Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for July 2020 is AMBER. However, the delay in finishing the BMS Honours portal project, the Vets EMS project and the delay in taking the Command project out of Suspension means that the 20/21 will programme will start with an AMBER status when it should have been GREEN.

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.
  • During this period a risk was raised on the programme about resource availability to support a revised way to satisfactorily track competency achievements for MBChB (end July) and Vet students (August). The programme has opened a new project MVM140 but this risk is going to remain on the programme into July until the project has made sufficient progress

Project highlights

  • MVM112: AMBER - No progress this month due to needing to prioritise start of term and financial year end work
  • MVM125: SUSPENDED 
  • MVM132: CLOSED - The project delivered and completed closure in July
  • MVM135: AMBER - Progress was made but it would have been possible to do more if the College had known about £60K being available to spend before the end of July.
  • MVM136: GREEN- Requirements for 20/21 confirmed to inform contract work at programme level.
  • MVM138: AMBER - Development work completed. Work required to deploy to live and to migrate year 3 placements to the new system.
  • MVM139: SUSPENDED
  • MVM140: GREEN - On track to deliver
  • MVM516: RED - Project delivery delayed due to conflict on developer's time 

Non-project work

  • Security issue  on open.med: Test site has been upgraded and the plugin causing the security vulnerability has been removed. This is now with Neil Turner for review/testing.
  • Contract renewal process for Practique for academic year 20/21 in progress
  • Two Project Services student interns completed an initial audit of content in Learn linking to PathCAL and Labyrinth for Surgical Sciences.

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: AMBER

  • None

Issues

  • No progress was made this month due to the priority being to prepare for medical teaching to begin on 27th July and to clear up finances before the end of the financial year.  Project will therefore be extended until end of August.

Next Steps

  • Finalise development of the testing Simulated Patient database and release to staff.
  • Complete draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC.  Include proposed maintenance costs, annual recurring costs, replacement cycles and now what additional technology can be used to support students who don't have the ability to attend on-campus sessions.

MVM135 Upgrading of Teaching Spaces 2019/20 - RAG Status: AMBER

Achievements this period

  • The microphones for delivering online teaching through teaching and meetings rooms have been delivered and passed out to the relevant campus locations to be installed by the local IT teams.  
  • Camera install for Vet School room G.45 has been scheduled for 3rd August.
  • AV installation in Mackenzie Medical Practice room 1.03 has been scheduled for 4th August.
  • AV installation in Dermatology seminar room has been scheduled for 5th August.
  • It was decided to purchase all of the kit for the Greenfield Suite main lab but cut down on the estates work. 

Issues

  • We were informed during the last week of July that we still had ~£60K left in the central AV budget, however since we were so close to the end of the financial year, LST weren't prepared to risk spending it in case we couldn't goods receipt things in time.  This funding could have been used to upgrade additional MVM teaching rooms or extend the licenses for the virtual medical simulation application we have been trialling with senior medical students which could have helped with their online studies during COVID-19.
  • We are still waiting for the webcams, keyboard covers and other minor AV parts to be delivered.

Next Steps

  • Remaining rooms for upgrading will be scheduled as and when the AV kit, AV contractors and estates work are ready.
  • Further investigation regarding the equipment requirements for Vet School 1.21 Clinical Skills needs to be carried out.  This will need to wait until the building is reopened, as testing of the existing equipment is required.

MVM136 Practique Roll-out - RAG Status: GREEN

MVM516 BMS - Honours Project Portal Future Support - RAG Status: RED

Achievements this period

  • Fix student ranking and improved so can be listed in site
  • Removed dead code and deployed latest fixes

Issues

  • Developer availability still an issue meaning this project is slipping further behind schedule.

Next Steps

  • Add student ranking veto
  • Complete development for adding student projects that don't originate from the portal
  • Clean data for ranking algorithm

MVM138 Vets EMS Placement Management - RAG Status: AMBER

  • Performed accessibility review of the system
  • Fixed a number of bugs and changed wording based on requests from vet school
  • Tweaked Euclid feed so can import behind EASE

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

  • Focus for July was on the School migration on Learn
  • The Learn Foundations project is currently working with 20 Schools/Deaneries to support in Semester 1 preparations:
    • 13 School migrations completed by the core intern group
    • 3 School migrations completed locally
    • 2 School migrations in progress

  • Continue on the migration workstream and supporting preparations for teaching in Semester 1:

  • 2 School migrations to be completed W/C 3rd August
  • Additional support conversations with partner Schools in preparation for Semester 1 to be continued.
