Section One: Programme Commentary, RAG and Resources Update

All of the projects in the programme are approaching closure and so are approaching the limit of their estimated budget.  As there is no contingency remaining within the programme to cover any increase in project budgets, any additional days required would need to be escalated to CSG Portfolio level.

  • CSG006 OPAS Migration - a way forward has been agreed to address the repeated live system outages.  These outages were causing significant impact to the Occupational Health Unit so the additional 9 days budget for this priority work has been secured from within the CSG Portfolio by adjusting other programme areas to release the days. The project is flagged as RED due to the associated increase in scope, budget and timeline.
  • CSG007 L&D for CSG - some additional tasks have been identified by the Project Sponsor which will extend the project into January.  The project has been flagged as AMBER due to the related increase in timeline.
  • CSG008 RETAIN - the project timeline has been extended by the addition of 5 Project Sponsor funded days to address additional BI/reporting requirements.  The project has been flagged as AMBER due to related increase in budget & timeline.  The project is still planned to close in December.
  • CSG009 RIR Systems Review - the project timeline has been extended due to issues getting confirmed interview dates with key stakeholders.  The project has been flagged as AMBER due to the related increase in timeline.  This delay has been discussed with the Project Sponsor and the project will now extend into January.

Achievements in Last Period

  • Deployment dates secured for new instance, resources booked, deployment sign off and closure meetings booked for January 2016.
  • Extra budget secured

 

Issues

  • Scope change and milestone changes for creating the new SQL Instance has pushed this project into red.

  • Set up new SQL instance on shared server
  • Deploy to live on 11/12/15

Learning and Development Requirements for CSG

Achievements in Last Period
  • Viewed demo of EQMS product for those managing staff learning and development
  • Held call with Leeds University to discuss their experience of working with the supplier of the EQMS product
  • Viewed demo of Events Booking Admin application arranged for those involved in delivering training
  • Collated feedback from EQMS demo and sent questions to supplier

Issues

  • The proposed project closure date (27th November) passed but the project will now aim to close by the end of January to complete the actions agreed with the Project Sponsor and the IS Apps CSG Portfolio Manager

Next Steps

  • Expand target process maps to include training delivery process flow and training needs flow
  • Follow up with supplier for answers to queries from EQMS demo and circulate responses to stakeholders
  • Ask supplier for another public sector contact to comment on the EQMS Training Records Manager module
  • Send details from call with Leeds University (and with additional contact) to project stakeholders for review
  • Summarise market research on learning and development products, and send to Procurement Office
  • Speak to colleagues in HR to form view of numbers of potential system licences across support groups

RETAIN Enhancements for mass-based substances

  • The new mass-based (nuclear) RETAIN functionality went live on 4th November
  • The 2-week post-deployment maintenance period was completed.  Fixes & small changes delivered during this period are documented at https://www.projects.ed.ac.uk/project/csg008/page-2
  • Additional funding for BI/reporting was agreed with Health & Safety and agreed development work took place
  • Draft completion report produced
  • Project completion agreed with the caveat of successful deployment of final BI/reporting which is planned for w/c 7th Dec

  • Delayed completion date resulting from additional BI/reporting and final fixes

  • A series of interviews have taken place with key stakeholders from RIR. ERI and EDINA

Issues

  • Issues securing confirmed interview dates due to previous diary commitments.  This will impact the delivery & closure milestones by about 2 weeks which pushes them into the University shutdown period.

  • Final interviews to be conducted
  • Draft technical report and analysis summary papers to be produced & shared with Project Sponsor
