Overview

Background

REDCap (Research Electronic Data Capture) is a web application for building and managing online surveys and databases.

The University is looking to set up a virtual machine (VM) and install the REDCap software. REDCap is used within the University but is a new software product for ISApps. This project involves the technical setup and also to ensure that the entire process is well-documented.

REDCap will be used by the Olympic Studies and Research Centre (OSRC) for medical research.

Scope

  • Spec and request virtual machines from ITI
  • Set up a virtual machine (VM) and database. REDCap will use TEST and LIVE environments
  • Install REDCap software and database on the virtual machines
  • Document the entire installation and setup process

Out of scope

  • On-going support from this project for REDCap. This will be picked up by Production

Assumptions
  • There are no integrations to other University applications (confirmed by Dev Tech)

Objectives and Deliverables

Objectives / Deliverables Priority
O1. To successfully install and configure REDCap on a VM for all required environments
O1.D1. Spec up and order the TEST and LIVE VM Must
O1.D2. Install and configure REDCap on the TEST and LIVE VM  Must
O1.D3. A fully functional REDCap installation on the VM is delivered to the business Must
O2. To supply guides and training documentation
O2.D1. Business to circulate REDCap's User guides for system administrators and end-users Must
O2.D2. Business to circulate REDCap's training materials for staff who will be using or supporting REDCap Must
O.3. To ensure the installation meets all technical requirements and security standards
O3.D1. Installation of the latest copy of the software and ensure patching is up to date before delivery to the business Must
03.D2. If REDCap security for user logins is not up to UoE standards, set up single sign-on Could
O.4. To ensure that Production Management have the required documentation for supporting REDCap
O.4.D.1. Wiki page on technical collaborations with other areas of the University using REDCap Must
O.4.D.2. OLA to be produced Must
O.4.D.3. Document the upgrade process referencing REDCap documentation Must
O.4.D.4. All documentation is up to date - TAD, ABACUS Must

Benefits

  1. Provide a secure and efficient platform for data collection and management
  2. Improve research capabilities and data handling processes
  3. Enhance collaboration possibilities within and potentially between institutions
  4. Streamline data collection processes for various departments

Success Criteria

  1. REDCap is successfully installed and operational on the VM
  2. The system passes all required security
  3. Documentation is complete and approved by relevant stakeholders
  4. Initial user feedback is positive

Ongoing Support

  • There are 2 releases per year
  • Admin accounts give access to a forum but there is no support from REDCap for any issues
  • An OLA from Production will document the support for REDCap, however there could be a risk with issue resolutions which will decrease through time through familiarisation with the application
  • A shared KSR support budget within College of Arts, Humanities and Social Sciences (CAHSS) portfolio of 10 days will be used to support REDCap. It is unknown how much support REDCap may need, this will become apparent after the first year.
  • The project team are engaging with MVM who use REDCap
