Meeting - Design Stage - 09-Jan-2013

This is the first Design Stage meeting. It was used to review the new/changed fields required for the HESA 12-13 return.
PERSON fields:
1. UKPRN - UK Provider Reference Number
Alyson has identified this number, which will be hard-coded in the return.
2. ACTCHQUAL - Academic teaching qualification
This will be included in the survey.
0 - 6 responses are allowed.
To be added to HR application.
3. ACTLEAVE - Activity after leaving
To be added to the Manager Self-Service screens.
Re-use existing field LEDEST - HESA destination on leaving.
Provide new LoV.
Update, 16-Jan-2013:
Hide (or disable?) existing LEDEST field.
Create new field.
4. CLINARD - Clinical excellence award
Susan asked that this be added to the existing Clinical screen. However, the existing Clinical screen is Assignment-based, whle this new field is Person-based. Alyson will therefore add it to another, Person-based screen.
5. CURACCDIS - Current academic discipline (changed)
JACS code for the subject being taught/researched - used to be the subject of the highest qualification attained
This may be available on PURE. Susan to check with Manya.
6. DISABLE - Disability (changed)
Formerly DISABLE1
Update, 16-Jan-2013:
No change to disability fields on HR, eRecruitment or PPIP. These will continue to collect data in the two fields, DISABLE1 and DISABLE2.
For HESA, the extract code will set the DISABLE field as follows: If DISABLE2 is not null, then set DISABLE = "08", else set DISABLE = DISABLE1.
7. ERCSTAT - Early career research researcher status
Will be provided by csv from PURE, for upload direct to UoE's HESA Person table
8. ETHNIC - Ethnicity (changed)
Re-use ETHNIC field
Update, 16-Jan-2013:
No change to ethnicity field on HR, eRecruitment or PPIP.
For HESA, the extract code will set the ETHNIC field by mapping the actual HR value to the valid HESA values.
9. GENDERID - Gender identity
Already added to HR application (by eRecruitment project).
10. OWNSTAFFID - Institution's own staff idenifier
Provide UoE staff id
11. LOCLEAVE - Location after leaving
To be added to the Manager Self-Service screens.
12. PARLEAVE
This is not recorded in HR. Susan to talk to Payroll, to identify what's available there.
13. REFUOA2014 - REF Unit of assessment
Will be provided by csv from PURE, for upload direct to UoE's HESA Person table
14. RELBLF - Religion or belief
This will be included in the survey.
Already added to HR application (by eRecruitment project).
15. RESAST - Research assistant
Will be provided by csv from PURE, for upload direct to UoE's HESA Person table
16. SEXORT - Sexual orientation
This will be included in the survey.
Already added to HR application (by eRecruitment project).
CONTRACT fields:
17. CLINSUB - Clinical sub-specialty
To be added to the existing Clinical screen.
18. LEVELS - Contract levels
Required for all open ended and fixed term contracts (i.e. all contracts except atypicals).
More research needed - Susan to confirm.
19. OWNCONTID - Institution's own contract number
Provide UoE assignment id
20. MOEMP - Mode of employment (changed)
Re-use MOEMP field. Susan thinks this is just a LoV change.
21. RESCON - Reason for end of contract
Two new HR fields are required to handle this element:
- a Person-based field on the End of Employment screen (People > Termination)
- an Assignment-based field for people with multiple assignments
Extract will check the person-level field first, only looking for the assignment-level field if the person-level field is blank.
22. ACTSOC - Activity Standard Occupational Classification
The old SOC Code fields is to be retained. The new ACTSOC field is to be added.
At a later date, HR may provide a mapping of old to new codes. If provided, then code will be needed to apply the mapping.
Currently, the population of many HESA fields is determined by SOC Code = 2A. Susan to confirm which value(s) of ACTSOC should now be used for these cases.
AOCB:
It was confirmed that all atypical contracts would be returned, as it would be more costly to exclude selected atypicals than to keep the existing selection.
Susan thinks that Ana may have already added the fields that will be surveyed into the HR applicaiton. Alyson to confirm this with Ana.
UPDATE:
Alyson has confirmed that Ana has not added the survey fields to the HR database or application.
