Section One: Programme Commentary, RAG and Resources Update

Commentary

This MVM Learning and Teaching programme was very active during January. In addition to the four ongoing active projects. Two new projects have started this month:

One project moved to the Windows 10 Upgrade for Managed Desktops (W10) programme:

Four projects have been added to the programme and will start before July 2017:

A lot of activities aim to address the college number one priority area: improving online assessment and feedback, and the number one priority for this MVM Learning and Teaching (MVMLAT) programme for the coming year. To address this, several projects dedicated to specific activities in this area will be initiated over the 2016/17. These projects are obviously related, and in order to provide coherence in their delivery, a Project Board will be appointed to oversee them. Reporting will also be done, jointly, on all projects to provide an overall picture. These projects are:

  1. MVM107: Procurement of an online application to support assessment and feedback for MBChB
  2. MVM118: Deployment of an online application to support assessment and feedback for MBChB
  3. MVM119: Data Migration and Data Creation for the online assessment and feedback application for MBChB
  4. MVM121: Assessment and Feedback Reporting

Achievements:

A purchase order has been sent to the external consultant who would be carrying out the work to install Eduroam in NHS Lanarkshire, however we were unfortunately unable to complete the work before Christmas.  We are continuing to work with NHS Lanarkshire and the consultant to schedule the install as soon as possible.

The design for the communications regarding Eduroam in NHS spaces has been finalised and Alan is working with Gillian Kidd (LTW Graphics team) to get them printed in preparation for the NHS Lanarkshire completion.

We are chasing up the NHS Forth Valley IT team to reopen the discussions for installation at their sites.

Vet School:

  • LST project manager has created the initial tender documentation for the rooms, which is made up of the bill of quantities, room drawings and a supporting Word document.
  • We will be receiving a trial of a new touchscreen monitor to test in the Vet School rooms as a possible alternative to the smaller 18" SMART product on offer.  This will be connected to a PC in one of the rooms and users will be asked to evaluate its potential.
  • We are still aiming for installations during Easter and Summer 2017.

 

Central Area:

  • Greenfield Suite rooms have received the new whiteboards and have been well received.
  • Estates, LST and IT have visited the Kennedy Tower seminar rooms to try and finalise requirements for the upgrades.  The AV tender has been completed and the supplier has been appointed.  Estates are looking to make one last visit next week (week beginning 6th February).
  • PG viva still to be identified.  Julia Laidlaw has been exploring the possibility of one of the old LTS offices.  A large screen and VC unit have been identified for use.

 

Chancellor's Building:

  • Meeting has taken place with engie, buildings management, estates, LST and IT to confirm work required for each room.  All work in the building needs to go through engie.
  • Provisional dates have been booked for all rooms except for lecture theatre A.  Most suitable time without important lectures/conferences/teaching needs to be identified.
  • Users would like to progress with the proposed change of orientation for the Undergraduate Medical Teaching Room, so additional costs need to be confirmed and funding identified.
  • Trial of a 4K touchscreen as the new PC monitor in lecture theatre A has been arranged and item was delivered on 30th January.  This will be evaluated with existing applications to check its feasibility.

Achievements this period

  • The tender process completed on Monday January 23, 2017 with a total of five suppliers responding committing to the next phase
  • Scope for the suppliers to come onsite and demonstrate has been agreed by the project team
  • Project team have agreed a series of dates and times for the demonstrations and procurement are now engaged with the suppliers - scheduled throughout February
  • A milestones achievement: Tender Process End Date January 23, 2017

Issues

  • One of the senior evaluation team is moving roles and will not be available, the Project team have urgently requested a deputy - Update:- A new colleague has joined the team to replace the leaver

Technology to support short-notice communications to students

Alan Gilchrist and Lydia Crow met representatives from the Learning Teaching and Web Division on 30th January to discuss the scope of the project.  Concerns were raised by Lydia and LTW regarding the complexity of the groups that would be required in order for the correct students to be targeted for specific texts and the admin overhead of this work.  Questions were also raised as to the accuracy of the mobile phone numbers held within systems such as EEMeC.

 

Alan Gilchrist will be given access to the administration portal of Connecttxt to see how the system works and will then meet with Lydia, Nicola and the year coordinators to demonstrate the system.  This will allow them to decide how much effort is required and how the administration overhead could be handled.

 

After the meeting, one of the LTW representatives mentioned that the Connecttxt service was likely to close within the next 12-18 months.  We are therefore pushing for MVM to be one of the early adopters of the new notification service which is currently being scoped.

MVM024 Integration and adoption of ISFM This is a 15/16 project, potentially continuing in 16/17. This project was suspended in May 2016. This project is now closed. Any remaining activities will be completed as part of MVM120 Windows 10 rollout to computer labs within the Windows 10 Upgrade for Managed Desktops (W10).
