Section One: Programme Commentary, RAG and Resources Update

During June, a new project was added to the programme:

This is a follow on to the option analysis done in HSS023 Student Voice and will pilot two platforms to facilitate the student-programme representative feedback process in support of the students' association. Programmes from all three Colleges will be included in the pilot and the project has been listed in the Cross Colleges Portfolio projects. This project is covered in a news item, Sounding Out the Student Voice, on the Information Service News and Events website.

Several projects are reporting an AMBER RAG status mainly due to delays causing projects to continue into next session (2019/20).

One project, HSS029 School Programme Quality System (SPQS) Improvements, is reporting a RED status. There is a risk resources may not be available to potential address issue raised in UAT. The probability is low but the impact will be high and could prevent some of teh improvements to SQPS being deployed in time for this year reporting cycle.

Therefore, the status of the programme is set to AMBER.

Achievements in the Last Period

  • DPIA has been created and currently awaiting approval from the Data Protection Officer 
  • Response drafted re DWP policy document 
  • OLA updated and awaiting to be signed-off
  • Remote pc installed with Stats software 

Issues

  • Job Tracking Development 
    • Conference call with Ingeus and project sponsor held on Thursday 27th June to review progress
    • Ingeus have advised that the Test system has now been rebuild and released to UoE on Friday 28th June, however, 
      • currently unable to resume testing as the two key developers are on annual leave
  • Currently the project is currently projecting an overspend of 15 days, however, this will be further clarified once the project can be re-planned 

Next Steps

  • Requirement to re-plan remaining project activity 
    • now that Ingeus have supplied a Test system 
    • once developer resource can be secured 
  • Complete signatory of the OLA for IS Apps and the business user
  • Implement new Job tracking enhancements

Achievements this period

  • Agreed revised project milestones with Project Sponsor and Business Lead
  • Continued User Acceptance Testing with a focus on higher priority items, notably the PDF editing/printing

Issues

  • The User Acceptance Testing milestone has moved to 19th July to enable the team and supplier to focus on essential items to be completed, including the migration of client data.  The Time RAG has moved to AMBER this month, reflecting the fact there remains a risk to completing by this date.
  • The Cost RAG remains at AMBER this month to reflect the likelihood the project will require a small amount of funding in 19/20 to complete the project

Next Steps

  • Complete the list of essential items to be resolved and work with supplier, using remote sessions where required, to highlight fixes required.
  • Complete user acceptance testing for the essential items.
  • Set acceptance criteria (go / no go) for moving to system deployment

Achievements in the Last Period

  • Five of the nine specified business requirements have been completed and deployed to the Test environment 
    • This includes all the Must have requirements 
    • UAT has commenced and is scheduled to be completed by 12th July
  • Change of project manger - Andy Stewart 
  • Project re-planned based on delivery of completed changes to date 

Issues

  • Developer resource conflict during June and July 2019 has delayed the development and as a result 
    • Changes deployed to the live system could be used by School Directors of Quality for this academic year, if the deployment date is 22nd July.
    • With the adjustments to the timeline so far, this will not be possible for individual programme reports completed by Programme Directors in June and July, who are completing their reports now.
    • If there is any further delay to the timeline (e.g. to factor in remaining development work) the window for completing School reports (throughout August) narrows. The final submission date for these reports in 24th August.  Depending If we start pushing towards that date, it might be a case of delaying deployment until after August 24th.

Next Steps

  • With regards to the changes deployed to Test
