Section One: Programme Commentary, RAG and Resources Update

During October, six projects were ongoing with Support for the Xerte pilot restarting towards the end of October to proceed with the implementation of EASE authentication.

Good progress were made across the board with the most noticeable achievement in HSS015 School of Economics Job Study with the launch of the application, data started to be gathered and the approval in principal from DWP to share the data with UoE. This means the project is back to a GREEN RAG status, the first time in almost a year.

All projects have a GREEN RAG status except for:

Achievements in the Last Period

  • UAT for phase 1 was completed by UoE
    • Ingeus deployed phase 1 on 18th October - resulting in data being captured for UoE
  • DWP documentation received and forwarded to UoE Legal team

Issues

  • Data Security
    • Whilst progress is on-going with DWP, agreement has still to be reached
  • OLA updated, currently awaiting feedback from the college 
  • Complete SDD and API vulnerabilities checks
    • this was not completed as scheduled as the assigned developer was re-assigned to assist with UAT for Phase 1
    • currently waiting for these tasks to be assigned development resource

Next Steps

  • Ingeus have advised that Phase 3 development will commence w/c 5th November, and UoE testing is scheduled to commence w/c 19th November 
  • Complete SDD and API vulnerabilities checks
  • Complete initial tests for the Live infrastructure

Achievements in the Last Period

  • The Business School and SPS are ready to commence UAT.  
  • Economics have appointed a new head and deputy head of school.  This has created a delay with UAT.  
  • Build for ECA is complete and data cleansing is in progress.  
  • COL build is in progress and is expected to complete by mid November 2018.
  • ECA's remaining subjects are now joining the roll-out.  This change will extend the college delivery by one month.  A change request has been submitted to support ECA extension and the additional budget. 
  • SPS have provided a further two subject WAMS.  If this is to be built into the system, this would mean additional costs. This needs to be agreed with the sponsor.  
  • Additional administrator training courses have been arranged to support new subject areas coming on-board and for other schools requiring training.

Achievements in the Last Period

  • BRD Review meeting held with project sponsor.
  • Feedback received and BRD updated to version 1.2.  BRD released for review and final sign off.
  • Initial response received regarding suitability of Microsoft Teams.  Further details requested regarding non functional requirements regarding costs and timescales.

Issues

  • BA has been unable to contact Unitu.  Fraser Muir has provided an introductory email but Unitu have yet to respond.

Next Steps

  • Achieve BDR sign off for version 1.2 of the BRD
  • Investigation of proposed options against requirements.
  • Draft options paper covering the suitability of Learn, Unitu and Microsoft Teams to address the requirements held in BRD v1.2 for review and sign off.

Achievements this period

Good progress has been made in identifying the various use cases from across the University.  This is required to be able to underpin user experience feedback to support user and business requirements gathering.

Communications & Marketing have been engaged to help develop digital display standards and guidelines. As the result of the project C&M have created a new brand chapter for Digital Signage.

Requirements gathering is in progress within CSE and CMVM.

The Current URL feed from timetabling has been assessed for continued use but with a new digital display template and content management application in line with EdGel design standards.

Proposed templates designs have been developed for screens outside of meeting rooms.  This is the most common and well understood use case. The template is based on the Business School standard which has been usability and accessibility tested.

Design resource has been secured for the development of templates to support large screens owned by schools.  These design templates will be used to support standards and guidance.

A pilot for the use cases that support screens outside larger lecture rooms (medium sized screens 22") is underway in two locations within Douglas Hume Tower and New College. 

The Technology product set has been identified to support the Timetabling data interface and this will become the proposed strategic direction for Digital Display Signage and will be incorporated into the service roadmap.

Issues

  • There has been a considerable amount of feedback and fix requirements notified to the supplier which may increase the period of system development or be picked up within the User Acceptance/Fixes period.  This is being managed in conjunction with the supplier via a shared testing and fixes sheet, and the supplier is contracted to deliver the full set of user stories.  This has been noted with the sponsor as a risk, regarding timescale and budget - until an assessment has been done on a re-plan, the project will be marked as AMBER for timescale and budget.
