Achievements this period

• Closure report out for feedback
• ECA resilient link test scheduled for 13th December
• Phase 2 planning discussions in progress

Issue

• Milestones to be rescheduled
• There was an escalation with Director of ITI and Chief Operating Officer of EFI due to the Estates instruction of work for a new comms room for phase 2.

Next Steps

• Test resilient link
• Close this project and start phase 2 project.

Achievements this period

• No update from Dev team

Issues

• The PM has left Project Services mid November and a Change of PM is now required. No alternative resources is available to take over immediately. In the meantime, the project is development led.
• The Project is extended to complete this phase of work. The milestones and budget need to be confirmed.

Next Steps

• Assign new PM
• Implement Jira organisation changes 
• Handover to Production
• Update documentation for handover
• Continue developments with a view to turning off php site

HSS044 Business School IRM On Boarding

Achievements this period

• Change of project manager - Sue Woodger took over from Catherine Hetherington wef 14/11/23
• Business requirements with remaining Senior User finalised
• The data cleansing task is now complete.
  • The data is not as reduced as much as originally envisioned but it is in a better state than it was. The Business School have thought about their data and is a starting point for future thinking
• The Data Migration (Sandbox) Complete milestone had been moved out to Thursday 30 November as it had been difficult scheduling a meeting with the remaining area senior user. This has now been completed and the area senior user is happy with the requirements – no changes were required – and she is happy with the data in the sandbox  This enables the live migration to go ahead on the 2^nd December.
• User Training completed
  • The last of the user training took place on 23 Nov 23 and the milestone is complete. There were 3 sessions in total

Issues

• The DPIA work is still ongoing but the team have now heard back from Rena Gertz. She is cloning an existing DPIA and amending as necessary for the policy directory. Just waiting on confirmation that this has been and will then be reviewed by the team.
• Issues with licences
• • Salesforce say that the transfer for last licences has been difficult. Has escalated to the US but not getting any traction from them.
  • However, a workaround has been put in place by purchasing new licences. This has been approved by Alex Carter
  • The process to deal with remaining licences will be confirmed between the Salesforce account manager, the Project Sponsor and the IRM Service Manager
• The figures in ASTA had not included team members time for December and January. PM has been reviewing and estimates that this could add approx. 5d to the project. Team members are being consulted for forward estimates.

Next Steps

• Migration of the config into Live to happen on 2 December with it being opened to users on the 4 December
• Confirm forward estimates and submit for approval
