Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for February 2023 is AMBER due to the external risks to the programme. All open projects are currently GREEN and progressing to plan. The MVM145 Accessibility for MVMLAT applications has now closed.

There are four open programme risks in February:

Project highlights

  • MVM140: SUSPENDED - This project is suspended until delivery received from supplier
  • MVM145: CLOSED - Project closed this month
  • MVM148: GREEN - AV installations progressed at Chancellor's and Vet School
  • MVM153: GREEN - No updates this month due to other projects needing to take priority.
  • MVM154: GREEN - Good progress has been made but building warrant for the Lauriston Learning hub is still to be approved
  • MVM155: GREEN - Project brief approved, requirements being progressed, initial development work underway
  • MVM156: GREEN - Initial configuration file for the secure browser has been completed and tested on various Windows 10 and 11 devices. Medical Schools Council have requested iOS installation and configuration files, even though these devices aren't ideal for taking exams on.

MVM148 Upgrading of teaching spaces 2021/22 RAG Status: GREEN

Achievements this period

  • The majority of the AV installation for Chancellor's lecture theatre A has been completed.  There are some outstanding issues with the control panel that are being looked at by Learning Spaces Technology.
  • AV installation for Vet School HfSA F32 rooms was carried out on 13th and 14th February.

Issues

  • Several issues were experienced during the Chancellor's Building lecture theatre A upgrade which originated from the network.  Some of the ports weren't made live until the last day of the install.  The VLAN was also missing a key configuration which meant that devices couldn't pick up the correct gateway IP and therefore couldn't be contacted by the rest of the kit.

Next Steps

  • Arrange suitable time for AV work to be carried out in Chancellor's lecture theatre B.
  • Receive estimated installation dates from the AV contractors for the remaining work.
  • Receive update on the for Vet School electrical and network work and then organise installation dates.

MVM153 Upgrading of student computer labs, teaching and meeting room PCs 2022/23 RAG Status: GREEN

Next Steps

  • Discuss replacements with local IT teams to ensure they are aware of the locations receiving upgrades.
  • Purchase the replacement computers.

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: GREEN

Achievements this period

  • Site visit took place in the Lauriston learning hub to work out the most suitable locations for the new AV equipment.  This also included a visit to the dermatology clinic room to confirm the requirements and locations of AV kit for there.
  • Purchase order has been raised for the trial of the VR Patients platform.
  • Purchase order for smaller (supply only) AV equipment has been raised.
  • Site visit to the Anatomy teaching lab has been carried out and initial designs will be created during March.

Issues

  • Time frame for the Lauriston learning hub is extremely tight, due to the NHS funding deadline., however they are currently still waiting for the building warrant to be approved.

Next Steps

  • Re-prioritise list of rooms to upgrade this year based on available funding after the initial purchases and quotes received and update the project brief as necessary.
  • Organise visits to the remaining rooms to discuss requirements with the associated teaching staff.
  • Create AV designs and then tender documents for each of the new room upgrades.

MVM155 BMS Honours Portal RAG Status: GREEN

MVM156 Medical Schools Council - Online Exams BYOD RAG Status: GREEN

Achievements this period

  • Provided an update and discussed the current requirements with the Assistant Director of the Medical Schools Council.
  • Web server to host the relevant downloads is no longer required.  These downloads will be passed to the Medical Schools Council to host themselves.
  • Initial configuration file for the secure browser has been completed and tested on various Windows 10 and 11 devices.  Instructions have been written for the Windows 10/11 installation/uninstallation processes and passed to several people to test.

Issues

  • Medical Schools Council have requested iOS installation and configuration files, even though these devices aren't ideal for taking exams on.

Next Steps

  • Receive responses regarding the Windows 10/11 installation/uninstallation processes.
  • Create the installation packages and instructions for both MacOS and iOS devices.

  • The  "Short Courses Platform - Requirements, Market Analysis and Business Case" project is now closed and has been superceeded by "SCP001 – Short Course platform procurement". A post project review will be completed
