Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for May 2024 is RED with continued lack of development resource capacity for the remainder of the programme year impacting the Student Placements project (MVM158) and Not Started projects into 24/25. In addition, the programme level risk for ITI CIS is an issue for the Upgrading of Teaching Spaces project (MVM159) and causing this project to be RED.

There are seven open programme risks in May:

  • MVM157: GREEN - No progress due to other priorities this month
  • MVM158: RED - The walkthrough of the requirements has not taken place yet as development resource has not yet been identified
  • MVM159: RED - Network team resourcing capacity causing project delay and putting readiness of Lauriston learning hub at significant risk
  • MVM160: GREEN - All current purchases have now been delivered.

MVM158 Student Placements RAG Status: RED

Issues

  • The walkthrough of the requirements has not taken place yet as development resource has not yet been identified. The escalation for resource is with the Head of IT for CMVM.

Next Steps

  • Consider suspension of project if development resource not identified
  • If development resource is identified, complete the analysis walkthrough and sign-off the Business Analysis

MVM159 Upgrading of teaching spaces 23/24 RAG Status: RED

Achievements this period

  • Visited the Biomedical Sciences East and West wet labs with estates and their contractor to clarify our requirements from them.  Should receive a quote for the work in June.
  • Confirmed dates for the Vet School lecture theatres and rooms G.03 and G.03A with AV contractor and Estates.  Work to begin at the start of June.
  • AV contractor appointed to carry out the minor work in the Anatomy Lecture Theatre.  Purchase order raised and work scheduled for 18th to 21st June.
  • Estates work order raised to install the remaining infrastructure cabling that the NHS contractor didn't complete in the Lauriston learning hub.
  • Tender documents for the Small Anatomy Lab and Biomedical Sciences East and West labs have been created and sent out in order to get a contractor appointed.  Scheduling the upgrades will need to wait until estates and network work is complete.

Issues

  • Staff resourcing in the University network team is causing delays with the Lauriston learning hub, Dermatology clinic and Small Anatomy Lab projects.  The unknown time frame now puts these projects at a significant risk of not being competed by the end of the financial year.  Complaints have been received from the Director of Medical Education due to the uncertainty of when the Lauriston learning hub will be ready.
  • Finding a suitable portable surgical camera for Small Anatomy Lab and Anatomy Lecture Theatre continues to be difficult.  Amount of space in the rooms and the only lift available to transport the camera between the rooms is the main issue.

Next Steps

  • Schedule AV contractors for Lauriston learning hub, Dermatology Clinic, Small Anatomy Lab and Biomedical Sciences East and West labs once estates and network work is complete.
  • Receive quote for direct links between lecture theatres in Chancellor's Building and schedule in install.
  • Complete list of rooms requiring upgrades for the different campus locations need to be identified and added to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding.
  • Create AV designs and then tender documents for each of the remaining room upgrades.

MVM160 Upgrading of student computer labs, teaching and meeting room PCs 23/24 RAG Status: GREEN

  • All current purchases have now been delivered.
  • Replacing PCs in each of the rooms is being scheduled throughout June and July.

Next Steps

  • Plan the moving of all-in-one chassis PCs purchased last year, so that they can be reused in rooms that don't have flip-top style desks.
  • Purchase the remaining replacement computers.

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: GREEN

Achievements in Last Period

  • Team made good progress developing the student extensions application and are now focused on editing the Special Circumstances application to fit the Exceptional Circumstances process.
  • Completed build and function testing of the student landing page
  • Completed the APT changes for extensions days being restricted to 4 or 7. These changes have been sent to testers for functional testing.
  • User group engagement: video shared about the planned changes to extensions. The feedback so far has been positive.
  • Additionally the focus has also been on creating the next set of detailed requirements for the team to enable students to view their previous applications.

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: GREEN

Achievements this period:

  • Following discussion and approval at the most recent SCP Board, next steps for the implementation of the SCP are currently being planned via (SCP006) the Implementation project. From mid-July until the end of October, a second iteration of Process workshops will be run, with the objective of agreeing the overall process design, data requirements, and configuration. Due to the new timeline, this project is now under review for suspension.

Next steps:

  • Decide whether the project should be suspended or not. (The following tasks will be completed following the suspension period, if so.)
  • Confirm data items identified in both the initial and second iteration of stakeholder workshops can be populated and reported in Eduframe and/or Canvas.
  • Discuss potential reporting gaps with Drieam to determine the future state of the reporting solution.
  • Identify any new reporting requirements based on the new SCP solution/processes that will be adopted.
  • Determine what BI solution is required, and the support/operating model required.
  • Organise further technical consultancy sessions both within UOE and with the vendors, to confirm operational reporting readily available on-platform; ensure best practice is applied when designing the overall data strategy; and plan for any new Short Course Platform databases.

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:

  • The second phase of WPM-Education to InoHub and P&M processing and testing was completed by the project team; Flywire; and ISG Finance Sys Admin / P&M Service team. (This is the phase that ensures the business can account for online payments received via the new SCP).
  • Following discussion and approval at the most recent SCP Board, next steps for the implementation of the SCP are currently being planned via (SCP006) the Implementation project. From mid-July until the end of October, a second iteration of Process workshops will be run, with the objective of agreeing the overall process design, data requirements, and configuration. Next steps:

  • Decide whether the project should be suspended or not. (The following tasks will be completed following the suspension period, if so.)
  • Plan out a full run of end-to-end payments testing, and align with the Implementation (SCP006) project timeline.
  • Review PCI DSS compliance processes at the University.
  • Agree content and branding of payment process related assets (e.g. WPM-Education payment confirmation screen, footers, and email; Eduframe receipt and email etc.)

Risks/Issues:

  • We haven't been able to identify a contact in Finance who can grant or advise on PCI DSS compliance sign-off. Whilst WPM-Education and Worldpay are already PCI DSS compliant, and neither Eduframe nor Canvas hold payment details in their systems, we still need to deduce if PCI DSS sign-off is required for the project. Discussions are underway with Finance management.

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: GREEN

Achievements this period:

  • IDM solution development is underway for a Python app developed by ISG Apps Software Dev using the Eduframe API.
  • ISG Apps Software Dev Developer currently working on solution, despite issue regarding Eduframe API missing (in)active flag. Drieam team working to resolve on their end.

Next steps:

  • Submit milestone change request to extend the project's Delivery and Closure dates in line with new programme timeline agreed at most recent SCP Board. (Project no longer reported as Amber for Time, seeing as overall programme timeline is shifting, and resource is not impacted.)
  • ISG Apps Software Dev to complete development of the IDM solution.
  • LTW DLAM to assist with UAT.
