The processes and systems used to manage the submission of portfolios by UG and PG candidates applying to ECA are in need of review and, for the systems at least, replacement. There is a willingness within CAHSS and ECA to look at this holistically, streamlining and standardising processes, reviewing roles and responsibilities between CAHSS, ECA and academics, and implementing a new system that fully supports those processes across both UG and PG.
The current ECA mini-portfolios application is end of life and no longer fit for purpose. It is based on ColdFusion for which support is due to end in 2023. System failures have been encountered during every UG application cycle for the last 3-4 years. There are two separate processes, one for UG and one for PG.
This project will review the current processes around both UG and PG portfolios submission to ECA, currently supported by Student Systems, with view to:
- document the As-Is processes
- Identify any functional gaps
- Streamline processes
- Gather requirements for a replacement system(s) (To Be)
- Define and delineate the roles and responsibilities of Student Systems, CAHSS, ECA and academic levels
The project will also carry out a market research and review solutions in place at other national and international institutions.
The project will deliver an options appraisal, including costs an impact, and a recommendation on how to proceed to replace the current ECA mini-portfolios application.
