Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for August 2020 is AMBER. The CMVM eAssessment project delivered as planned and progress was made on the majority of other projects. However, further slight delays in Vets EMS (MVM138) and BMS Hons Portal (MVM516) projects continue to put the development and delivery of the 20/21 plan at risk.

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.

Project highlights

  • MVM112: GREEN - Simulated Patient database development completed; project now in Closure phase
  • MVM125: SUSPENDED 
  • MVM135: AMBER - Progress has been made on some installations but delay in some deliveries and error in another putting project at risk
  • MVM136: GREEN - no project progress this month as priority was programme work to secure contract for 20/21. Overall project timelines unaffected.
  • MVM138: AMBER - Progress made but slight delay to deployment 
  • MVM139: SUSPENDED
  • MVM140: GREEN - Delivered in August as planned. Closure process underway.
  • MVM516:  AMBER - Progress this month means project's status decreased to AMBER from RED last month.  

Non-project work

  • Security issue  on open.med: Solution has been deployed
  • Contract renewal process for Practique for academic year 20/21 completed

MVM Learning and Teaching Projects Update

MVM112: Technology to support simulation teaching - RAG Status: GREEN

Achievements this period

  • Simulated Patient database has now been developed as per the original requirements.  New requirements relating to reporting have been raised, however as these are additions they will be developed as part of 'business as usual' work.
  • Draft report outlining the University’s simulation equipment currently available within the Chancellor’s Building Clinical Skills Centre and WGH MEC has been written and will be sent out in the first instance to the MBChB Deputy Director (Clinical Skills) so that they can approve the content.

MVM135 Upgrading of Teaching Spaces 2019/20 - RAG Status: AMBER

Achievements this period

  • AV installation in Mackenzie Medical Practice room 1.03 took place on 4th August.
  • AV installation in Dermatology seminar room took place on 5th August.
  • Various pieces of equipment for the Greenfield Suite main lab, side rooms and Henry Littlejohn rooms have started to be delivered.

Issues

  • The camera mount installed in Vet School G.45 on 3rd August hadn't been fully customised to our requirements, so has had to be sent back to the manufacturer to be adjusted.  A timeframe for the adjustments hasn't been provided yet.
  • We are still waiting for the webcams and other minor AV parts to be delivered.

Next Steps

  • Remaining rooms for upgrading will be scheduled as and when the AV kit, AV contractors and estates work are ready.
  • Further investigation regarding the equipment requirements for Vet School 1.21 Clinical Skills needs to be carried out.  This will need to wait until the building is reopened, as testing of the existing equipment is required.

MVM136 Practique Roll-out - RAG Status: GREEN

MVM516 BMS - Honours Project Portal Future Support - RAG Status:  AMBER

  • Added off-portal projects for students
  • Fixed a bug in the suitability report download

Issues

  • Bug was discovered in the suitability report after it had been reviewed and deployed. Spent some time fixing this
  • Off-Portal projects took longer than estimated to develop because it affects so many different parts of the system

MVM138 Vets EMS Placement Management - RAG Status: AMBER

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

The Learn Foundations focus is primarily on the support being delivered by our student interns in preparation for teaching in Semester 1.  The below provides an overview of the work completed to date:

Core 20 interns

CAHSS

Learn Foundations has been working with 9 of the CAHSS Schools to become partners and adopt the Learn Foundations template.  The following provides an overview on the Learn Foundations template adoption within CAHSS:

  • School of Health in Social Science: Completed
  • School of History, Classics and Archaeology: Completed

Learn Foundations are working with all CSE Schools to drive 100% adoption for Semester 1.  The following provides an overview on the Learn Foundations template adoption within CSE:

CMVM

Learn Foundations are working with 4 of the Schools/Deaneries within the College to become partners and adopt the Learn Foundations template.  The following provides an overview on the Learn Foundations template adoption within CMVM:

  • Edinburgh Medical School (MbCHb): School were managing this internally with no support required.
  • Deanery of Biomedical Sciences: Completed
  • Deanery of Clinical Sciences (Dentistry Only): Completed
  • Deanery of Molecular, Genetic and Population Health Sciences (Usher Institute Only): Completed

In Progress: For those Schools which are ‘In Progress’ (ECA and LLC), we have adopted a different model to provide additional support for both Schools in the migration of their content (course materials) onto the new Learn Foundations template.

Completed with the exception of courses in query: All migration work has been completed with the exception of any courses which could not be assigned on Learn.  These have been/are being investigated and fed back to the School for guidance.  In the majority of cases these are due to changes being made to course delivery after the original data set was received (i.e. Semester change etc.).

Additional Support

With the majority of the core migration work completed, we are now looking at how we support Schools in their preparations for their hybrid approach.  We are working with/in conversation with our partner Schools to look at how we can continue to provide support in preparation for Semester 1 with focus being on:

  • Migration of Course Materials from previous years into the current instance of Learn;
  • Support of micro and macro patterns in preparation for Semester 1.
  • Support with Learning Technology Tools in preparation for Semester 1.

The following Schools have taken up our offer of additional support/we are in discussions to uptake this offer of support:

  • School of Divinity
  • Moray House, School of Education and Sports
  • School  of History, Classics and Archaeology
  • School of Economics
  • School of Health in Social Sciences
  • School of Geosciences
  • School of Biological Sciences
  • School of Informatics
  • School of Chemistry

All remaining Schools are in the process of having next step discussions are ongoing.

Several of our interns ended their internship on the 21st August 2020; however, due to the preparation requirements for Semester 1, we have extended 20 interns for an additional 4 weeks.  These interns will continue to support our partner Schools in their Semester 1 preparations until 18th September 2020.
