Section One: Programme Commentary, RAG and Resources Update

Commentary

STU242, CareerHub Implementation has launched MyCareerHub to students and staff. The project will shortly be suspended until start November, at which point the CARS database will be decommissioned and the project closed.

STU235, External Examiners has deployment is now signed off, and the Schools users and External Examiners data were imported. STU244 project brief is agreed, and the prioritised usability issues identified at the end July have been deployed to Live.

STU236, SDS database and web application enhancements, post go-live issue now resolved regarding sending emails from Radium, Special CAB approval required to deploy to LIVE during freeze period. The requirements for Radium are now known and estimated, the work is significantly higher than had been expected. The planned carry-over for Disability - SDS - Reasonable Adjustments was originally to be enhancements to Radium, and subsequently discussed as being re-purposed to look at options for replacing the SDS systems as they are nearing end of life point is now re-incorporated into completing STU236. The remaining budget has been agreed to be taken from contingency for the other projects within the STU programme (see Risk 1).

STU245, during development of the brief for SCS Online Forms project, the project team have identified several potential solutions, with varying estimate and correlation to requirements. These range from no build effort, to more substantial build effort (71d). The most substantial build would enable more integration with the existing system, but this would mean that less time could be spent on the planned SCS Small Enhancements project. These options, combined with the annual leave of the lead business user, have delayed agreement of the project brief and so the project is RED as the date is unlikely to be met.

STU246, CAM Small Enhancements project initiated to take forward multiple small enhancements for Communications & Marketing. This is split into a number of Work Packages, with the most urgent calls being grouped in Work Package 1 and work is progressing in parallel with agreement of the project brief.

Resources

The Programme Owner has agreed that the contingency for planned projects SCS Online Forms, SCS Small Enhancements and CAM Small Enhancements be allocated to STU236, SDS database and web application enhancements, to cover the increased estimate now the requirements for Radium are known and estimated. Risk 1 to delivery of these 3 projects is raised, and 2d now remain on the balance row.

The effort for STU243, External Examiners Phase 2 reflects a reduction in estimate due to the small amount of effort for STU235 EERS completing this month. The budget allocation will be revised to reflect the reality as STU235 closes.

If the SCS Online Forms project goes ahead with the current estimate of 71d then less effort would be available to SCS Small Enhancements; this is reflected in the expected work below.

CAM would like to make use of the new functionality that is being developed as part of UWP006, New University-wide CMS. It is expected that the CMS project will deliver the minimum viable product (MVP) functionality in October 14, and proxy functionality at the end of January 2015. CAM will evaluate the functionality delivered in the MVP, and determine whether this, together with the planned additional functionality, could give them better options to enhance the UG/PG Degree Finder functionality. Once this is clear, they will be able to define the requirements for this project.

SCS -  Small Enhancements

STU243 - External Examiner Online Reporting System Phase 2

This project was initiated in July so that SSP can conduct Business Analysis under the project code at this time; the project itself for IS Applications is not due to start until the end of September. No project reporting will be undertaken until the end of September, when the project will be initiated to enable delivery of the project brief for the target date of 17th October 2014.

Achievements in Last Period

  • The build for the Kelso Enhancements has been completed and promoted to test.

  • Testing has been completed and the Kelso Enhancements were deployed to LIVE.

  • A revised budget has been agreed based on the most recent requirements. The current agreed budget is 360 days.

  • The Radium requirements have been completed

  • An outstanding issue with Phase 1 has been resolved.

Issues

  • There is currently an issue with the Kelso Enhancements that has been resolved and is ready for deployment. The project team is waiting for approval from the Special CAB to promote this to LIVE.

Next Steps

  • Obtain formal Sign-off for Phase 1.

  • Obtain Sign-off for the Kelso Enhancments.

  • Complete the design for the Radium Enhancments and start on the build.

Issues

  • Unavailability of project sponsor due to annual leave has resulted in lack of time to discuss various solutions to project before project manager departed on annual leave. An interim project manager (Morna Findlay) has been appointed to carry the project forward in early September.

The status is  RED as:

- initial investigations into the effort required to deliver project scope (yet to be confirmed with sponsor) suggest the scope cannot be delivered within the current budget, options are to reduce the SCS Small Enhancements project or agree one of the other options which would require less effort

- due to the absence of the project sponsor on annual leave it may not be possible to achieve  the end of planning milestone by the currently agreed date.
