Section One: Programme Commentary, RAG and Resources Update

STU242, CareerHub Implementation has successfully delivered the LIVE infrastructure at the start of August.

STU235, External Examiners has successfully deployed the new functionality to LIVE in time for the Pilot Schools to use it. STU244 will set up the support infrastructure to enable ongoing support of the functionality delivered and to complete additional enhancements. Work has been progressing on the project brief for this, which is expected to be completed shortly.

STU236, SDS database and web application enhancements, has one remaining post go-live issue to be resolved regarding sending emails from Radium before this can be signed off. Work is progressing on the Kelso enhancements, however issues with the underlying infrastructure have affected how this work can be done without putting the unsupported applications and associated business processes at risk. This means the estimate to complete the Kelso work has increased as the expected approach to development has had to be amended. This will affect the plan to replace the legacy applications Radium and Kelso, as the time will need be spent on enhancements to Radium rather than supporting the business case for replacement. Additional funding is also requested to enable the current project to complete all the Radium enhancements, and as this is not resolved the project is RED.

The Student Counselling Service project to enable students to access two forms from the Student Counselling Service (SCS) website is being initiated this week as STU235.

In relation to the budget and balances in the table below, STU235, STU236 and STU242 are showing as having budget in this year. This is due to the unplanned carry-over, and the project budget for this year has not been reduced to reflect the reduced effort expected in this year. AP34-061 is showing as 27d carry-over, the agreed carry-over of 50d has now been included in STU236 planning, and so the 27d in AP34-061 is a duplicate which will be removed for the start of 14/15 planning.

Disability - SDS - Reasonable Adjustments

This project was intended to be carry-over for enhancements to Radium that are required to support the legislation to make reasonable adjustments for disabled students. These were started in STU238, Radium Enhancements including Reasonable Adjustments and merged into STU236, Student Disability Service database and web application enhancements. During the course of STU238 it became clear that the underlying infrastructure, which was built by a contractor in 2006 and intended as a stop-gap at the time, needed significant changes to enable these Radium enhancements to be implemented. STU236 will deliver the enhancements which are possible under the current infrastructure.

It was intended that this project would be re-purposed to look at options for replacing these systems, which are coming to the end of life point, incuding estimate for a business case to be submitted before the next round of planning. However, as the work has progressed it has taken more effort to complete the work than originally estimated due to the limitations of the underlying infrastructure. This means the project will revert to its original intent, and so the planned days will now go to completing STU236.

Dependencies

Completion of STU236, SDS database and web application enhancements. Potential for eTime and EUCLID to be used, so time may be required to meet with Finance, Student Systems and others that may be identified through the course of the investigations. Barry Nielson from Student Systems will be supporting SDS in developing their strategy/roadmap in autumn 2014, this project would look to support the implementation of the strategy/roadmap.

CAM - Enhancements to UG / PG Degree Finder

CAM would like to make use of the new functionality that is being developed as part of UWP006, New University-wide CMS. It is expected that the CMS project will deliver the minimum viable product (MVP) functionality in October 14, and proxy functionality at the end of January 2015. CAM will evaluate the functionality delivered in the MVP, and determine whether this, together with the planned additional functionality, could give them better options to enhance the UG/PG Degree Finder functionality. Once this is clear, they will be able to define the requirements for this project.

The volume of students seeking support from the Student Counselling Service has grown by 89% since the move to the Main Library, and demand is expected to increase in the next year. This project will be initiated at the start of August to enable the implementation of online forms (currently using paper and printouts) as soon as possible. If this project has a simple solution, then any effort not used would be added to the SCS - Small Enhancements project. Conversely, if this project is complex (perhaps due to confidentiality requirements), then the SCS - Small Enhancements project may be scaled down to enable this to be completed.

STU243 - External Examiner Online Reporting System Phase 2

This project was initiated in July so that SSP can conduct Business Analysis under the project code at this time; the project itself for IS Applications is not due to start until the end of September. No project reporting will be undertaken until the end of September, when the project will be initiated to enable delivery of the project brief for the target date of 17th October 2014.

Achievements in Last Period
  • A number of issues relating to the deployment of SQL 2008 and ColdFusion 10 have been resolved, 1 item is outstanding raised on 4th August relating to sending emails from LIVE Radium, which is being worked on.
  • Draft requirements for the Radium work have been produced and an estimation completed based on the draft. From this it was determined that completing both the Kelso and Radium enhancements would not be possible before 25th August, since significantly more work was needed for Radium than had been previously estimated (based on limited information) and the Kelso development has taken longer than originally estimated due to the underlying architecture (see issues below). The decision has been taken to split the deployment to focus on completing the Kelso enhancements first, with the aim of deploying these on 25th August, and then working on the Radium enhancements.

Issues

  • The Kelso work has taken significantly longer than originally estimated due to the underlying architecture and corresponding limitations on the way in which the work can be done. The original estimate was based on the standard approach of re-designing and modifying the underlying database structure to support the new processes. It has not been possible to work in this way, since three additional applications (unsupported by IS Apps) share the same database, and the processes and database structure are very closely tied together. Re-designing the underlying database structure would put at risk the processes supported by these three other applications, which are essential to Student Disability Services. To minimise the risk of making changes which would break other current processes, workarounds have had to be implemented based on the existing database structure, which has taken longer.

Next Steps

  • Complete the build of the KELSO Enhancements and promote to test as they become available for the business to test. Complete testing and promote to LIVE.
  • Complete sign-off of the Radium requirements and then complete the design for the Radium Enhancements.
  • Agree funding for unplanned carry-over (currently 71d total, comprising 11d funded days, 50d from SDS planned carry-over project for Radium enhancements and 10d to be agreed).

STU240 - CARS Database Migration

Project has been withdrawn. Withdrawal (Item 6) was agreed on 10 April 2014.

It is now planned that the legacy Careers databases - SAGE, CCTS and Vacancy database - will be decommissioned , when the replacement system CareerHub goes live. As long as CareersHub is implemented into Live by Jan 2015, then it won't be necessary to do any further compliance maintenance to the CARS databases.
