Release notes for Projects Website Enhancements Deployment no. 2:

Risk Log Updates:

 

1. Risk Impact and Probability changes:

  • New risks will have the updated options.
  • Existing risks will have their impact/probability updated to reflect the changes above.
  • Some existing risks will change RAG status from Amber to Green. No risks will change upwards (e.g. from Amber to Red)
  • This is in place for Project, Programme and Portfolio risks.

 

2. Update to Risk Management Approach field:

  • There will be no impact to existing risks. If/when edited, the new options will be visible.
  • This change applies to Project, Programme and Portfolio risks.
  • Guidance will be updated
  • Risk Management training will be made available via MyEd for those who wish to better understand this process better.

 

3. Risk Owner field is now mandatory:

  • Existing risks with no owner will remain blank unless edited.
  • This is in place for Project, Programme and Portfolio risks.

 

4. Risk Export now includes more fields:

  • All fields on a risk log are now exported if you select 'Export all risks'.
  • Multiple actions cause additional rows for the same risk log.

2. Breadcrumbs now allow users to get back to the log and/or Project/Programme/Portfolio home page:

When adding a new log the breadcrumb options will be:

  • Home > [Project] home page > Log page > Individual log
  • E.g. Home > Steph's Test Project > Risk Log > Unexpected project scope expansions

(Previously this was: Home > Individual log (e.g. Home > Unexpected project scope expansions)

3. User can now PDF from (almost) any page:

  • Clicking on 'Print PDF' at the top-right of the screen will create PDF of the page you are currently on.
  • A separate PDF document is created, so you do not leave the page you are on.
  • This works for individual pages only e.g. not whole log sections or multiple status reports.
  • For documents in the 'Documentation' section it is still best to use the 'Export to PDF' option as this will PDF the whole document if it goes over more than one page (e.g. Project Brief). Using 'Print PDF' will only PDF the page you are on, not the full document.

 

4. For PMO:

  • Monthly SMT Export now shows the date the report was created
  • Monthly SMT Export now excludes delivery milestones that are 'withdrawn'
  • Monthly SMT Export can select more than one PMO in the one export
  • Can do bulk group updates

 

5. Unpublished project title now hidden:

  • Where a project home page is unpublished, only the project group can access it. However, by clicking a link or typing in a known URL direct, a non-authenticated user could see the project title.
  • This has now been removed and clicking on a link where the user doesn't have access displays an 'Access denied' message.

 

6. Organisational Hierarchy:

  • The Projects Website now has a two-stage solution to keeping the Org. Units lists up to date.
  • Any new project requests will automatically link to the most up to date Organisational Hierarchy (and is refreshed every 30 minutes).
  • Additionally, the Org Unit list for existing projects, programmes and portfolios can now be manually maintained by the PMO.

 

7. Overall Project Priority field updated:

  • The priority also shows on the project home page under ‘Project Info’, if populated.
  • Existing projects will be updated as per the table. If Project Managers have a ‘Highest’ priority project you will have to manually change this.
  • We have further plans to show this on the programme home page, which will come in later releases.

 

8. Known issue with IE, no further action taken:

  • Some users that use Internet Explorer for their web browser have seen differences in the display of the Projects Website. For example in the documentation section, the menus show 'Show/Hide' and text on screen relating to 'Vertical' or 'Horizontal' tabs.
  • This is caused by caching in IE, and can be fixed temporarily by refreshing the browser cache (click on 'refresh' button while holding shift).
