Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for September 2020 remains AMBER until the new PathCAL/EROS/Labyrinth project has been fully scoped.

  • The Programme completed delivery and closure of the Vets EMS Placement Management project (MVM138) in this month
  • The programme completed final delivery of the BMS Honours Project (MVM516)
  • The programme completed delivery and closure of the Technology to support simulation project (MVM112)
  • The programme completed the annual Upgrading of Teaching Spaces 19/20 project (MVM135). Work not completed will carry forward into the 20/21 project which is starting in October.
  • The programme agreed to initiate the Replacement for PathCAL/EROS & Labyrinth (MVM141) project at the end of September
  • The programme also initiated the CMVM study spaces project in this month (MVM142) as the work involved is sufficiently large to warrant a project.

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.

Project highlights

  • MVM125: SUSPENDED - No reporting until October
  • MVM136: GREEN - BMTO continued work with supplier
  • MVM138: CLOSED - delivered and closed in September
  • MVM139:  GREEN - Project came out of suspension and is now progressing to plan
  • MVM140: AMBER - Project extended slightly to agree Service operations/processes
  • MVM141: GREEN - Project Initiation completed
  • MVM142: GREEN - Project initiated and substantial amount of work has already taken place
  • MVM516:  GREEN - Project delivered and is now in Closure phase

MVM516 BMS - Honours Project Portal Future Support - RAG Status:  GREEN

Achievements this period

  • Final delivery completed on Thursday 1st October
    • there was a deployment on 28th Sept but this was rolled-back and fixes put in place:
      • Add/Edit Supervisor did not render correctly
      • A supervisor ranking a student for a project, would require that project to be reviewed for a department
      • Preferred students not displayed on the report
  • Deployment contained minor changes, the bulk of the work having been completed:
    • Add Last reviewed date to project suitability review list
    • Recommended course label make consistent throughout site.

MVM139 Curriculum Mapping Tool (COMMAND) RAG Status: GREEN

  • Set up project's development and test environments (including bug fixes)
  • Decoded database and encoded with OpenSSL
  • Nodes (outcomes) tagging system created
  • New user type "student" created
  • New feature to add external URL to nodes added

MVM140 CMVM eAssessment RAG Status: AMBER

Achievements this period

  • Templates have been well received by Students
  • The underlying cause of a BAU problem that has been experienced for 18 months has been identified and a workaround developed and successfully tested

Issues

  • It became clear that the existing operational processes in BAU were not as effective as the business wanted.  A practical example with non UoE staff's names not feeding through evidenced that additional support was required in this area.  It has taken longer than anticipated to discuss and agree the operational processes required in BAU.  The business recommended the revision to the target date and the exercise to agree changes to processes continues with a target date of 16th November.

MVM142 CMVM Study Spaces RAG Status: GREEN

Achievements this period

  • Project initiated to reflect work undertaken in recent weeks to support student use of PC Study Spaces
    • University guidance on rules for managing local study spaces released on 17th September 2020
    • All study spaces with PCs identified and assessed as Teaching, Study or NHS Touchdown
    • Priority areas identified as Study evaluated to determine compliance with University guidance
    • Actions undertaken to support compliance:
      • Risk Assessment for re-opening CMVM PC Labs
      • MEC: Computer lab on SeatEd for students to check in/out of spaces, local signage, cleaning materials and regular room checks in place. Rota set up for room closure.
      • Royal Infirmary Library: PCs on SeatEd for students to check in/out of spaces, local signage, cleaning materials and regular room checks in place.
      • Dentistry: MS Booking system in place for students to book in UG or PG spaces (including DPIA and EqIA), local signage, cleaning materials and room checks in place
      • Vet School: study spaces in Library on SeatEd for students to check in/out of spaces, other locations have Sign In App for students to check in/out of spaces, local signage, cleaning materials and regular room checks in place.
      • Agreed temporary poster and longer-term desk sticker with Estates to be printed to give students advice cleaning high-touch items such as keyboards, mice and power buttons

Projects outwith the MVM Portfolio Update

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.

Achievements in the last period

  • Focus for September: School migration on Learn
  • The Learn Foundations project is currently working with 20 Schools/Deaneries to support in Semester 1 preparations:
    • 13 School migrations completed by the core intern group.
    • 3 School migrations completed locally.
    • 2 School migrations in progress.
  • Additional conversations completed with all Schools resulting in additional support being offered/accepted by Schools in their preparations for Semester 1 with all required support provided.
  • 16 x students extended for 1 month from the 18th September to support in the additional support being offered and accepted by Schools.
  • Analysis of data collated across the summer underway.
  • Planning for Phase Three underway.
