Overview

Background

The Deister proxSafe system supports building key management.  This controls the issue of building master keys and other accountable keys, vehicles etc. The system is supported by Deister Ltd, .  An annual maintenance contract including software support is included in this support. The server operating system was updated to Windows 2021 in July 2021.

 

On the 5th of November 2021 and issue was logged with the help desk as users could not access the system. The problem was caused by the CPU on the server having reached its maximum limits. This was stopping logging onto the server software. 

 After speaking with Deister it was confirmed that both a software and  a server upgrade was  required to resolve the current issue. The project should be treated as a high priority as it prevents new staff or additional staff access to key cabinets.

The current issues has the following implications:

  • Health and Safety – Minor implications due to emergency availability of building keys- low risk
  • Operational efficiency / effectiveness - Possible major implications in future as down time does not allow new staff to access keys or existing staff to given access to additional keys.
  • Financial Management – Minor implications, due to unavailability of access to keys  - low risk

 

Scope

Commission a new Windows Server that will be procured via the University Virtual Hosting Service by IS to support the database and application . We would need vendor support for:

  • Build of new system on a new Windows Server 2019 VM
  • Data migration
  • Advice on repointing security cabinets to the new VM
  • Deliver training on new system

Out of scope

  • Database cleansing - due to the complexity of archiving items from the system
  • A separate server for the database. This could improve performance but would extend the time to deliver the high priority project.

Objectives and Deliverables

The overall objective of this project is to resolve the issue that is preventing staff from accessing the software which prevents new staff or existing staff changes access to secure key cabinets and to improve the poor performance by upgrading the servers, application and underlying operating systems

  1. UoE to deliver 1 virtual server with the following spec and software:
  • Operating System -64 bit with Windows server 2019 
  • 4GB of RAM
  • 150GB of hard disk storage
  • Dual core processor
  • Current version of Chrome or Firefox/ Edge browser installed
  • BOMGAR Remote Support Software
  • Includes Firewall access as required
  • Preloaded software as follows: 
    • Microsoft .NET framework 4.6
    • Webserver Apache Tomcat 9.0
    • OEM Integrated JAVA 14 environment
    • SQL Express 2016 (upgrade from 2012)
  • Deister and ISG to ensure system is fully operational post upgrade 

 2. Deister to deliver the following

  • One training session
  • Desiter ProxSafe software version 5.1 installed onto new server (upgraded from V4.7.6)
  • Database migration onto new server
  • Licence transfer to new system
  • Setup controller connections to new system
  • Deister and ISG to ensure system is fully operational post upgrade

  • To regain full access to the server which in turn will allow new staff or existing staff changes  in access to secure key cabinets
  • To improve system performance and reliability
  • Functional benefits of upgrading to new version of software
