Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme is AMBER. More projects are being impacted by Covid-19 with some reduction in staff availability.

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.

Project highlights

  • MVM112: GREEN - Progressing well
  • MVM125: SUSPENDED until access to buildings is re-enabled and NHS IT staff have capacity
  • MVM132: RED - Project impacted by Covid-19 exam and assessment changes. Impact will start being assessed in May.
  • MVM135: AMBER - Scope increased to include making all teaching and meeting rooms in MVM capable of delivering online teaching.
  • MVM136: AMBER - Progressing but Covid-19 impact to planned work and contract being reviewed in May
  • MVM137: SUSPENDED - 140 PCs ordered cannot be installed until Covid-19 restrictions are lifted. Further orders postponed.
  • MVM138: AMBER - Progressing but impacted by some loss of staff time due to Covid-19 impact

Section Three: Projects in Progress

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • Progress has been made in implementing a replacement Simulated Patient Database using MS PowerApps as the platform.  The current version's capabilities have almost entirely been replicated and once these have been completed, the enhancements that had originally been requested will be built.

Issues

  • University license for MS PowerApps doesn't include the ability to connect to SQL databases, therefore the backend of the Simulated Patient database will need to be changed.  For initial testing, this is an Excel spreadsheet located on OneDrive. 

Next Steps

  • Evaluate the possibility of another organisation's database to see if it could be used within our context.
  • Continue development of Simulated Patient database, looking more into the MS PowerApps route.
  • Complete second half of draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs and replacement cycles.

MVM125: Connectivity - Off-campus 2018/19 - RAG Status: SUSPENDED

Achievements this period

  • Project has been suspended due to a reliance on NHS IT staff for much of the work and an inability to access certain buildings.
  • Requests for assistance from clinicians and students in NHS areas will be dealt with on a best efforts basis under business as usual, until effort from NHS IT staff can be released from their other duties due to COVID-19.

  •  None

  •  Lift suspension when access to buildings is re-enabled and NHS IT staff have capacity
MVM132 MBChB ranking reports in BI Suite  - RAG Status: RED

  •  None

Issues

  • Business lead unavailable until w/c 5th may at earliest to assess Covid-19 impact. With the examination and assessment decisions as a result of Covid-19, there is expected to be an impact on how the ranking report will work. The Business Lead currently has no capacity (due to dealing with the Covid-19 changes) to assess the impact and therefore there is no assessment of the amount of re-work that may be required and therefore when delivery can be expected.

MVM135 Upgrading of Teaching Spaces 2019/20 - RAG Status: AMBER

Achievements this period

  • AV designs for Vet School rooms have been completed enough to put out tender documents to AV contractors on a supply only basis.  Room 1.21 will need a few alterations once we can return to the building to test the simulation equipment in the room.
  • AV designs for Greenfield Suite and Henry Littlejohn rooms have been completed enough to put out tender documents to AV contractors on a supply only basis.
  • Scope has been expanded to deliver online teaching capability in all existing and 'to be refurbished' teaching and meeting rooms (research and business) across the College.

Issues

  • Due to COVID-19 outbreak, the completion of all estates and central IS funded refurbishment projects has been postponed.  The design work and tendering processes will continue, but that is when the work will stop.

Next Steps

  • Further investigation regarding the equipment requirements for Vet School 1.21 Clinical Skills needs to be carried out.
  • Draft of costs to deliver online teaching capability in all existing and 'to be refurbished' rooms be supplied to the Head of IT for the College by 6th May.

MVM136 Practique Roll-out - RAG Status: AMBER

  • BMTO continued to develop the content in Practique for the pilot in mid-May
  • Vets continued work with the supplier on the resulting process and exam preparation

MVM516 BMS - Honours Project Portal Future Support - RAG Status: AMBER

  • Implemented a downloadable report listing project modifications and their associated programmes
  • Added ability to email report to project leads

Issues

  • Due to Covid-19, we have been a team member down for much of April. This has meant we have had to spread development resources over projects and have not had as much time to work on this project as we expected

MVM138 Vets EMS Placement Management - RAG Status: AMBER

  • Allow admin to approve or deny animal husbandry EMS placements
  • Send rejection or approval notifications of placements to students
  • Notify admins when a placement is awaiting review
  • Allow students to edit placement details prior to approval
  • Allow students to send letter of introduction
  • Upload assessment form once placement is completed
  • Add health and safety checks such as vaccination and insurance details

Issues

  • A team member has been off due to caring for dependents during the Covid-19 pandemic. They have returned to work on a part-time basis for the foreseeable future which will impact on project timings
  • Due to staff absence, we have built up a large amount of tasks which require peer review. These are slowly being worked through

  • Clear the peer review backlog
  • Focus on Animal Husbandry EMS functionality as Clinical EMS functionality is largely in place

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

 

TEL056: Edinburgh Surgery Online Learn go-live - RAG Status: BLUE - Closed

DTP001: Apps to User Devices - RAG Status: AMBER

Summary of Achievements in last period:

  • Progress on actions 
  • This project is on temporary hold due to the disruption caused by the Corona Virus.

Risks and Issues

  • Potential disruption from Corona Virus may impact on ability to deliver to the project timeline
  • Activities to support home study and home working  has impacted on Desktop Services availability to enable delivery in the planned timeline

HSS022: CAHSS WAM Deployment  - RAG Status: BLUE - Closed

TEL057: Learn Foundations - RAG Status: AMBER

Achievements this period

  • Continued on the Phase Two work streams.
  • Continued with the 2nd round of engagement sessions with the all Schools.
  • Phase Two review of the programme of training continued.
  • Finalised the Learn Foundations Phase Two template.
  • Student recruitment picked up with 9 students interviewed and a request made for an additional 11 to be recruited.

Issues

  • The COVID-19 response had an impact on the project with the School focus shifting from Learn Foundations to Remote Teaching/Exams which has meant the programme of engagement has been delayed as a result. 
  • UX recruitment and activity is on hold currently due to resourcing availability as a result of the COVID-19 response.

Next Steps

  • Continue on the Phase Two work streams.
  • Complete the 2nd round of engagement sessions with the all Schools.
  • Gain commitment from the non-phase one Schools to join the Learn Foundations project within Phase Two.
  • Phase Two review of the programme of training to be continued.
  • Provide a copy of the template to all Schools wishing to progress with a Phase Two delivery.
