Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for December 2023 is AMBER with uncertainty of resourcing capacity for the remainder of the year.

There are six open programme risks in December:

Project highlights

  • MVM154: GREEN - No updates as remaining Mackenzie Medical Practice and supply only equipment are due to be completed in January.
  • MVM157: GREEN - No updates due to staff absences and prioritisation of exam work.
  • MVM159: GREEN - Plans for Vet School spaces progressed and ownership of Anatomy Lecture Theatre has moved to MVM IT staff
  • MVM160: GREEN - No updates due to work associated with online exams taking priority.

MVM Learning and Teaching Projects Update

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: GREEN

Achievements this period

  • No updates as remaining Mackenzie Medical Practice and supply only equipment are due to be completed in January.

Issues

  • NHS funding for Lauriston learning hub is apparently still available, following all of the delays with the building warrant being approved and the previous concerns over RAAC.  We don't yet have a new timeframe from the NHS, so it is likely that this will be transferred into the 2023-24 upgrade project.

Next Steps

  • Request network cable/ports for Dermatology clinic direct from data contractor and then update the associated netjob.
  • Receive remaining supply only AV equipment.
  • Sign off desk swap for Mackenzie Medical Practice - January 2024.

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • No updates due to staff absences and prioritisation of exam work.

Issues

  • None

Next Steps

  • Set up meeting with developers to start building the prescribing parts of the simulation system.
  • Nursing studies staff to generate more 'patients' for the system, so that they can be entered into the system.

MVM159 Upgrading of teaching spaces 23/24 RAG Status: GREEN

Achievements this period

  • Meetings with IT, LST, DEU and academic staff and took place in the Vet School regarding the upgrades of both lecture theatres and rooms G.03 and G.03A.  Designs of these spaces have begun and suggested upgrades have been passed to the Vet School academics for comment/feedback by end of 12th January.
  • Support and management of Anatomy Lecture Theatre has been handed over to the MVM IT staff (from LST) due to the associated anatomy licensing conditions attached to the room.

Next Steps

  • Complete list of rooms requiring upgrades for the different campus locations need to be identified and added to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding.
  • Create AV designs and then tender documents for each of the new room upgrades.

MVM160 Upgrading of student computer labs, teaching and meeting room PCs 23/24 RAG Status: GREEN

  • No updates due to work associated with online exams taking priority.

Issues

  • None

Next Steps

  • Create full list of PCs for replacement.
  • Discuss replacements with local IT teams to ensure they are aware of the locations receiving upgrades.
  • Purchase the replacement computers.

 

 

Projects outwith the MVM Portfolio Update

VLE002 Learn Ultra: Technical - RAG Status: GREEN

Last month

  • VLE002:  Work on our list of Phase 2 developments for the 23/24 academic year is compete as per the plan.  
  • VLE002:  All integration work is complete to the extent the team can.  QMP is awaiting the migration of QMP project to finish. 

Issues.

  • No new issues.

Next steps.

  • VLE002:  Close the year 2 Technical workstream.
  • VEE002:  Highlight any scope required to be planned into year 3.  

VLE003 Learn Ultra: Learn Foundations - RAG Status: GREEN

Achievements

  • VLE003: Learn Foundations internship reports shared with Schools (focus on accessibility);
  • VLE003: Continued with the Evaluation phase of the programme - Impact and Evaluation Officer started on Monday 4th December on a 6-month contract;
  • VLE003: Continued with closure activities of the Learn Foundations project - Final lessons learned completed by the festive break;
  • VLE003: Draft closure report created.

Issues

  • The lack of room availability within Argyle House has been raised as an issue within the project due to a number of reasons:

    • Lack of meeting space in AH has resulted in project team members having to work from home more often due to the sensitivity of some meetings;
    • Planning for the 2024 internship due to begin in January with interviews provisionally planned in for early April;
    • The move to hot-desking from 8th January has added in another layer of complexity for the project as desk spaces are now at a premium and allocations have not factored in planned recruitment for both staff and interns.

Next Steps

  • VLE003: Continue with the Evaluation phase of the programme – Meetings to be scheduled with key stakeholders in January;
  • VLE003: Continue with closure activities of the Learn Foundations project;
  • VLE003: Draft closure report to be approved.

VLE004 Learn Ultra: Training and Support - RAG Status: GREEN ***Status as per November 2023***

Achievements

  • VLE004: Continue with the delivery of the planned training across October for 10 Things and tasks focused training courses and drop-in sessions.
  • VLE004: Lessons Learned 1st draft shared for review.
  • VLE004: Analysis of training data commenced.

  • No issues currently identified.

Next Steps

  • VLE004: Continue with the delivery of the planned training across December for 10 Things and tasks focused training courses and drop-in sessions;
  • VLE004: Lessons Learned final draft to be shared for sign off.

SAC095 Student Support Enhancements - RAG Status: GREEN

  • Releases R3.1 (Model leadership tab) in Live
  • R3.2 (model leadership functionality in mix of Dev/Test)
  • Model leadership membership updated from previous Senior Tutor lists

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: AMBER

Achievements this period:

  • Work continues with BA and project team to define the University's enterprise and data architecture for operational and financial reporting, including processes for data extraction and reporting, and preferred data visualisation tools (e.g. we use Power BI at the University and there is a relevant Power BI connector and dashboard template available via the SCP Catalogue supplier)​

  • Met with BA and Programme Manager to plan approach for gap analysis with the vendors to confirm what reports are supported by the platforms and where we may require new reports/amendment to current University reporting​

  • Wider stakeholder engagement has begun - meetings held with Finance; COL; CAHSS BI; Enterprise Data Services; and DDI

Next steps:

  • Wider stakeholder engagement to continue – meetings scheduled with Health & Safety; Business School; Clinical Research; Medical Education; Bayes​

  • Meet with suppliers to establish operational reporting readily available in the Catalogue and VLE environments, as well as organise technical consultancy/training to ensure best practice is adopted and applied

Risks/Issues:

  • Delays in contract signing have meant that suppliers not yet engaged for input on their operational reporting from the Catalogue and VLE, hence the Amber RAG status. Project will progress to Green as we enter re-planning, and subsequent plan approval.

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: AMBER

Achievements this period:

  • Met with Finance Operations to understand how the cash management process works and to determine the impact of setting up a new WPM-Education payment pathway ​

  • Met with Flywire to determine WPM-Education payment pathway configuration options. ​

  • Met with Inohub to establish what config. changes are required to enable the new end-to-end payments journey from the SCP through WPM-Education to Inohub and on into P&M ​

  • Met with University VAT/Sales Tax Manager to understand VAT/Sales Tax rules we need to consider for the design of the SCP and any downstream processing 

Next steps:

  • Complete the review of the Payment Integration Impact Assessment document​

  • Determine who (Finance Sys Admin & Support?) will be (1) setting up the payments test environments and supporting end-to-end payments testing and (2) implementing required config. changes in InoHub/P&M​

  • Combined workshop with Finance, SCP platform provider, and IS-Apps required to confirm high level design, activities, and final estimation of work required

Risks/Issues:

  •  ISG Finance Sys Admin & Support team resource constraints may result in delays to configuring and testing the payment gateways. The matter has been escalated to ISG SLT and the Project is monitoring the risk. 

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: AMBER

Achievements this period:

  • Engaged with Software Dev and Dev Tech team managers to produce IDM staff feed solution options, and 3-point resource estimations​

  • Collation of supplier ITT responses and any documentation openly available re. Email/SMTP configuration; SSO; and IDM/staff feeds shared with Software Dev and Dev Tech team managers, as well as Head of Apps Service Management​

  • Met with the University's Managing User Access programme (MFA rollout/EASE replacement/IDM replacement projects) to stay aligned regarding project timelines and potential impacts

Next steps:

  • Schedule supplier implementation consultation/training related to Email/SSO/IDM configuration​

  • Work with supplier and ISG Apps teams to confirm Email/SSO/IDM design/configuration approach ​

  • Configure SSO for staff; commence test of IDM staff feed; and test email notifications to enable finalisation of design

Risks/Issues:

  • Delays in contract signing have meant that suppliers not yet engaged for input on overall Email, SSO and IDM configuration/design. (Initial meeting to take place next Monday 15/01/2024)
