Planning complete for Blogs Solr search development work and development work underway. LTW resources not available 100% to the project which could delay this implementation.

Also, legal paperwork is currently underway for Domain of One's Own, after its completion DOOO setup work will commence.

So RAG status of Amber has been selected for in this reporting period for reasons above.

  • Domain of One's Own contract paperwork in progress with third party supplier and Legal service.

Achievements in Last Period

  • ITI replicated the load balancer changes on the Live infrastructure and it was handed to QM to install the application.
  • Application installed on Live and the repository created.
  • Application  installed on Live but not yet accessible; we are working with ITI and QM to determine where the issue lies.
  • Follow up call with QM on 04/06/19 and a further call scheduled for 05/06.
  • SSO installed, awaiting verification.

Issues

  • Currently working with ITI colleagues to troubleshoot access to the application on the new live infrastructure.

Next Steps

  • TEST & Acceptance signoff
  • LTW documentation tasks to complete when TEST signed off

Milestones are in the process of being amended - Project team are reviewing these prior to sign off.

 

RAG Status: RED: Project is currently being reported as RED due to the loss of 1 full time team member. This has impacted upon time as all outstanding work is being absorbed by other team members which has caused slippage to occur.

Achievements in the last period

  • Checklist prototype completed and out for sign off;
  • Terminology glossary completed and out for sign off;
  • Terminology glossary shared with DRPS - meeting set up for start of June to discuss further;
  • Continued user experience activity and engagement ongoing;
  • Student helper recruitment completed and 10 x offers made;
  • 1 x PhD intern offer sent out – awaiting acceptance;
  • Continued focus on training requirements for users;
  • Initial version of the implementation plan completed and out for review prior to sign off;
  • User experience and playback session for Law in the planning stage;
  • School templates have been received back and are now in the process of being migrated across to TEST for UAT prior to roll-over on W/C 10th June;
  • Further engagement sessions undertaken with Divinity, Geosciences, Edinburgh Medical School, Deanery of Clinical Sciences, Business School along with History, Classics and Archaeology – all successful and supporting Phase One to allow implementation plans to be created;
  • Comms Manager has begun School and college level engagement  with academics;
  • Training Programme being created and due to be signed off;
  • Engagement and comms planning completed with potential campaign being mapped out.
  • Project Administrator recruited

Issues

  • Loss of 1 full time member of the team has had an impact on the project and subsequent timescales - the outstanding work load is currently being split amongst some of the remaining team members;
  • Automation work stream slipped into Phase Two due to resourcing availability as a result of the Phase One deliverables which need to be delivered before automation can be undertaken.  This work stream will be defined with support from the College Learning Technologists once roll over has been completed (circa. June/July);
  • Template/Checklist and Terminology milestones slipped as a result of the additional work required on the template.

 

Next Steps

  • Continued user experience activity and engagement ongoing;
  • Continued focus on training requirements for users;
  • Automation work stream to be defined and planned for Phase Two;

Status changed from Amber to Green as MyEd Learn channel development work is complete and testing has not raised any major issues. There is high confidence within the team that project can be delivered in July and a Go decision has been proposed.

  • Majority of development work completed, including MyEd Learn channel.
  • Build work on BI Data feeds in progress.
  • Majority of Test migration configuration and testing complete.
  • Go/No-Go meeting held for the project, high level of confidence in delivery of the project in July. Decision by the project team to go ahead with project deployment to live in July.
  • Comms created and circulated about downtime and go-live dates. Link to project wiki for details of comms.

  • Complete development and testing of BI data feed.

Achievements in Last Period

  • Test upgrade delayed in agreement with project team in order to take in next Moodle point release, and work to integrate Moodle source code into GIT and Bamboo.
  • Test upgrade complete.
  • Significant work  required on the theme; almost all changes now deployed to Dev and pushed through to Test; final  theme changes expected by w/c 12/06/19 in order that UAT commence.

Issues

  • No major issues. Project running slightly behind initial timeline due to additional time required to set up GIT and Bamboo deployment process; this is now in place and there are no major issues with testing so the business is comfortable with the time available for UAT.

  • UAT and any necessary jira fixes.

  • Relevant resources secured for July if Learn upgrade has to be carried out on Live self-hosted Learn, in case of issues with deployment to Cloud (TEL058 project)

  • TEST Learn to be upgraded to Learn Q4 2018 and Oracle database to be patched.

Achievements in Last Period

  • Business have advised that procurement is no longer required and it will be purely an upgrade project from Lynda.com to LinkedIn Learning.
  • Business have requested name change for project from 'Digital Skills Online Learning Procurement' to 'Lynda.com upgrade to LinkedIn Learning'. WIS change of name will be submitted this week.
  • PM to work with business this week to discuss next steps. Project manager will advise Business of risk with limited time and resources to achieve upgrade before Business's preferred date of end of July. Business to confirm technical information for the work required.
  • In addition to the upgrade from Lynda.com to LinkedIn Learning (LiL) the Business have also requested that the data download previously configured required to be tailored to suit new service. The scope of this work is as yet unknown.
  • Project manager has approached Development Service Resource Co-ordinator with advance notice of requirement for both DevTech engineer for the authentication work required for the upgrade and also the download work involved requiring a developer.

Issues

  • No major issues but technical detail required to accurately determine size of work required.
  • Business timescales create a risk due to resource availability (hard to determine without more technical information).

Next Steps

  • Get update from Business this week and discuss resource and timescale risks.
  • Estimate project and scope work.
  • Determine resource availability.
