Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for April 2023 is AMBER due to the external risks to the programme. All open projects are currently GREEN and progressing to plan. A new project has been identified, MVM157 Medical Simulation - Electronic Systems, which will start on 1st May 2023.

There are four open programme risks in April:

Project highlights

  • MVM140: SUSPENDED - This project is suspended.
  • MVM148: GREEN - Network installation for Vet School EDSCCU rooms took place on 6th April.
  • MVM153: GREEN - Local IT teams have been made aware of the computers being ordered for each of their areas so that they can arrange suitable staffing for when the PCs arrive.
  • MVM154: GREEN - Multiple areas of progress. Unsure if NHS funding for Lauriston learning hub is still available due to the delays with the building warrant being approved.
  • MVM155: GREEN - Development sprints continued and reporting requirements have been finalised.
  • MVM156: GREEN - No response received so far regarding iOS time frame, so no progress has been made

MVM148 Upgrading of teaching spaces 2021/22 RAG Status: GREEN

Achievements this period

  • Network installation for Vet School EDSCCU rooms took place on 6th April.
  • Chancellor's lecture theatre B work couldn't be scheduled for week of 8th May, so has had to be scheduled in for week of 3rd July.

Next Steps

  • Complete AV in Chancellor's lecture theatre B.
  • Receive estimated installation dates from the AV contractors for the remaining work in EDSCCU.
  • Receive update on the for Vet School electrical and network work for the remaining rooms and then organise completion of AV work.

MVM153 Upgrading of student computer labs, teaching and meeting room PCs 2022/23 RAG Status: GREEN

  • Local IT teams have been made aware of the computers being ordered for each of their areas so that they can arrange suitable staffing for when the PCs arrive.

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: GREEN

Achievements this period

  • AV upgrade jobs for Anatomy Lab, Dermatology Clinic and Vets F Block have been awarded to AV contractors.
  • Mackenzie Medical Practice upgrade job has been awarded to an AV contractor, however a couple of changes need to be made to the bill of quantities.
  • First training session for VR Patients platform has taken place.
  • Minor installation work for room FU305 has been awarded to an AV contractor.
  • Meeting with a surgical light and camera company for the Anatomy Lab upgrade has taken place and quote should be sent through early may.  Another company has sent through a quote for their light and camera system.
  • Meeting with estates to organise infrastructure work (cabling, power etc...) has taken place and netjob has been raised.

Issues

  • Unsure if NHS funding for Lauriston learning hub is still available due to the delays with the building warrant being approved.

Next Steps

  • Orgainse estates work for each of the rooms to be completed prior to AV contractor access.
  • Re-prioritise list of rooms to upgrade this year based on available funding after the initial purchases and quotes received and update the project brief as necessary.
  • Organise visits to the remaining rooms to discuss requirements with the associated teaching staff.
  • Create AV designs and then tender documents for each of the new room upgrades.

MVM155 BMS Honours Portal RAG Status: GREEN

  • Review of Algorithm indicates it may be more straightforward than expected to incorporate into the portal

MVM156 Medical Schools Council - Online Exams BYOD RAG Status: GREEN

Projects outwith the MVM Portfolio Update

Report by Alan Gilchrist and Karen Howie (LTW):

OCP004 CPD Platform - Requirements, Market Analysis and Business Case - RAG Status: CLOSED

  • The  "Short Courses Platform - Requirements, Market Analysis and Business Case" project is now closed and has been superceeded by "SCP001 – Short Course platform procurement". A post project review will be completed

Please note that SCP001 is a secure project and will only be visible to those working on it.

VLE002 Learn Ultra: Technical - RAG Status: AMBER

Last month

  • VLE002: The new academic year process has been agreed and tested.  Live course sites will be available from early May, approximately 6 weeks earlier than a standard year.
  • VLE002: The Technical Implementation Group was run in April.  The groups examined the new academic year process, integration and development progress, playground course usage and work that is planned on adapting roles within Learn to better suit the userbase.
  • VLE002:  From mid-Feb till May Playground courses in Learn Ultra have been made available on request so that those wishing to build courses in advance of the beginning of May can do so.  Local Learning Tech staff can setup these courses and there is a central request process too.  500 playground courses have been created.
  • VLE002:  Work on our list of Phase 2 integrations for the 23/24 academic year is well underway as per the plan. 
  • VLE002:  Development work in preparation for the full switch to Ultra during the summer is also well underway with all developments in testing.
  • VLE002:  The Automation process, which will be run later in the summer is under test.

Issues

  • VLE002: Staff resourcing limitations within the DLAM, LTW Team means that there are periods where project work, other than Learn Ultra is being deprioritised to focus on maintaining service reliability.  Any increasing demand on resource in that area is a risk against the project.  DLAM are actively pursuing an increase of resources in the team by moving people around LTW where possible and re-advertising where they’ve been unable to fill posts.

Next steps

  • VLE002:  New academic year process will be kicked off the w/b 01st of May.
  • VLE002:  Continue developments and integrations as per the schedule.
  • VLE002:  Automation process testing to be completed.

 

VLE003 Learn Ultra: Learn Foundations - RAG Status: AMBER

Achievements

  • Learning and Teaching Implementation Group - April 2023;
  • 2023/24 iteration of the Learn Ultra passed out to Schools for review in preparation for testing;
  • Training of learning technology contractors to support with the move to Learn Ultra;
  • Continuation of the implementation work for the move to Learn Ultra (Implementation plans/Learn Foundations Internship);
  • Completed of the recruitment for the Learn Foundations interns for the summer of 2023;
  • Continuation of the migration patterns project.

Issues

  • Industrial action is currently underway and may have an impact upon aspects of the project - This is a risk that is actively being mitigated against.

Next Steps

  • Migration pf complex courses.
  • Continuation of the implementation work for the move to Learn Ultra (Implementation plans/Learn Foundations Internship);
  • Training and indiction plan for the of the Learn Foundations interns for the summer of 2023 to be completed;
  • Completion of the migration patterns project;
  • Delivery of the live course instances in early May.

VLE004 Learn Ultra: Training and Support - RAG Status: AMBER (Report content from March)

Achievements

  • The Learn Ultra training has commenced and the initial feedback from surveys is positive.
  • The restructure of the Learn Ultra SharePoint has been finalised with the focus now being on the wider University roll-out instead of the early adopters.
  • The training plan is in the process of being finalised.
  • The original topic-focussed Learn training material is being finalised to reflect Learn Ultra.
  • The schedule and course information for the learning app on the original topic-focussed training has been created. 

Issues

  • The availability of the Digital Skills team has led to a delay to the delivery of the training plan.

Next Steps

  • Finalise at-scale training plan in April and receive sign off on it to be circulated to key stakeholders.
  • Have training feedback meeting with the instructors to review if there is any content that needs to be added to or tweaked, and to find out if any new training and/or learning resources are required.
  • Provide bookable sessions for the original topic-focussed training in the learning app.
  • Provide ongoing communication on the training programme to LTs and the wider contact list for Schools and Deaneries (aligned with communications work stream).

SAC095 Student Support Enhancements - RAG Status: AMBER

Achievements this period

  • Senior BA and Lead developer supported with p/t developer and BA  allocated by SSP
  • Project Brief approved, aside from Production Management
  • Immediate development work on PT references in Path, EUCLID, MyEd channel scoped and started
  • Timing agreed for deployment, to avoid too early deployment (while students still have PTs) without clashing with other changes being deployed
  • Initial consultation for cohort lead requirements carried out - more sessions scheduled
  • Process for bulk uploads reviewed - comms/guidance to Schools to be prepared
  • Timelines revised based on initial development work and consultation for cohort lead specification - Project Milestones | Project Management (ed.ac.uk)

Issues

  • Model leadership elements of overall student support model still in development, so analysis work pushed back. Allows focus on Cohort Leadership roles in meantime
  • Milestones updated after Project Brief sign-off

Risks:

  • Risk added that effort required may be underestimated as significant areas need specified (especially model leadership roles)

Next Steps​

  • Cohort leadership specification developed
  • Ongoing development (and documentation) of PT references changes
  • Start investigation work for MScR students, and for Bulk email requirements
