Issues:

Concern that remaining days effort may not be used by the end of July, specifically on these projects:

TEL033 Learn and Student Record Grade Exchange Feasibility Study.

TEL039 WEBPA migration.

 

Projects in Progress:

TEL025 Moodle Course Enrolment Management - UAT completion delayed due to data quality; milestones replanned; Acceptance planned for 12/07/16.

TEL029 Adaptive Learning Pilot - Iteration 3 materials delivered to CogBooks on time; now in their QA process; project planned for closure at end of July.

TEL030 Annual Moodle Upgrade - Acceptance meeting w/c 04/07/16, deployment to Live scheduled 12/07/16.

TEL031 VLE Student Analytics - Agreement still required on overall plan, Project Board to be established as part of project governance.

TEL032 BlackBoard Collaborate MyEd Channel Refresh - Build complete awaiting signoff.

TEL033 Learn and Student Record Grade Exchange Feasibility Study - New PM assigned; BRD complete and out for review; milestones being replanned in discussion with Business Lead, for agreement with Project Sponsor.

TEL034 Lynda.com Implementation - Soft launch successfully completed; full launch plan to be agreed.

TEL039 WEBPA Migration - Planning delayed due to dependency on ITI configuration of infrastructure.

Achievements in Last Period

  • New test data available for UAT from SSP and testing completed for key functionality
  • System Design Document created and handed to Application Management
  • Handover to Production Management
  • Preparation for deployment – service alert etc.

 

Issues

  • UAT extended due to some test data quality issues and business team not comfortable with volume of data, therefore deployment scheduled for 29th June delayed to allow project team to review options for deployment
  • Options to enable deployment to live - perferred option to complete a softlaunch of a small number of SEM1 courses and monitor data quality for 4 weeks to allow project to complete closure. Full launch for SEM2 courses later in the year.
  • New dates being agreed and review of budget as it will require carry over budget into 16/17 estimated at 4 days to cover deployment support and closure
  • Development work aligned to Course Code fix being completed separately via ITS RDS Service Management budget requires resource to start work as key developer not available until August

  • Monitoring Data Quality following Soft Launch

  • No further updates from lead editor on feedback survey – assuming this has not been delivered and will go into closure as a deliverable not achieved

Achievements

  • System Design document agreed with some minor changes to be made
  • Civitas are onsite 4-8 July for data validation and tools demonstration. Jamie Morton and Geir Granum have been working with Civitas to validate the data
  • Communications planning has started

Issues

  • TAD was not completed on time. Developer will now produce for 5 July along with an architecture document as requested by Dave Berry at the  review meeting on 27 june. TAD and architecture document will also document VPN and SFTP processes and security use cases and responses
  • Milestones need to be revisited as they no longer hold true
  • Clarity around anonymised and non-anonymised data is still required and Lisa Dawson is following up with Records Management
  • Project is still Amber as we still have to finalise the detailed plan plus we still have governance issues to resolve. It has been agreed that LAGG will reconvene as a project board but membership still has to be agreed and the first meeting to be organised

Next steps

  • TAD AND Architecture document will be circulated for comment. Internal signoff due wb 11 July
  • Communications and Training plans for the rollout finalised
  • Revisit milestones at  next project meeting

 

 

Update on RAG

As at 13 July project sponsor asked to change the project status from Amber to  Red now on the basis that (a) data protection issues are outstanding (b) resources have not been available.

Achievements

  • Project plan is ready for circulation but issues are delaying its progress

 

Issues

  • There are issues around the the platform that has to be used and DevTech are investigating
  • User groups have to be set up for WebPA and this involves Unix team setting up. They have no priority system so it is likely there will be delays and the current plan will be unattainable
  • Due to developers holidays we are unable to deploy to live until the week beginning 25 July
  • Due to holidays in USD we will be unable to synch the live data until after 15 August. However we will try to have system ready so all that needs completion is the synch and the DNS switch (current golive is 27 July)

  • Developer to get Unix to set up user groups
  • Build of Dev, Test and Live Environments
  • New TAD created
  • Build signoff

Project is RED as current plan has not been approved and is already looking unachievable due to issues mentioned above
