TEL025 TEL025 Moodle Course Enrolment Management Discretionary Milestones TBC RAG Status RED | Report by Karen Stirling for April 2016 Achievements in Last Period - Meeting held with Enterprise Architect, Service Management and project team including Project Sponsor on 7th April to discuss way forward with a number of actions raised:
- Dave Berry has initiated a Change request for Withdrawn Students - this is now with Service Management to take forward the change request, copied to key service owners Karen Osterburg, Alex Carter and Anne Marie Scott. An estimate for development work has been provided by ISG Development Team.
- A workaround script has been suggested from the Grouper User Group. A problem record has been raised and developer resource requested to assess issue (2 days allocated)
- The change to the course code in Grouper is expected to be completed prior to the roll forward in June. Course code key to be defined and Michael Sun has been asked to estimate. We will require Karen Osterburg to sign off development proposal. Geir Granum and Chris McKay have to produce a specification and include impact on TEL025 project. Once details have been gathered this has to be presented back to project sponsor for agreement to take forward. The specification is to include a description of how the groups will be used within the business processes of setting up courses, submitting assessments, etc. Alex Carter has asked for PM to manage this piece of work alongside the project. As this will need to be completed ahead of TEL025 project deploying to live. Also confirmed that this development will be charged to RDS.
- TEL025 UAT plan has been reviewed by Chris McKay and Stephannie Hay to highlight any area that may have been omitted. Stephannie to request brand new data including: Courses, Students, Course organisers by SSP to allow project to track end to end testing, SSP to provide what kind of timeframe they would need to be able to do this for the project
Issues - UAT remains on hold until update on progress have been reviewed and agreed by Project Sponsor

TEL029 Adaptive Learning Pilot Discretionary Milestones RAG Status AMBER | Report by Sue Woodger for April 2016 AchievementsIssues- Meeting was held with project sponsor and programme manager where project manager discussed her concerns for the delivery of iteration 3 materials, even if the project is extended to end July 16. Closure is currently due next week on 3 May and we are awaiting formal approval from project sponsor that she agrees to an extension of the project and an additional 7 days budget. A piccl has been submitted for an interim closure date until that approval is received.
- Feedback survey is still delayed. There has been confusion with the Lead editor about who is doing this work. He has been informed again to liaise with Amy Woodgate. He says that they will aim to get the survey out during exams and is confident that they will get a good response. PM has asked Amy to liaise with Lead Editor to ensure survey goes out. Milestone has been delayed until 13 May.
Next steps- Feedback on updates to the existing surveys to be sent to Amy so she can update the surveys

Project is AMBER as although we have approved milestones they are only interim. We await project sponsor approval to get the milestones finalised. |
TEL030 Annual Moodle Upgrade Compliance Milestones RAG Status GREEN | Report by Colin Forrest for April 2016 Achievements in the last period - We have progressed into the Build phase of the project.
- Dev has been refreshed from Live and Moodle has been updated.
- We are working through testing on Dev as per our plan.
- We will now take the work of TEL025 through the environments at the same time as the Moodle Upgrade.
Issues - There have been some issues surrounding resourcing, but we have been resolving these satisfactorily as they occur.
- Some plugins have created fatal errors in Dev, but the Service Owner along with support from Software Dev have resolved the issues.
Next steps - Progress into Test as per the plan.

- Meeting held with ODL staff to introduce them to the project. Civitas gave presentation
IssuesNext steps- Operational meetings set up to allocate tasks and take project forward
Programme Manager comment: Project is RED in agreement with Programme Owner given uncertainty on plan. PM confirmed with Anne-Marie Scott (Acting Joint project sponsor) on 16 May that the project RAG was red due to Time and Cost. Cost is because of the potential overspend if the project does not deliver on time and Time as we did not resources assigned in asta, Civitas had not fed back on the plan and security issues were not finalised. Project Manager also was unhappy that the operation of the project was based on a high level plan and that we needed more detail. We now have a plan to bring project back to Green status: - Fix the resources in the plan
