result of the COVID-19 re-focus as this is not a priority at this moment in time for that School.  
  • UX recruitment and activity is on hold currently due to resourcing availability as a result of the COVID-19 response.
  • Student recruitment is currently on hold due to the COVID-19 response and will need to be reviewed as a later date – this will have a potential impact upon the delivery of the template over the summer (2020).

Next Steps

  • Continue on the Phase Two work streams.
  • Complete the 2nd round of engagement sessions with the all Schools.
  • Gain commitment from the non-phase one Schools to join the Learn Foundations project within Phase Two.
  • Phase Two review of the programme of training to be continued.
  • Finalise the Learn Foundations Phase Two template and provide a copy to all Schools wishing to progress with a Phase Two delivery.
