Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for November 2020 is AMBER. Availability/capacity for all staff groups involved is impacting progress on some projects.

Risks

  • Novel Coronavirus (Covid-19): There is a risk this programme may be impacted by any measures that are implemented to reduce impact from the spread of Covid-19. The risk is held at portfolio level.

Project highlights

  • MVM125: AMBER - ongoing issues across multiple locations
  • MVM136: GREEN - Digital Admissions Assessment days organisation progressed. BMTO and Admissions Assessment not using Practique for any further work in 20/21. 
  • MVM139: AMBER - Progress was made following session with key MVM staff but revised delivery date will be required
  • MVM140: AMBER - Further delay in getting Service operations/processes agreed. Now expected mid-January 2021
  • MVM141: AMBER - Some progress to identify content using Flash and owners of some content in Labyrinth and PathCAL. No progress on project brief due to conflict on Project Manager's time.
  • MVM142: GREEN - Brief approved and agreement for Dentistry to move to SeatED
  • MVM143: GREEN - Project progressing to plan
  • MVM144: GREEN - No progress this month but no impact to overall planned delivery

MVM Learning and Teaching Projects Update

MVM125: Connectivity - Off-campus 2018/19 - RAG Status: AMBER

Achievements this period

  • NHS Lothian IT have confirmed (with screenshots) that Blackboard Collaborate works fine on their network, so long as NHS staff are using a Windows 10 based device (which has the latest version of Chrome installed).  They have provided details on what staff should do if their computer hasn't been upgraded to Windows 10, or if they don't have the necessary peripherals (i.e. webcam or headset).

Issues

  • Ongoing issues with the purchasing of SIM cards for tablets to go out to NHS sites.  MVM procurement are discussing the paperwork requirements with central finance.
  • The USB mobile broadband dongles for student use in NHS Lanarkshire only work on Windows based devices or Apple Macs prior to OS X Catalina (they require 32-bit support) so these will need to be upgraded.
  • NHS Lanarkshire are still experiencing issues with their eduroam wifi.

Next Steps

  • Upgrade the wifi dongles for NHS Lanarkshire.
  • Contact NHS Lanarkshire IT to discuss issues with their eduroam connectivity.
  • Contact NHS Borders to decide the best route for investigating issues in the student residences.
  • Complete the financial processes in order to procure the new SIM cards for tablets, so that they can be delivered to numerous NHS sites.

MVM136 Practique Roll-out - RAG Status: GREEN

Achievements this period

  • Admissions team have confirmed that they will use Collaborate for all the video-conferencing in the Assessment days
  • Admissions team have confirmed that the assessors will not be using Practique this year due to need to reduce risk when completing remotely. The Admissions Assessments will not be de-scoped from the project as the PM is providing support to the Assessments team (supplier, headsets, circuit managers)
  • Headsets loaned from Clearing team to Admissions team for those few applicants who may need to attend on site (eg insufficient technology at home) and for any assessors that are on-site.
  • BMTO have confirmed that they have sufficiently piloted Practique to understand the product and will not run further exams in 20/21. This will enable the BMTO team to focus effort in 20/21 on TEL068

MVM139 Curriculum Mapping Tool (COMMAND) RAG Status: AMBER

MVM140 CMVM eAssessment RAG Status: AMBER

Achievements this period

  • None

Issues

  • It became clear that the existing operational processes in BAU were not as effective as the business wanted.  A practical example with non UoE staff's names not feeding through evidenced that additional support was required in this area.  It has taken longer than anticipated to discuss and agree the operational processes required in BAU.  The business recommended the revision to the target date and the exercise to agree changes to processes continues with a target date of 15th January.
  • Problems have been identified with the data download associated with reporting from Pebblepad.  While filtering can take place within the app, the download contains all the data and therefore is substantial and requires manual effort.  Investigation is taking place into the use of Power BI to assist and Pebblepad are being approached to identify if the download can be more easily managed.  A meeting has taken place with Pebblepad although the solution proposed by them has been rejected by the Business.  The business has built a Power BI report that meets their needs however the overhead to format the data to be used is still significant.

MVM141 Replacement for PathCAL/EROS and Labyrinth RAG Status: AMBER

MVM142 CMVM Study Spaces RAG Status: GREEN

Achievements this period

  • Reviewed Dentistry study spaces temporary MS Booking solution. Agreed that the SeatEd app would be a suitable replacement, with an initial target date for move in January 2021.
  • Project brief approved

  • Move Dentistry to SeatEd App and decommission existing MS Booking solution, target of January (will depend on workload of facilities team supporting testing).
  • Evaluate remaining PC spaces and undertake appropriate actions

MVM143 Upgrading of Teaching Spaces 2020/21 RAG Status: GREEN

Achievements this period

  • Camera for Vet School room G.45 has been installed and will be tested by teaching staff.
  • Discussions regarding installation dates for the Vet School 1.4x rooms have been taking place.

Issues

  • Concern raised from the Vet School over the potential noise when the 1.4x rooms in the library are to be upgraded.

Next Steps

  • Work with LST and AV installers to arrange installation dates for last year's rooms.
  • Decide on final list of rooms to upgrade this year based on limited funding.
  • Create AV designs and then tender documents for each of the new room upgrades.

MVM144 Upgrading of student computer labs, teaching and meeting room PCs 2020/21 RAG Status: GREEN

EEMeC and EEVeC

The programme has been and continues to complete projects to close down functionality on both EEMeC and EEVeC with a view to eventually decommissioning.  There is a requirement to maintain (read only) access for a period and the programme is in the process of determining those dates for its 3 year plan.
