Section One: Programme Commentary, RAG and Resources Update

During September, work progressed well across all ongoing projects. The HSS020 CAHSS WAM Extended Pilot successfully completed and the project was close on the 28 September 2018. The Closure Report is available to view. All activities around WAM continue in HSS022 CAHSS WAM Deployment project.

One project was suspended: HSS024 Support for the Xerte pilot will now implement EASE authentication. This work is scheduled for October and the project is suspended until resources are available.

Two projects remain AMBER:

  • HSS015 School of Economics Job Study where a risk remains around the DWP granting permission to share data with University, and the external supplier has delayed the full application launch.
  • HSS023 Student Voice where part of the analysi had to be delayed to suit stakeholder availability.

All other projects have a GREEN status.

The overall status of the CAHSS programme is GREEN.

The initiation of one further project has started in 17/18:

Proposed area for projects in 18/19:

  • Scottish Studies Digital Archive:
    • an initial meeting took place on 5 September 2018 which included representatitves of CAHSS, EDINA, Digital Library and Project Services, to assess the needs and secure resources to initiate the project. This work is urgent and expected to start in October 2018.
  • A joined project with CSE to extend work on lease standardisation done by MVM in MVM027 and MVM501 on Lease Standardisation.
  • Support for Edinburgh Future Institute
  • Support for Karen Howie, IT Manager for the School of  History, Classics and Archeology. 
  • Course and programme handbooks

CAHSS had a budget of 150 ring fenced days for 18/19 which has not been allocated yet.

Achievements in the Last Period

  • Ingeus have advised that Phase 3 development will commence in early November
  • Data Security
    • Discussions are now on-going between UoE, Ingeus and DWP to clarify data access
    • UoE are now being involved in the discussions with DWP
    • DWP to prepare an agreement that will require to be reviewed by UoE legal department
  • UoE testing has commenced briefly
  • Deployment Check List has been completed by technology Management
  • The scheduled Ingeus go-live (incorporating the control group only and API disabled) went live on 3rd September 2018
  • Commenced SDD and API vulnerabilities checks
  • Live infrastructure has been prepared

Issues

  • Data Security
    • Whilst progress is on-going with DWP, agreement has still to be reached
  • OLA updated, currently awaiting feedback from Fraser Muir 
  • UoE testing
    • This has not progressed as planned due to
      • a few technical issues have been encountered with user set-up and data transfer issues between Ingeus and UoE
      • lack of technical resource being supplied by Ingeus, who are now only supplying technical resource during the period of 4th to 9th October

Next Steps

  • Complete UAT as appropriate- scheduled to complete by 11th October
  • Complete SDD and API vulnerabilities checks - scheduled to complete by 8th October
  • Complete initial tests for the Live infrastructure
  • Complete OLA for IS Apps and the business user
  • DWP approval

RAG Commentary

Issue: Confirmation is still outstanding from the Department of Works and Pensions that UoE will be permitted to receive job study captured via the Ingeus workplace interface and in addition lack of technical resource from the supplier during the latest round of UAT.

  • LTW resource required to investigate suitability of Learn against the signed off BRD.  Resource not available until October at the earliest.

Achievements this period

  • Good progress has been made in identifying the various use cases from across the University.  This is required to be able to underpin user experience feedback to support user and business requirements gathering.
  • Communications & Marketing have been engaged to help develop digital display standards and guidelines.
  • An options analysis workshop was held to support data feeds from timetabling.  This is necessary as the current feed data format is a significant barrier to displaying room timetable information.  The outcome of the workshop was to request a new API.
  • The Current URL feed from timetabling is being assessed for continued use but with a new digital display template and content management application in line with EdGel design standards.
  • Proposed template has been designed for screens outside of meeting rooms.  This is the most common and well understood use case. The template is based on the Business School standard which has been usability and accessibility tested.
