Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme is AMBER

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.

Issue

A security issue has been identified with open.ed. The Programme has agreed to do the work to fix this issue as soon as possible in this year's plan.

Project highlights

  • MVM112: GREEN - Progress has continued 
  • MVM125: SUSPENDED until access to buildings is re-enabled and NHS IT staff have capacity
  • MVM132: GREEN - Reports altered to include impact from Covid-19 decisions. Testing planned for start of June.
  • MVM135: AMBER - Confirmation of funding is required
  • MVM136: AMBER - BMTO completed a pilot of an exam. The programme is now working on contractual position beyond August 2020.
  • MVM137: SUSPENDED - 140 PCs ordered cannot be installed until Covid-19 restrictions are lifted. Further orders postponed.
  • MVM138: AMBER - good progress made despite on team member working part-time
  • MVM139: SUSPENDED as planned until other projects completed
  • MVM516: AMBER - Progress made but some time was lost to the Learn to the Cloud project

Section Two: Projects Not Started 

At the programme meeting on 14 May 2020, the list of non-started projects was reviewed with the resulting recommendation to withdraw five from the programme's list. These are projects that are no longer considered required and/or will not be funded in the foreseeable future. These recommendations have been approved by the programme owner.

MVM102 Innovative Technology review Withdrawn: This is effectively BAU. If something arises that is of a size that requires a project, it can start as a project using the normal mechanisms.
MVM106: Student Print Strategy Withdrawn: Given the changed circumstances, students printing is not a priority.
MVM109 Technology to support communications with potential students. Withdrawn: This is being delivered through SEP SRA
MVM110 Technology to support Open Educational Resources (OER) Withdrawn: Not a priority in changed circumstances. Proposal included Labyrinth and PathCAL which the programme is addressing in the 20/21 plan.
MVM113 Technology to support student portfolios Withdrawn: Nicola Crowley advised that due to changes to how assessments will be completed, Pebblepad can fulfil requirements. If Vets school proceed with an eportfolio project, then a specific new project can be requested at that time.

 

Section Three: Projects in Progress

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • Progress continues to be made in implementing a replacement Simulated Patient Database using MS PowerApps as the platform and a shared Excel spreadsheet as the data source.  
  • Evaluation of other organisations database has been put on hold in order to complete solution built on PowerApps, so that it can be evaluated.

Issues

  • Report relating to simulation equipment/technology has had to be rewritten to include details of what would be beneficial to allow some remote teaching to take place and support on-campus teaching of these skills.

Next Steps

  • Finalise development of the testing Simulated Patient database and release to staff.
  • Complete draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs, replacement cycles and now what additional technology can be used to support students who don't have the ability to attend on-campus sessions.

MVM135 Upgrading of Teaching Spaces 2019/20 - RAG Status: AMBER

Achievements this period

  • Tender responses have been received for all of the rooms initially proposed, as well as for the additional AV required to allow the delivery of online teaching from College teaching and meeting rooms.
  • Meeting to discuss initial plans for purchasing equipment took place on Friday 29th May.  Decision was made to procure additional AV for delivering online teaching, as well as equipment for rooms that do not require any estates work.

Issues

  • Due to COVID-19 outbreak, the installation of all of the AV equipment isn't going to be possible this financial year, since the AV contractors won't be available on site and estates work won't have been completed.  Funding will be required next financial year to allow the installation of the procured AV equipment from this year, however we do not currently have any confirmation on how much (if any) funding we will receive

Next Steps

  • AV equipment for delivering online teaching through teaching and meetings rooms will be procured at the start of June.
  • AV equipment for rooms that do not require any estates work will be procured at the start of June.
  • Alan Gilchrist to discuss suspended estates funding with the Learning and Teaching Space Programme Design Manager to see if it can be released in the new financial year, as it is required for the refurbishment of the Greenfield and Henry Littlejohn rooms.
  • Decision on how to progress with rooms that require estates work to be decided by the end of the first week in June.
  • Further investigation regarding the equipment requirements for Vet School 1.21 Clinical Skills needs to be carried out.

MVM136 Practique Roll-out - RAG Status: AMBER

Achievements this period

  • BMTO completed a pilot run of an exam and are using the experience to inform the formal pilot exam later in 2020.
  • Vets continued work with the supplier on the resulting process and exam preparation
  • Work has begun at programme level on contract extension beyond August 2020

Issues

  • Covid-19 impact to planned milestones is being reviewed at part of the overall contract review

MVM516 BMS - Honours Project Portal Future Support - RAG Status: AMBER

MVM138 Vets EMS Placement Management - RAG Status: AMBER

Achievements this period

Multiple pieces of functionality developed, including:

  • Admins can now fuzzy search for existing vets and placement locations to avoid duplicate records
  • Ability for admin to add a pre-entry placement
  • Ability to apply for a clinical EMS placement on behalf of a student
  • Add queue for placement pending approval
  • Students can now view certificates of attendance

Issues

  • One member of the team was only able to work part-time for half of this month which impacted on development time available.

  • Add in student data feeds

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

 

TEL056: Edinburgh Surgery Online Learn go-live - RAG Status: BLUE - Closed

DTP001: Apps to User Devices - RAG Status: AMBER

Summary of Achievements in last period:

  • Progress on actions 
  • This project is on temporary hold due to the disruption caused by the Corona Virus.

Risks

  • Potential disruption from Corona Virus may impact on ability to deliver to the project timeline

Issue

  • Activities to support home study and home working  has impacted on Desktop Services availability to enable delivery in the planned timeline

HSS022: CAHSS WAM Deployment  - RAG Status: BLUE - Closed

TEL057: Learn Foundations - RAG Status: AMBER

Achievements this period

  • Continue on the Phase Two work streams.
  • Completed the 2nd round of engagement sessions with the all Schools.
  • Gain commitment from the non-phase one Schools to join the Learn Foundations project within Phase Two.
  • Phase Two review of the programme of training continued.
  • Recruitment of 20 student helpers in progress with initial 7 students due to start on 1st June 2020.

Issues

  • The COVID-19 response had an impact on the project with the School focus shifting from Learn Foundations to Remote Teaching/Exams which has meant the programme of engagement has been delayed as a result. 
  • UX recruitment and activity is on hold currently due to resourcing availability as a result of the COVID-19 response.

Next Steps

  • Continue on the Phase Two work streams.
  • Complete Implementation Plans and Work Flows for all partner Schools and Deaneries.
  • Finish the student recruitment and subsequent induction/training.
  • Begin the SChool migration on Learn
