Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme is AMBER. The status would have been set as GREEN given progress on the ongoing projects and completion of MVM137 and delivery of MVM132 but the urgency of the work in MVM140, and the associated risk noted below, is raising the programme's status to AMBER.

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.
  • During this period a risk was raised on the programme about resource availability to support a revised way to satisfactorily track competency achievements for MBChB (end July) and Vet students (August). The programme has opened a new project MVM140 but this risk is going to remain on the programme into July until the project has made sufficient progress

Issue

A security issue has been identified with open.ed. The Programme has agreed to do the work to fix this issue as soon as resources are available in July.

Project highlights

  • MVM112: GREEN - Progress was made but the delivery date of end of July is at risk due to resource conflict in June.
  • MVM125: SUSPENDED 
  • MVM132: GREEN - Project completed testing successfully and has now delivered the reports
  • MVM135: AMBER - Delivery of equipment and confirmation of funding in 20/21 pending.
  • MVM136: GREEN- Project rescheduled into 20/21 and will include work to extend contract for one year into 20/21.
  • MVM137: CLOSED - Project was taken out of suspension and then delivered installation of 140 PCs. The project has been closed with the remaining work that had been scheduled in 19/20 being taken into 20/21's project.
  • MVM138: AMBER - Progress continued but slight delay in delivery which is expected now in mid-July
  • MVM139: SUSPENDED - Planned suspension until other project work completed.
  • MVM516: AMBER - Progress continued but slight delay in delivery which is expected now in mid-July (some changes have already been delivered to users)

A new and highest priority project has been started "CMVM eAssessment (MVM140)" and a progress update will be included in July's report.

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • Sample solution was sent to the Simulated Patient Coordinator so that feedback could be received and final testing version can be developed and released.  Initial feedback was very good, but some amendments are required and reporting facilities still need to be built.

Issues

  • Progress this month was slower than hoped, as work on other projects to prepare for the return of medical students on the 27th July had to take priority.

Next Steps

  • Finalise development of the testing Simulated Patient database and release to staff.
  • Complete draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs, replacement cycles and now what additional technology can be used to support students who don't have the ability to attend on-campus sessions.

MVM132 MBChB ranking reports in BI Suite  - RAG Status: GREEN

  • Testing of reports took place which identified a number of fixes that were required
  • Revised report provided to business lead for final testing
  • 2 requests for change have been agreed as out of scope for the project

MVM135 Upgrading of Teaching Spaces 2019/20 - RAG Status: AMBER

Achievements this period

  • AV equipment for delivering online teaching through teaching and meetings rooms has been procured and we are now waiting for delivery.  
  • AV equipment for all rooms scheduled for upgrade this year has been procured and we are now waiting for delivery dates from the suppliers.
  • Basic estates work for the rooms requiring it will be funded through central AV funds on this occasion, so that the upgrades can take place.  Some of the cable runs will be carried out by the AV contractors during the installations.
  • Estates funding originally suspended in in this financial year is likely to be suspended again next year, so the upgrade of the Greenfield Suite has had to be downscaled.

Issues

  • Due to COVID-19 outbreak, the installation of all of the AV equipment isn't going to be possible before the end of the financial year, since the AV contractors won't be available on site and estates work won't have been completed.  Funding will be required next financial year to allow the installation of the procured AV equipment from this year, however we do not currently have any confirmation on how much (if any) funding we will receive.

Next Steps

  • Further investigation regarding the equipment requirements for Vet School 1.21 Clinical Skills needs to be carried out.  This will need to wait until the building is reopened, as testing of the existing equipment is required.

MVM136 Practique Roll-out - RAG Status: GREEN

MVM137 Upgrading of Student Computer Labs , Teaching and Meeting Room PC 19/20 - RAG Status: CLOSED

Achievements this period

  • 140 PCs for the Vet School have been delivered and installed in the relevant rooms in preparation for the new academic year.
  • It was decided that the remaining 15 student lab PCs and 11 teaching room PCs originally scheduled for this year would be transferred into next year, due to financial, delivery and building access issues.  As this was the only outstanding task, this project will be closed and the project for financial year 2020/21 will include these PCs in the scope - Project closure report is here.

MVM516 BMS - Honours Project Portal Future Support - RAG Status: AMBER

  • Add validation to forms to prevent erroneous data entering the system
  • Updated system's current state deployed live in time for upcoming academic year's cohort
  • A number of legacy bugs discovered and fixed as part of live deployment

Issues

  • Not as much time spent on project as planned due to other maintenance commitments for DLAM apps projects

  • Add way to record students that are undertaking projects outside of the portal

MVM138 Vets EMS Placement Management - RAG Status: AMBER

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

  • Continue on the Phase Two work streams.
  • Completed Implementation Plans and Work Flows for all partner Schools and Deaneries.
  • Finished the student recruitment and subsequent induction/training.
  • Began the School migration on Learn
  • Recruited, inducted and trained 44 student helpers.
