Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for July 2023  is AMBER due to the delays and the financial impact to next year noted in the Teaching Spaces upgrade project (MVM154).

There are four open programme risks in July:

Project highlights

  • MVM140: CLOSED - This project closed in July
  • MVM148: GREEN - Work planned for July completed with some work still required in August at Easter Bush
  • MVM153: GREEN - PCs all received and installation progressing
  • MVM154: RED - Project is at RED due to delays in manufacturing of the AV furniture, equipment going out of stock after requisitions were created but before purchase orders could be raised, and NHS estates work not being carried out before the dates requested for both data and AV contractors to start work. This has led to some projects not being delivered on time and therefore not being invoiced before the end of the financial year. Since the purchase orders had already been sent to the AV contractors/suppliers, the funds are committed but without the ability to carry them over to the next financial year, we have a large underspend this year and this will impact what we can do next year.
  • MVM155: GREEN - Phase 1 deployed has taken place successfully.
  • MVM157: GREEN - Work for phase 1 rollout of the simulation electronic patient information system has completed.

MVM Learning and Teaching Projects Update

MVM148 Upgrading of teaching spaces 2021/22 RAG Status: GREEN

Achievements this period

  • Chancellor's lecture theatre B installation has been completed.
  • EDSCCU rooms at Easter Bush are scheduled for completion in August.
  • Remaining network work for Vet School rooms has been completed, however there is still some outstanding estates work for surface mounted trunking and electrical sockets in the pathology rooms.  Due to staff retirement, this will need to be chased up with estates contract services.

  • Receive update on the for Vet School electrical work for the pathology rooms and schedule this in.

MVM153 Upgrading of student computer labs, teaching and meeting room PCs 2022/23 RAG Status: GREEN

Achievements this period

  • All computers have been received.
  • Greenfield Suite computers Chancellor's Microlab 2 and half of Chancellor's Microlab 1 comupters have all been installed.  The remaining computers will be installed in early August in preparation for later year students returning on 7th August.

  • Complete installation of remaining PCs and write closure report.

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: RED

Achievements this period

  • Surgical light and camera system delivered and installed on Monday 31st July.
  • Mackenzie Medical Practice estates work completed one week later than proposed, however due to delays with the AV contractor receiving equipment, this didn't cause any further impact.
  • AV contractor carried out off-site work in preparation for bringing up all equipment for the Mackenzie Medical Practice rooms on 31st July.
  • Additional AV equipment for multiple supply only projects across the College has been getting delivered.
  • Project manager completed the programming of control system for Anatomy lab, as other staff were not able to be available in time for the first use of the room.
  • Touchscreens for teaching/meeting rooms information screens have all been delivered.
  • Vet School F Block rooms have been upgraded.

Issues

  • NHS funding for Lauriston learning hub is apparently still available, following all of the delays with the building warrant being approved, however it is extremely unlikely that the necessary fabric and infrastructure work (organised by the NHS) will be completed before students return and no AV contractor has yet been appointed to the project.
  • Due to delays with some of the NHS estates work required for the Dermatology clinic in Lauriston Building, the AV contractor had to cancel their work.  It has been very difficult to rearrange the AV contractor work, due to their availability and the clinic availability.
  • Network cabling/ports for Dermatology couldn't be requested until NHS estates confirmed removal of cabinets and installation of the new trunking.
  • Although some of the supply only equipment has begun to be delivered, a large amount won't be received until later in the year, so funds allocated from this financial year will not get spent and costs will need to be incurred next financial year. 
  • Some of the items delivered during late-June and July haven't yet been receipted by the associated stores department.  Requests have been sent to the stores teams to receipt the items, as in these cases, People and Money won't allow receipting by anyone else.

Next Steps

  • AV contractor to replace temporary equipment installed in Anatomy lab.
  • Request network cable/ports for Dermatology clinic direct from data contractor and then update the associated netjob.
  • Book in AV contractor to carry out work in Dermatology clinic.
  • Receive remaining supply only AV equipment 

MVM155 BMS Honours Portal RAG Status: GREEN

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • Work for phase 1 rollout of the simulation electronic patient information system has completed.  Demos have been provided to both the clinical skills and one of the nursing studies staff who are very pleased with the progress.
  • Feedback survey for student use has been created in preparation for first teaching sessions.

Issues

  • None

Next Steps

  • Nursing studies staff to generate more 'patients' for the system, so that they can be entered into the system.
  • Test the usage of the system with the 5th year medical simulation teaching sessions that begin in August.

Projects outwith the MVM Portfolio Update

OCP004 CPD Platform - Requirements, Market Analysis and Business Case - RAG Status: CLOSED

  • The  "Short Courses Platform - Requirements, Market Analysis and Business Case" project is now closed and has been superceeded by "SCP001 – Short Course platform procurement". A post project review will be completed

Please note that SCP001 is a secure project and will only be visible to those working on it.

VLE002 Learn Ultra: Technical - RAG Status: GREEN

Last month

  • VLE002:  Work on our list of Phase 2 integrations for the 23/24 academic year is well underway as per the plan.  PebblePad, Linkedin Learning, QMP and Gradescope are being tested with LTI1.3.
  • VLE002:  Development work on Bilk Unenroll and Groups Viewer have been tested and are moving to Live in August.
  • VLE002:  The Automation process, which will be run later in the summer is going through sinal tests..

Issues.

  • No new issues.

Next steps.

  • VLE002:  Continue developments and integrations as per the schedule.
  • VLE002:  Automation process testing to be completed.
  • VLE002: Technical Implementation Group to run mid-August.  
  • VLE002:  Upon feedback additional development/scope has been added to the Bulk Unenroll toll to allow staff to Quick Unenroll themselves.  This has been estimated at over 1 week of development time then subsequent testing and may not be ready for the start of terms due to other priorities/change freeze.  There will be a workaround in place.  

VLE003 Learn Ultra: Learn Foundations - RAG Status: RED

Achievements

  • Continued migration of complex courses.
  • Continuation of the implementation work for the move to Learn Ultra (Focus on accessibility);
  • Creation of a new work package for out of scope uses of Learn - change to the project scope to include this piece of work;
  • Completion of the Learning and teaching Implementation Group (governance) due for 6th July 2023;
  • Planning for the Technical Implementation Group and Project Board (both scheduled for August 2023);
  • Planning begun for the Evaluation phase of the Learn Ultra project.

Issues

  • Industrial action is currently underway and may have an impact upon aspects of the project - This is a risk that is actively being mitigated against as the UCU have just announced that their mandate has been renewed which confirms further potential strike action on the horizon for September.

Next Steps

  • Continued migration of complex courses.

VLE004 Learn Ultra: Training and Support - RAG Status: RED

Achievements

  • We delivered 14 ’10 Things to get started in Learn Ultra’ training sessions in July to support colleagues in the move to Learn Ultra, meaning 144 sessions in total have been delivered so far, reaching 971 colleagues.
  • An additional 47 task-focussed training sessions have been delivered so far to 265 colleagues, providing enhanced support for course build in preparation for start of term.   
  • We worked in partnership with colleagues from across the University to deliver tailored training sessions (particularly, CMVM) for staff.
  • Analysed qualitative data received from post training surveys, being responsive to feedback, creating resources.
  • Provided Schools SMT with weekly training data, thereby providing an overview of engagement with training from within the Schools.
  • Scheduled new training sessions for August and September, including drop-in sessions.
  • Encouraged engagement/attendance of training sessions in preparation for the start of term by working in partnership with Schools and Deaneries, supported by communications and engagement activities.
  • Learn Ultra self-lead course is being created to support colleagues who cannot attend training.

Issues

  • There are 5 risks for VLE004 currently noted as either AMBER or RED. These include:

    • R. 56    Lack of colleague engagement with Learn Ultra training
    • R. 78    Training attendance not meeting project KPIs
    • R. 79    Lack of Learn Ultra preparedness causes reputational damage for Schools and Deaneries
    • R. 80    Training not being attended, particularly by academic colleagues
    • R. 81    Colleagues not engaging with training until the last minute
  • Industrial action is currently underway and may have an impact upon aspects of the project - this is a risk that is actively being mitigated against as the UCU have just announced that their mandate has been renewed which confirms further potential strike action on the horizon for September.
  • Due to issues highlighted above and the number of AMBER and RED risks, the project is currently sitting on a RED RAG status.

Next Steps

  • Delivery of 51 training and drop-in sessions across campus in August.
  • Delivery of self-led training resource.
  • Continued School SMT training data reporting.

SAC095 Student Support Enhancements - RAG Status: AMBER

Achievements in Last Period

  • Cohort Lead student allocation - search and display results screens tested and ready for deployment
  • Cohort Lead student allocation - allocate students (and bulk allocate) developed and due in to test
  • Cohort Lead student allocation - display of allocation ("My Students" and MyEd view) in progress
  • Majority of PT reference changes developed and tested; Ready for deployment
  • MScR analysis completed; Technical input still required to allow user story documentation and develop
  • R1.0 scheduled for 10 August

Issues 

  • Model leadership elements of overall student support model still in development, so analysis work pushed back. Allows focus on Cohort Leadership roles in meantime

Risks:

  • Risk remains that effort required may be underestimated as significant areas need specified (especially model leadership roles)
  • Resource risk still live with conflicting demands on developer/BA time for Marking and Assessment Boycott, and summer resit boards work

Next Steps​

  • Testing of allocation of cohort leads; Continue development of displays of allocations made; Remaining PT reference changes
  • Updates to guidance documentation for cohort lead allocation
  • R1.0 packaging, agreement with production management, release (10 August) and post-live support
  • Permissions to EUCLID to allocate CL granted to relevant staff in Schools/Deaneries
