Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for January 2023 is AMBER due to the external risks to the programme. The projects are mainly delivering on or ahead of schedule.

There are four open programme risks in November:

Project highlights

  • MVM140: SUSPENDED - This project is suspended until delivery received from supplier
  • MVM145: GREEN - Project in Closure stage
  • MVM148: AMBER - Some electrical work has now been scheduled but some installation dates still to be agreed
  • MVM153: GREEN - Work has been progressed identifying computers that are in scope for project
  • MVM154: GREEN - Progress on multiple strands, prioity required on Lauriston due to NHS funding deadline at the the of March.
  • MVM155: GREEN - Draft Project Brief approved by team and with sponsor for sign-off.
  • MVM156: GREEN - Brief has been written and work is underway

MVM148 Upgrading of teaching spaces 2021/22 RAG Status: AMBER

Achievements this period

  • AV installation for Chancellor's lecture theatre A has been scheduled for week beginning 13th February.
  • AV installation for Vet School HfSA F32 rooms has been scheduled for 13th and 14th February.
  • Requested update on outstanding electrical and network work for Vet School rooms.

  • Arrange suitable time for AV work to be carried out in Chancellor's lecture theatre B.
  • Receive estimated installation dates from the AV contractors for the remaining work.
  • Receive update on the for Vet School electrical and network work and then organise installation dates.

MVM153 Upgrading of student computer labs, teaching and meeting room PCs 2022/23 RAG Status: GREEN

Achievements this period

  • List of computers has been added to the project brief and will be sent around the campus teams in early February.
  • Original forecast number has currently been reduced due to room usage changes and reuse of computers taken out of other spaces.  This will be checked in February, before purchase orders are raised, to ensure everything is correct.

  • Discuss replacements with local IT teams to ensure they are aware of the locations receiving upgrades.
  • Purchase the replacement computers.

MVM154 Upgrading of teaching spaces 2022/23 RAG Status:  GREEN

Achievements this period

  • AV equipment and furniture from Chancellor's Elsie Inglis lab has been transported over to 40 George Square for reuse in their rooms.
  • Meeting took place with NHS project managers regarding the Lauriston learning hub.  Deadline for NHS funds to be used in end of March, so this is the initial priority within this project.  Initial designs have now been created and will be discussed with LST on 9th February.
  • Tests have been carried out for the move of AV equipment from Vet School room 1.21 to  room 1.26.  Plan is to transmit video wirelessly between rooms rather than request new infrastructure cabling.
  • Purchase order has been raised for the trial of the VR Patients platform.
  • Quotes have been requested for smaller (supply only) AV equipment with a plan to raise the purchase orders in early February.
  • Request to visit the Anatomy teaching lab has been raised, but no date has been confirmed yet.

Issues

  • Time frame for the Lauriston learning hub is extremely tight, due to the NHS funding deadline.  

Next Steps

  • Re-prioritise list of rooms to upgrade this year based on available funding after the initial purchases and quotes received and update the project brief as necessary.
  • Organise visits to the remaining rooms to discuss requirements with the associated teaching staff.
  • Create AV designs and then tender documents for each of the new room upgrades.

MVM155 BMS Honours Portal RAG Status: GREEN

MVM156 Medical Schools Council - Online Exams BYOD RAG Status: GREEN

Achievements this period

  • Project has been initiated and initial brief has been written.
  • Work has begun on the Standard Operating Procedure (SOP) document.
  • Web server to host the relevant downloads for students has been set up for testing.
  • Configuration file for the secure browser has been started.  Questions have been raised with the project sponsor and Medical Schools Council, so that configuration file can be completed and testing can begin.
  • Initial test machines (Windows 10, Windows 11 and MacOS) have been found and built in preparation.

  • Receive responses to questions raised about the configuration file requirements.
  • Provide an updated plan to the project sponsor and Medical Schools Council for mid-February.

  • The  "Short Courses Platform - Requirements, Market Analysis and Business Case" project is now in close phase and has been superceeded by "SCP001 – Short Course platform procurement". A post project review will be completed
