Commentary

 

The STU programme is RED, as 1 project is RED and 2 of the projects are AMBER

There is a resource conflict within IS Project services which is preventing the STU260 options appraisal from being completed.

There is a plan to resolve this by moving the STU260 project from Jamie Thin to Chris Konczak to balance work loads

Achievements in Last Period

  • All stakeholders have now signed off withdrawal / closure, incl Anne Graham for IS Apps Application Management
  • IS Apps Dev tech have done a code review to confirm which  legacy code should be disabled / decommissioned in DEV, TEST and LIVE to  tidy environment and not leave behind legacy code

Issues

  • Open - IS Apps Dev tech have made recommendations to IS Apps Application Management team to tidy up DEV, TEST, LIVE - this will be taken forward as a business-as-usual task for Apps management

  • Formally withdraw project

  • Implementation Workshops completed for 
    • Business Users 
    • Technical Users (SMTP and SSO)

    • Process flow of assessment templates has been documented 
    • Draft Assessment templates have been created for the both the Staff and Research based DPIA templates 
    • Evaluation of testing is now underway 
  • First draft of user instructions has been prepared and is currently being reviewed in line with Assessment templates 
  • System process flow regarding assigning assessment templates and authorising such templates has been defined 
  • Data Champion Workshop
    • 20 data champions have signed up to a workshop on 24th May to evaluate the Assessment templates and associated process flow 
  • The project has been re-planned and estimated to complete the remaining project activities

STU260 CAM  Degree Finders - Options Appraisal

  • The design work on the security strengthening package has started

Issues

  • Dependency on STU264 - the urgent small enhancements to the UG & PG degree finder should be delivered first via STU264, then the security work can be delivered after STU264 goes LIVE
    • STU264 is due to go live by 15-May
  • Options appraisal work package - stalled due to resource conflict on PM's time with competing project -  SEP Work & Study away project (SAS004 / SAS016)
  • Options appraisal work package : -Dependency on SEP SAS PCIM analysis & SRA analysis - the future PCIM / SRA Website solution may not provide a complete end-to-end solution for CAM for all marketing data associated to Programmes.  
    • STU260 should attempt to understand the potential size of any gap , so that Service owner (CAM) can make a bid for additional funding / submit business case to SEP for another future project
    • initial response with answers to STU260 questions received from Emma Rowson (SEP), fuller details will be available after  Feb 2019 once initial PCIM analysis complete.

Next Steps

  • Get resources booked  to deliver the  security strengthening dev work for both the UG & PG applications
    • initial estimates are that the work is relatively small , so it is recommended that it is delivered as a work package within STU260 rather then spinning up a separate project to do the security work
    • make IS dev tech bookings to match S/W dev team bookings

Achievements in Last Period

  • All development JIRAS now completed
  • UAT completed on all JIRAs. 2 have been returned for rework. One was the EdWeb integration requirement which is being deployed by the EdWeb team on 09/05/2019, the other is a permissions issue.
  • Deployment date for all CAM JIRAs agreed to take place on 14/05/2019

Issues

  • Budget waiting approval from project sponsor. This is currently 27 days over the agreed budget caused by additional scope added into the project.
  • Milestones altered, delivery and closure delayed due to earlier lack of resource.

Next Steps

  • Submit milestone and budget change to WIS for approval
  • UAT sign off on the two remaining JIRAs.
  • Deploy to LIVE on 14/05/2019
  • DSOR signoff to be achieved
  • Begin write-up of the closure report

  • Initial two solution demonstrations held.
  • Access gained to trial environments and Records Management carrying out evaluation exercise.
  • Disability Information Officer contacted regarding accessibility testing.

  • A Go/No Go milestone to be included prior to Planning sign off to confirm budget available for 2019/20.

Next steps

  • Project Brief raised and approved.
  • Final Product demonstration held.
  • On-going evaluation of proposed solutions.
  • Engage with replacement procurement contact as a result of previous contact leaving the university.
